Hello SWAN library directors & administrators,
The agenda and packet for next week's meeting, March 3rd is now available. This meeting will be held virtually-you can find the link to join on the agenda.
https://support.swanlibraries.net/meeting/88722
The March Quarterly meeting is when the budget and fees for the upcoming fiscal year is brought to a vote for approval per SWAN's ByLaws.
We will make use of the live online voting system for the approval of action items on the agenda. I will be sending out the login information via the DirectVote Live platform on Monday, February 28th. I will send an email out via SWANcom after the unique login information has been sent directly to your work email address. If you do not see the email from the voting system, I suggest you check your spam/junk email folder. Please contact me directly if you have any questions or require the email resent to you or will require a substitute to attend the meeting and vote on your behalf.
I am looking forward to seeing you online!

WorkFlows is back online and the issue has been resolved. Please sign in at your earliest convenience.
We determined that the issue was caused by a malfunctioning system monitor and an over-capacity storage volume on the Symphony server. We do not expect any further outages this evening.

SWAN Member Libraries & Cataloging Staff:
Please be aware that the indexing issues that first occurred Sunday morning have persisted.
You may encounter record issues throughout the day until the next successful run of the ADUText report. These issues will most likely impact records that were added/deleted/updated over the weekend and are typically in the form of "heading keys need to be indexed" errors in WorkFlows. You may see these errors when searching, modifying, or checking in/out the impacted records.
If you encounter any record errors, please open a ticket (help(a)swanlibraries.net<mailto:help@swanlibraries.net>) with the pertinent information.
SirsiDynix is currently investigating the root cause of this indexing issue.
Please see the Known Issue<https://support.swanlibraries.net/issue/90453> posted to our support site for updates.

Subject: [SWANcom] Record Index Errors due to Overnight Maintenance Issues - 2/13/22
SWAN Member Libraries & Cataloging Staff:
Please be aware, last night we encountered an abnormal ADUText report, which handles our daily record maintenance and processing. That being the case, you may encounter record issues throughout the day until the next successful run of the ADUText report. These issues will most likely impact records that were added/deleted/updated yesterday and are typically in the form of "heading keys need to be indexed" errors in WorkFlows. You may see these errors when searching, modifying, or checking in/out the impacted records.
We've reached out to SirsiDynix Support with hopes to mitigate some of the record issues that may be encountered, but if you come across these records, please email a list to help(a)swanlibraries.net<mailto:help@swanlibraries.net> and we'll forward them to SirsiDynix for further investigation and temporary correction. Otherwise, all record issues should be cleared with tonight's regularly scheduled maintenance.
A Known Issue<https://support.swanlibraries.net/issue/90453> has been posted to our support site and will be updated as new information becomes available.

Hello everyone,
The pricing for the SWAN group-purchase of EBSCO subscription database package was presented at the Committee of the Whole membership meeting last week on February 1st. That pricing is included in the meeting packet, and I have pulled out that pricing which is linked directly to the PDF below.
https://support.swanlibraries.net/system/files/Public/EBSCO/EBSCO%20FY23%20…
This group purchase is going into its 3rd year renewal, which starts July 1, 2022. If you would like to learn more about this subscription database package, you can read about it on the SWAN Support page:
https://support.swanlibraries.net/documentation/70949
This renewal will move forward with the current 84 participating libraries. Negotiations continue with EBSCO and RAILS to arrive at the final price for SWAN. The year-3 pricing we have shared with you already factors in a 3% increase, which we believe will be the worst-case scenario. One of the demands from EBSCO is that if a library withdraws from the SWAN group-purchase, it would not be able to rejoin at the discounted price. If your library is one of the 11 not participating in the deal, please let me know if you would like to be added back in, as we are still under negotiations. Those 11 libraries do not need to opt-out again if you wish to remain out of the deal.
Any public library participating currently will automatically be included in the year-3 renewal. If you would like your library to withdraw from the group purchase arrangement, you can do that by submitting your library's opt-out using the SWAN Support site using the web-form below. The deadline to opt-out is February 18th, end of the day.
Opt-out form (Support site login required):
