*Important* Update on Heading Keys Indexing

SWAN Member Library and Cataloging Staff: SirsiDynix continues work on indexing headings. While a number of headings have since been dynamically indexed, it does appear that we are still receiving some "Heading Keys Need to be Indexed First" error messages. Until further notice, please do not enter new pre-cats as existing pre-cats may not be displayed and this might create duplicate records. You may also encounter difficulty adding items to bibliographic records. Thank you for your patience. *Important* "Heading Keys Need to be Indexed First" error message

SWAN Member Library and Cataloging Staff: We have received reports of library staff receiving the "Heading Keys Need to be Indexed First" error message in several situations including when attempting to add items or display pre-cats that were created yesterday. This appears to be related to the earlier issue of one of our critical system maintenance reports unexpectedly running long last night. We are working with SirsiDynix to resolve the issue. Until further notice, it is advised not to enter new pre-cats as existing pre-cats may not be displayed and this might create duplicate records. You may also encounter difficulty adding items to bibliographic records. We hope to have this resolved as soon as possible. Thank you for your patience. Batch Deletions Using Discard User

+++ Please route to appropriate personnel +++ Batch Deletions Using Discard User We will be adjusting the scheduled date for batch deletions effective immediately. The Convert DISCARD Items Reports for each library will continue to be run in the morning on the first of the month in order to identify items for batch removal from the previous month. The SWAN Remove Discard Items Report will be run on the first Saturday of each month in order for this to process with greater efficiency. This report is run for batch removal of items from the previous month that have been converted to DISCARD. Therefore, your library discard items for the previous month will be identified for Discard processing on the first of the month but will remain in the system (shadowed) until the following Saturday. Any items checked out to Discard User beginning on the first of the month will be captured in the next month batch deletions. For example, any item checked out to Discard User on November 1st to 30th, 2015 will be captured in the reports on the morning on December 1, 2015 and deleted with batch deletions on Saturday, December 5, 2015. Another example, any item checked out to Discard User on December 1st to 31st, 2015 will be captured in the reports on the morning on January 1, 2016 and deleted with batch deletions on Saturday, January 2, 2016. SWAN SD Cataloging Training Workshop January 14, 2016

SWAN staff will present a cataloging training workshop on January 14, 2016 at 9:30 a.m. to 12:00 p.m. This workshop will be presented by SWAN Bibliographic Services Team and will cover the basics of SirsiDynix WorkFlows cataloging module and include creation of pre-cats. Who should attend this workshop? Any library staff new to their position or any newly hired employees that are involved in the creation of pre-cat records and item records. Any library staff who might feel that they would benefit from a refresher course for cataloging module in SD WorkFlows.
