SWAN Quarterly Meeting March 4, 2021 Agenda & Packet Posted & Budget E-ballot Update

SWAN Library Directors & Administrators, The agenda and packet for the SWAN Quarterly meeting being held on Thursday, March 4, 2021 at 10 a.m. is now posted. This page also includes the final EBSCO database group purchase pricing for the 85 participating public libraries. The deadline to opt-out of the group purchase has passed, so we will now move on to approving the SWAN budget, membership fees, and EBSCO pricing. https://support.swanlibraries.net/meeting/82146 Details on how to attend that meeting are available from the page above-SWAN will be using GoToMeeting to host the event. The vote to approve the budget will be held electronically using the e-ballot system SWAN is providing. Those emails will go out separately via myDirectVote which is an independent electronic voting system. These emails go to the library director/administrator and are unique to those individuals. The e-ballot will be open for SWAN budget approval through March 12, 2021 11:59 p.m. If you do not receive an e-ballot by tomorrow, please contact me directly and I will be able to provide you the login information to you directly. EBSCO Year-2 Renewal: preliminary pricing with 86 libraries participating

SWAN Library Directors & Administrators, Attached is the preliminary EBSCO group purchase pricing with 86 public libraries participating, with 9 electing to opt-out. Should your library decide to opt-out of the group-purchase, you will need to notify SWAN using this form: https://support.swanlibraries.net/forms/80756 The deadline to opt-out is end of the day Sunday, February 28th. On Monday next week I will post the final EBSCO pricing along with SWAN's FY22 budget. That budget, membership fees, and EBSCO pricing will be approved via the electronic ballot system recently used for the EBSCO year-2 renewal decision. The details of the EBSCO year-2 renewal were shared at the membership meeting on January 12th. EBSCO Year-2 Renewal: preliminary pricing with 90 libraries participating

SWAN Library Directors & Administrators, As promised, I am providing you preliminary pricing on the year-2 renewal of the EBSCO database group purchase. We have 90 public libraries participating, with 5 electing to opt-out. See the attached preliminary pricing to this email. Should your library decide to opt-out of the group-purchase, you will need to notify SWAN using the form: https://support.swanlibraries.net/forms/80756 The deadline to opt-out is end of the day Sunday, February 28th. I will send out a second preliminary pricing on Friday this week should we have additional libraries opt-out, and then next week I will post the final EBSCO pricing along with SWAN's FY22 budget. *Resolved* SWAN Network Outage on Sunday 2/21

SWAN Member Library Staff: This morning around 11:15AM, we experienced an outage of the SWAN VPN network. During this outage, WorkFlows was not accessible. As of 11:30AM, we have resolved the issue and all VPN tunnels are back online. If your library continues to experience issues accessing WorkFlows, please proceed in Offline Mode<https://support.swanlibraries.net/documentation/64828> and call our emergency support at 844-SWANLIB (844-792-6542). EBSCO year-2 renewal opt-out approved: opt-out form now open

SWAN Library Directors & Administrators- The vote completed at the end of the day yesterday with an approval for allowing the year-2 EBSCO database group purchase with an option for libraries to op-out. We will now move forward with libraries officially opting out of the EBSCO database group purchase. The online form below is for libraries that wish to opt-out. This form will need to be completed by end of day February 28th. Those public libraries that do not op-out will be automatically included in the year-2 renewal. Opt-out form (Support site login required): https://support.swanlibraries.net/forms/80756 I will post revised EBSCO pricing on Monday, February 22nd and then again on Friday, February 26th. The final EBSCO pricing will be posted on Monday, March 1st. I will do my best to try to make the SWAN EBSCO pricing clear for those that need to see the amount for your library in order to make a decision. I have attached the vote reports to this email. Electronic Ballot for EBSCO Year-2 Renewal

SWAN Library Directors & Administrators- Your electronic ballot is now ready and will be sent to your individual email accounts with unique logins and passwords contained in that email. SWAN is using myDirectVote which is a platform designed for secure online voting. Your votes will be collected and tabulated, and those individual votes will be publicly posted after the ballot is closed. This will ensure Illinois OMA compliance.
