by Ian Nosek 05 Dec '16

05 Dec '16

SWAN Member Library Staff: The long-running Load Offline Transactions report has concluded. Regularly scheduled reports have begun processing, but please be aware that it may be a couple hours until the report server has caught up. Saturday's offline transactions that were uploaded on Sunday should now be available, but be aware that libraries that were closed on Sunday, December 4th will have their transactions processed overnight tonight. Offline exceptions reports will be sent out shortly. If there are any questions about the offline processing, please feel free to reach out. Thank you for your patience this morning! *Concluded* Symphony Server Database Maintenance Dec 3-4
by Steven Schlewitt 04 Dec '16

04 Dec '16

SWAN Member Library Staff: Good news – this weekend’s scheduled database maintenance concluded much sooner than we’d anticipated, so the Symphony/WorkFlows server is now back online and accepting logins! When starting WorkFlows today, please uncheck the box for “Operate in Offline mode”, and login as usual. All offline circulation from the last two days will automatically upload to our server and process overnight. If you login at any time today, you should see this weekend’s transactions reflected tomorrow morning. We’re still playing some catchup with the Enterprise OPAC database, so you may encounter some anomalies with select titles. Patron logins are again permitted, however, and any issues in Enterprise should be resolved within a few hours when our scheduled reports conclude. If you encounter any issues with WorkFlows or Symphony database records, please let us know by emailing help(a)swanlibraries.net<mailto:help@swanlibraries.net> or call 844-SWANLIB. Thank you immensely for your patience and enjoy the remainder of your weekend! *Final Reminder* Symphony Server Database Maintenance and Required Use of Offline Mode Dec 3rd-4th
by Steven Schlewitt 02 Dec '16

02 Dec '16

SWAN Member Library Staff: Just one last reminder – tomorrow begins our database maintenance and required use of WorkFlows Offline Mode. We’ll have the WorkFlows ports shut down first thing tomorrow morning, so weekend staff will be unable to login – they’ll need to check the box for “Offline” to perform any circulation functions. For all of the pertinent information on the database maintenance, including affected services and how to run Offline Mode, please see the previous SWANcoms below, or visit our support site posting at the link below. https://support.swanlibraries.net/news/2016-11-30/symphony-server-database-… If you have any questions or encounter any issues, please contact us at help(a)swanlibraries.net<mailto:help@swanlibraries.net> or call 844-SWANLIB (792-6542). Steven Schlewitt Information Technology Manager steven(a)swanlibraries.net<mailto:steven@swanlibraries.net> • 630-326-5993 SWAN Library Services 125 Tower Drive, Burr Ridge, IL 60527 swanlibraries.net<https://www.swanlibraries.net/> • catalog.swanlibraries.net<https://catalog.swanlibraries.net/> From: Steven Schlewitt Sent: Tuesday, November 22, 2016 2:15 PM To: swancom(a)list.swanlibraries.net; swantech(a)list.swanlibraries.net; swancirc(a)list.swanlibraries.net Subject: *Reminder* Symphony Server Database Maintenance and Required Use of Offline Mode Dec 3rd-4th Importance: High SWAN Member Library Staff: Just a quick reminder of the upcoming database maintenance. Please note the correction on check-ins – we expect everything will be back online and ready for check-ins beginning Monday morning, instead of Tuesday, as originally posted. A few other considerations… - Staff should only be performing checkout functions while offline. Please avoid any check-ins or patron registration. If a patron is registered using offline mode, please check for duplicates on Monday morning. - The Enterprise OPAC will only be searchable, and all My Account features, including fines payment, placement of holds, or checking library available will be inaccessible. - All patron notices will be suspended during the downtime. These notices will remain in queue until Monday morning. - All SIP2 connected hardware and vendor services will be inaccessible, including PC Reservation software and E-Book accounts. If offered by your vendor, you may want to make arrangements to run SIP2 services in an “unauthenticated” mode so that patrons will still have access to PC Reservation (without guest passes) and E-Book services. - We would urge all libraries to please take an opportunity in the upcoming weekends to test Offline mode with your weekend staff. This will ensure Offline is working correctly, that no intervention is required from your local IT to ensure functionality, and that files are saving/uploading as expected. Remember, Offline files are uploaded immediately when your library is back online and processed by SWAN servers overnight. Therefore, any check-outs performed during offline will be reflected on the next day. For reference, SWAN’s WorkFlows Offline documentation can be found at the link below. https://support.swanlibraries.net/system/files/Members%20Only/SWANTech/Work… (L2 login required) If you have any questions about Offline Mode or the upcoming downtime, please email help(a)swanlibraries.net<mailto:help@swanlibraries.net>. This work will serve to greatly improve the patron Enterprise experience. This process requires SWAN to rebuild the Symphony database indexes, which requires server downtime and will affect most Symphony services. Please see the list below for the specific services affected: - Symphony Server functions * WorkFlows (staff must use Offline mode for checkout; no check-ins please) * SIP2-connected hardware (AMH, self-check) * SIP2-connected vendor services (Overdrive, Axis360, etc) - Symphony Web Services functions * Enterprise My Account functions (including payments) * Enterprise material availability * BookMyne * MobileCirc (staff must use Offline mode) This downtime will begin Saturday, December 3rd at 6 a.m. and run through Sunday evening. SWAN will send a reminder as the date approaches, as well as a follow-up message when the database maintenance has completed and staff can resume normal work practices. To reiterate: * Symphony WorkFlows can be accessed only in Offline mode during the maintenance * Enterprise OPAC will remain accessible, although patrons may have limited access to materials and some searches may produce incomplete results * Materials can be checked out via WorkFlows while Offline, but please avoid check-ins until Monday *Corrected* (Important: Backdate these delayed check-ins to avoid fines to the patron records) Please email help(a)swanlibraries.net<mailto:help@swanlibraries.net> if you have any questions or concerns about the approaching system maintenance, or if you have any questions about running in Offline Mode with WorkFlows or MobileCirc. ________________________________ Source URL: https://support.swanlibraries.net/news/2016-10-25/symphony-server-database-…
