The self-nomination survey form is open for the SWAN Circ Advisory Committee 2018 election. Please consider throwing your hat in the ring. The process is very simple, just fill out the form including a brief statement about yourself and what you can bring to the table. We have 4 vacancies to fill. The form is open now and will close on Oct. 26th at noon. On the 26th, I will create the ballot for the Circ Advisory Committee election using all the nomination statements that have been submitted. SWAN members will then have until the November 16th to vote.

The Symphony 3.5.3 upgrade has concluded successfully!
We've reenabled the VPN connections to your libraries, so you're free to login to the server immediately (Offline mode is no longer necessary).
A few important things to remember:
1. You will be prompted to update your staff client upon logging in. Click "No" on the automatic update option.

The SWAN WorkFlows 3.5.3 client is available at the link below and is the preferred installation method. https://support.swanlibraries.net/content/software-downloads
1. Thursday morning reports may experience slight delays due to the extended overnight maintenance process. Please refrain from queuing non-essential reports so that we're able to catch up quickly.
2. BLUECloud Analytics reports may be one day behind but will catch up by Friday morning.
Last, but not least, you'll need to have all of your library staff clients updated to 3.5.3 with your FormSite survey<https://fs8.formsite.com/SWANServices/form293/index.html> submitted (one per library) by November 12th. Please begin these installations now.

Just a reminder – this evening, we’ll be upgrading to the newest Symphony server and WorkFlows version, 3.5.3. For more specifics on the upgrade, please see the original SWAN Support Site posting included in the email below.
Please note: we have shifted the start time to 9pm to better accommodate our overnight maintenance reports, which will run following the upgrade.
Tomorrow morning, watch SWANcom and the SWAN Support Site<https://support.swanlibraries.net/> for the “all clear” to login and begin using WorkFlows.
To reiterate a few important points…
Scheduled Downtime & Affected Services
This upgrade will begin at 9pm tonight, and could run until 6am tomorrow morning.
The upgrade will require overnight downtime, and that downtime will impact the following services…
* Symphony Server functions
* WorkFlows (can be run in Offline mode<https://support.swanlibraries.net/system/files/Members%20Only/SWANTech/Work…> after 9pm)
* SIP2-connected hardware (AMH, self-check)
* SIP2-connected vendor services (Overdrive, Axis360, etc)
* AM Symphony reports will see significant delays
* Symphony Web Services and Enterprise functions
* Enterprise My Account functions (including payments)
* Enterprise material availability
* BookMyne
* MobileCirc
* BLUECloud Analytics
* Reports will be off by one day

Following the upgrade, upon initial login to WorkFlows, you will be prompted with the following pop-ups…

Please do not click “Yes” for the automatic update. You’ll need to install the latest SWAN WorkFlows version available at the SWAN support site, which will be posted following the upgrade on Thursday morning.
We are not posting the SWAN installer in advance to avoid potential issues caused by preinstallation.
The SWAN installer package to be provided on Thursday morning will uninstall all previous versions of WorkFlows and install the latest with additional SWAN features included. Once posted, the new installer will be found at the link below.

As with previous upgrades, you do not need to install the latest client immediately. Your current version of WorkFlows 3.5.2.1 will continue to work as expected; however, following the upgrade, you will need to install the new SWAN WorkFlows 3.5.3 package within the next month and submit a FormSite survey to indicate your library’s completion of the upgrade. The deadline for the WorkFlows client update and FormSite survey is November 12th.

Overnight from Wednesday October 10th at 10:00pm to Thursday October 11th at 6:00am, SirsiDynix will be upgrading SWAN’s Symphony ILS and WorkFlows from version 3.5.2.1 to 3.5.3. This upgrade will require intermittent downtime throughout the overnight hours.
Similar to past Symphony upgrades, a new WorkFlows client will be required to take advantage of the new features and bug fixes; however, this client update is not required until AFTER the server upgrade has been completed on Thursday 10/11, so to avoid version conflicts, the latest SWAN client will not be posted until the week of the upgrade date.
Following the server upgrade and go-live on 10/11, your current 3.5.2.1 WorkFlows client will continue to function as expected, but you will not have access to the new features and bug fixes, and an ignorable notice of an “update required” will display with each login. That being the case, there is no rush to complete the update installation immediately after the server upgrade. Libraries will have until November 12th to complete the 3.5.3 client update and submit a FormSite completion survey, which will be provided with the download link and documentation.
The upgrade and downtime will impact the following services:
- Enterprise
* My Account functions (holds, payments, lists, etc) and item availability will be unavailable from 10pm 10/10 to 6am on 10/11.
* SWAN will post a banner to inform patrons of this outage
* Bibliographic record and eRC updates from 10/10 will may not be reflected on 10/11 due to the suspension of Enterprise harvests during the upgrade.
- BLUECloud Analytics
* October 11th statistics will be off by one day
- Symphony WorkFlows
* SIP2 & Web Services integrations (including external vendor subscriptions) will be inaccessible from 10pm on 10/10 to 6am on 10/11
* WorkFlows will be inaccessible from 10pm on 10/10 to 6am on 10/11
* Libraries open after 10pm will need to use WorkFlows in Offline mode
* 10/11 morning report schedule will be impacted
* WorkFlows client will prompt for an update following upgrade completion
Important Notes:
- If prompted following the server upgrade, please do not click the “Update now” option from the WorkFlows client.
- SWAN utilizes a customized setup MSI that incorporates additional features and functions. This setup MSI will also uninstall previous versions of WorkFlows automatically. In the week prior to go-live, SWAN will release the new documentation and MSI via the support site at https://support.swanlibraries.net/content/software-downloads. This client can be installed after the 3.5.3 server upgrade on 10/11, but should be installed no later than 11/12.
- If you click the "Update now" button from the WorkFlows prompt, you may need to uninstall/reinstall your WorkFlows client later using SWAN’s MSI for access to specific SWAN features.
A few advantages to the new Symphony 3.5.3 version:
- Bug fix: In our current version of Symphony, if a staff member cancels a hold for an item on the hold shelf, the item is not made available to the next patron in the hold queue. This bug is addressed in the upgrade.
- Expanded Signature Pad hardware support
- Database Rebuilds have been optimized to run significantly faster
- Overnight “ADU” processing optimization
We’ll send additional SWANcom and Support Site post updates, including one containing the 3.5.3 installation link during the week of the upgrade, so please watch your SWANcoms.
