We’ll have the WorkFlows ports shut down first thing tomorrow morning, so weekend staff will be unable to login – they’ll need to check the box for “Offline” to perform any circulation functions.

SWAN Member Library Staff:
Just a quick reminder of the upcoming database maintenance. Please note the correction on check-ins – we expect everything will be back online and ready for check-ins beginning Monday morning, instead of Tuesday, as originally posted.
A few other considerations…
- Staff should only be performing checkout functions while offline. Please avoid any check-ins or patron registration. If a patron is registered using offline mode, please check for duplicates on Monday morning.
- The Enterprise OPAC will only be searchable, and all My Account features, including fines payment, placement of holds, or checking library available will be inaccessible.
- All patron notices will be suspended during the downtime. These notices will remain in queue until Monday morning.
- All SIP2 connected hardware and vendor services will be inaccessible, including PC Reservation software and E-Book accounts. If offered by your vendor, you may want to make arrangements to run SIP2 services in an “unauthenticated” mode so that patrons will still have access to PC Reservation (without guest passes) and E-Book services.
- We would urge all libraries to please take an opportunity in the upcoming weekends to test Offline mode with your weekend staff. This will ensure Offline is working correctly, that no intervention is required from your local IT to ensure functionality, and that files are saving/uploading as expected. Remember, Offline files are uploaded immediately when your library is back online and processed by SWAN servers overnight. Therefore, any check-outs performed during offline will be reflected on the next day.

Symphony Server Database Maintenance and Required Use of Offline Mode Dec 3rd-4th

SWAN Member Library Staff,
Over the first weekend of December (the 3rd-4th), SWAN will be performing database maintenance on our Symphony Server to finalize Enterprise facet work on fiction/non-fiction materials and commit several other recent projects to our database. This work will serve to greatly improve the patron Enterprise experience.
This process requires SWAN to rebuild the Symphony database indexes, which requires server downtime and will affect most Symphony services. Please see the list below for the specific services affected:
- Symphony Server functions
* WorkFlows (staff must use Offline mode for checkout; no check-ins please)
* SIP2-connected hardware (AMH, self-check)
* SIP2-connected vendor services (Overdrive, Axis360, etc)
- Symphony Web Services functions
* Enterprise My Account functions (including payments)
* Enterprise material availability
* BookMyne
* MobileCirc (staff must use Offline mode)
This downtime will begin Saturday, December 3rd at 6 a.m. and run through Sunday evening. SWAN will send a reminder as the date approaches, as well as a follow-up message when the database maintenance has completed and staff can resume normal work practices.
To reiterate:
* Symphony WorkFlows can be accessed only in Offline mode during the maintenance
* Enterprise OPAC will remain accessible, although patrons may have limited access to materials and some searches may produce incomplete results
* Materials can be checked out via WorkFlows while Offline, but please avoid check-ins until Monday *Corrected* (Important: Backdate these delayed check-ins to avoid fines to the patron records)

As many of you know, SWAN creates new bibliographic records each year for weekly and some especially popular monthly magazines. This prevents usability problems that can arise when too many items are attached to a single record.
The weekly serials records for 2017 are ready for the arrival of your 2017 subscriptions. A full list of these titles and their control numbers can be found on the support site under "SD Cataloging" or through this link: Weeklies 2017<https://support.swanlibraries.net/system/files/Weeklies%202017.pdf>.

We are also announcing the release of a new Helper for the Modify Control Wizard in the Serial Control module: Change Title Link Helper. The Change Title Link Helper can be used to sever the link between a Serial Control record and one title, allowing you to attach that same Serial Control record to a different title. This allows you to "transfer" a Serial Control record from one title to another. Please see the attached document for more information.
The Change Title Link Helper will be available for use beginning Wednesday, 11/30/2016. Please feel free to use this Helper if you think it will positively affect your workflow. If you prefer not to use the Helper and would also like it removed from the available Helpers in Modify Control Wizard, please send a ticket to help(a)swanlibraries.net<mailto:help@swanlibraries.net>.
