New 19 Update (ACTION REQUIRED): Holds Issue Fixed, Please Read

New 19 Libraries- The Hold Shelf issues with multiple patrons assigned the same hold pick-up have been resolved, but further action is needed on your part. Please go to the New 19 support page<https://support.swanlibraries.net/content/new-19-migration> to download the Hold Shelf Clean-Up Report and instructions on how to fix the hold shelf issues. Please submit a ticket to the help desk notifying us when you have finished. New 19 Update - N19 Libraries Should Start Processing Pull Lists

The New 19 libraries may now begin to process their pull lists by using the Onshelf Items wizard. Do not panic when you see your lists are quite large and we do not expect you to finish these right away. We do however want you to check out any item you are unable to find on the shelf to your XXXMISSING user so the hold will move on to the next available item. We recommend using the fine free discharge wizard for processing the items on your pull list. For those of you unfamiliar with using the Onshelf Items Wizard, you may want to sort by the location column first and then print.

Update on Holds for All Libraries & Holds for New19

To the New 19 Libraries: SirsiDynix has not yet resolved our holds issues so we are asking our New 19 libraries to continue to hold off using the Onshelf Items wizard to access your pull lists. To All SWAN Libraries: As a reminder we are not expiring AVAILABLE holds and running the Clean Hold Shelf reports until tomorrow, May 3rd. Items on your hold shelves are still showing as available on patron records even though they have passed their pickup by dates, please do not remove the items from your hold shelves until they appear on your Clean Holds Shelf reports tomorrow. Status of SWAN 5/2: 4 topics

Hi SWAN Libraries, Just a recap and reminder on a few items as we are in a transition period from yesterday's go-live. 1. BLUEcloud Analytics (BCA) harvests were paused and now have resumed. The data is processing. It may take an extra day to accurately reflect data transactions. We expect BCA to reflect accurate data by Friday, May 4. *This means New 19 libraries will unlikely see their library data until Friday.* 2. Issues pertaining to data migration for our 19 libraries are being logged here: https://support.swanlibraries.net/news/2018-05-02/go-live-updates-and-issue… 3. Two holds processing reports for the entire consortium are paused as we wait until Thursday. This allows us to fix a number of holds issues related to the 19 libraries. *We will send specific instructions via SWANcom to the New 19 soon.* https://support.swanlibraries.net/news/2018-05-01/holds-processing 4. SWAN's priority at the moment is to ensure holds, items, and patron notification will be correct. MAGIC Libraries May Resume Checking Materials In

There is still some work that must be done manually on the SWAN end-if you notice a trapped hold that seems incorrect, please set the item aside. Important: Symphony Reports Behind Schedule on 5/1

SWAN Member Library Staff: Due to the database rebuild, we're currently seeing a long backlog of Symphony reports. We're currently about one day behind, and are hoping to catch up throughout the day by shifting around the current schedule. Additionally, we'll be processing late-upload Offline transactions throughout the day, and these reports could further delay the queue. To avoid further delays, please avoid scheduling new reports, if possible, and suspend acquisitions reports until we're able to catch up completely. New 19 Libraries, We are experiencing an issue with override codes that did not migrate correctly, which is causing items that were unholdable to come over with holds. ALL CLEAR -- We are UP!

SWAN Libraries- We are now officially 97! The system rebuild has concluded, offline transactions uploaded have been processed, and VPN access has been restored. You are now free to connect to WorkFlows and begin normal daily operations. SWAN staff are standing by to meet your support needs. The most effective way to report issues or questions is by submitting a ticket to the Help Desk, whether through email (help(a)swanlibraries.net) or the SWAN OTRS Support System. https://support.swanlibraries.net/content/help-desk-support-member-libraries *NEW 19: we are investigating some issues with holds placed by patrons that were old/inactive which loaded as active. Please do not take any steps for processing holds until we notify you. As you check in items, process normally.* All Libraries: Please remember that BLUEcloud Analytics harvests will remain suspended until tomorrow and may take an extra day to accurately reflect offline transactions.
