As you may have heard we recently found out libraries should be completing
their Clean Hold Shelf report before beginning to process their Onshelf Items
list (pull list). In our ongoing mission to minimize issues with holds we
will be running the Clean Hold Shelf report for all libraries centrally and
will no longer offer the opportunity to libraries to schedule or run them on
their own through the REPORT login. This change will take affect Tuesday,
June 5. The centrally run report runs at 7am, Monday through Friday, and is
delivered to the generic email address for each library. If you have used the
REPORT login to setup your own Clean Hold Shelf report, or use the REPORT
login to run your report manually every day, please be advised the scheduled
reports will be removed and you will no longer be able to run them manually.
If you had been running them on your own you will no longer receive an email
if there are no holds to be pulled from your hold shelf.
Please have your director use the Edit Aliased Email webform on the SWAN
Support Site to ensure you receive your report. You are limited to 3 aliased
emails per library so SWAN recommends using a circulation department email
address, if your library has one, to make sure all staff responsible for
processing the report will have access to it.
Each SWAN library is required to fully process their Clean Hold Shelf report
Monday through Friday and will be included in the centrally run report Monday
through Friday. Please open a support ticket if you would also like to be
included in the weekend report.

SWAN Member Library and Information Technology Staff:
This holiday weekend, beginning Sunday evening, May 27 through Monday, May 28, SWAN will be performing database maintenance on our Symphony Server to finalize the deduplication process. This maintenance will be rebuilding the full cataloging index and will commit the changes made during the deduplication process that began on May 18.
During this time, there will be no access to Symphony WorkFlows or SIP2 connected hardware. Other external systems may experience brief outages during this time, but access to digital media, reference databases and Enterprise should remain largely accessible.

This process requires SWAN to rebuild the Symphony database indexes, which requires server downtime and will affect most Symphony services intermittently. Please see the list below for the specific services affected:
- Symphony Server functions - Unavailable Sunday evening through Monday.
* WorkFlows (staff must use Offline mode for checkout; no check-ins please)
* SIP2 connected hardware (AMH, self-check)
- Symphony Web Services functions - Intermittent availability Sunday evening through Monday.
* Enterprise My Account functions (including payments)
* Enterprise material availability
* Digital media/eRC/reference databases
* BookMyne
This downtime will begin Sunday, May 27 at approximately 6:30 p.m. and run through Monday evening. SWAN will send a follow-up message when the database maintenance has completed and staff can resume normal work practices. We anticipate the system to be available before business hours on Tuesday, May 29.

SWAN Member Library and Information Technology Staff:
The long-running ADUText report has concluded, however, due to the timeframe in which this report ran, we did need to suspend our ADUUser report, so it’s possible that users added on Saturday may not be fully searchable. These users will show up via barcode number.
The regularly scheduled morning reports are beginning to run though, but we will be seeing a delay in reports throughout the day. We ask that staff refrain from running any non-critical reports until the system has had some time to catch up.

We’re currently seeing a long-running maintenance report, “ADUText” that is delaying the start of the normally scheduled reports. If this report runs into library hours this afternoon, you may also encounter ‘locked’ item records or ‘headings need to be indexed’ errors.
If possible, please avoid submitting unnecessary reports today so we’re able to catch up with our report schedule this afternoon.
