*Important Update* Possible Record Indexing Issue on 1/20

SWAN Member Library and Information Technology Staff: To get ahead of this indexing issue, we’re planning a database index rebuild this evening, beginning at 6:30pm. The rebuild can take up to 13 hours (but hopefully much less,) and WorkFlows will be inaccessible throughout the process. Additionally, some scheduled Sunday evening reports may be unable to run. We recommend running these reports again tomorrow morning after the rebuild has concluded. The following SWAN services will be inaccessible during the rebuild until tomorrow morning: - Symphony Server All WorkFlows access (cataloging, circulation, etc) SIP2 3rd Party Vendor Integration (databases, electronic media) SIP2 Hardware/Software Integration (AMH, self-check, PC reservation, print release) - MobileCirc Enterprise will continue to be accessible to patrons and staff. We’ll send an additional SWANcom as soon as the work has completed, which we expect before regular library hours tomorrow morning. These records are available for holds in Enterprise, and can still be checked out, but seem to be unsearchable in WorkFlows. While the scope of this issue is limited, one popular title impacted was Fire and Fury: Inside the Trump White House. This title is now available, following a correction by SirsiDynix support, but please let us know if you encounter any other records that seem to be experiencing this issue by emailing help(a)swanlibraries.net<mailto:help@swanlibraries.net>. We hope for all affected records to be corrected with the next overnight processing and will investigate reported records tomorrow morning. SWAN Member Library Staff: Last night’s overnight processing did not appear to fully resolve the indexing errors that were reported on Saturday. We will be running a report beginning this evening, which should clear up these indexing errors. Please note that, while the affected titles are not searchable within WorkFlows, they are searchable within Enterprise. Public Library Directors Reminder: Bond Schedule Submission Due 1/30

January Quarterly Billing Available

Please route to appropriate staff. The January Quarterly Billing is complete and the invoices and checks will be mailed shortly from the RAILS Accounting Department. Documentation<https://support.swanlibraries.net/system/files/Members%20Only/BLUEcloud/BCA…> has been written to help guide member library staff through the Billing Summary sheet<https://support.swanlibraries.net/system/files/Members%20Only/BLUEcloud/012…> as well as the detail statement reports folder<http://na1-microstrategy.bc.sirsidynix.net/bcanalytics/asp/Main.aspx?evt=20…> accessible in BlueCloud Analytics Shared Reports. You will note that the January Billing does not include any credits or debits for Unpaid Lost library material. This is due to the August, 2017 Circ Policy<https://support.swanlibraries.net/system/files/Members%20Only/Circulation%2…> revision Section 4.g: "Reimbursement for non-returned lost materials will be 365 days after due date and processed on a quarterly basis." Which effectively postpones reimbursement for these types of lost items until October, 2018. If you do not have access to the BCA reports, please open a ticket at help(a)swanlibraries.net<mailto:help@swanlibraries.net> and we will send you the Excel file. In addition, we will have a BCA login created for you and supply you with the documentation you need to access these files in the future.
