I have received a progress report from SirsiDynix. At this time, most library collections have been corrected. The Oak Park Public Library is still missing the shared Overdrive collection on their profile, though the Advantage titles are appearing normally. SD Support is continuing to work towards a resolution for their collection. All other libraries should see all of their econtent at this time.
To confirm your collection’s presence in your profile:
· Navigate to your library’s public profile (catalog.swanlibraries.net/xxx where xxx is your three letter code)
· Select “Digital Catalog” from the search target box (first drop down)
· Click Search without entering search terms to see a complete list of your econtent.
You will see the total count for all vendors at the top of your results (# results found), as well as counts by Electronic Format in the first facet on the left side of the screen.
At this time, the SD Support team is not sure why this issue affected some libraries but not others. Both SD Support and SWAN will continue to monitor these collections. As always, if you observe any issues with your collections, please email help(a)swanlibraries.net<mailto:help@swanlibraries.net> so we can investigate.

This morning I spoke with the manager of discovery support at SirsiDynix. They have identified a resolution for this issue and are working through the list of affected libraries to correct the problem. Acorn Public Library should now be seeing all expected Overdrive content in Enterprise.
I have requested an estimate on completing the work for the rest of the libraries, and will send both the estimate and a list of the newly corrected collections by the end of the day.

To answer the questions I received since sending the initial email on Friday:
· Is there anything we (library staff or SWAN staff) need to do to add new titles to our eRC collections? No. The process is automated. When titles are added to your econtent collections with supported vendors, an import process it automatically triggered for eRC. When working correctly, the items are imported into the eRC admin console that SWAN administers, and then automatically added to the Digital Catalog of the proper Enterprise profile.
· Can you clarify whether it is recently added titles that are not appearing or give more information on how the collections are behaving? Based on my Friday conversation with SirsiDynix support, the problem is with the indexing portion of the import process. The collections are reindexed as part of automated processes mentioned above. Somewhere during that process, the indexes for some libraries’ Overdrive collections were damaged, leaving them unusable. From what I can tell, no titles from the collections with bad indexes are appearing in Enterprise. Some of the affected libraries will still see Overdrive content in their profiles because their Advantage collections have a separate, properly functioning, index.
I will stay in touch with SirsiDynix support this afternoon, and will send another update by the end of the day.

We have had a number of requests for a Tech Services Department card for materials that are currently housed in that department for repairs, etc. Please note that you all should currently have a REPAIR user, an ONORDER user, and an INPROC user. If you feel that you would benefit from having another, unique Tech Services Department card that will assign a current location of TECH_DEPT, we can configure that for you. When materials are checked out to a user with a profile of TECH_DEPT, the following will be true:
* Items will display with a current location of TECH_DEPT.
* The due date will be never.
* Items will not be holdable.
* Bills will not generate for these items.
* The "total charges" counter in the item record will not increment.
If you currently have a Tech Services Department card and want the above statements to be true for that user account, please send an email to help(a)swanlibraries.net<mailto:help@swanlibraries.net>, and we will give you access to the TECH_DEPT user profile. For those of you who are wondering, this does not impact delivery to SWAN libraries. All SWAN libraries will get their usual delivery.

SWAN Libraries:
There will be a brief disruption of service shortly after 9PM tonight.
The Symphony production server will be temporarily offline. This will also impact access to the Enterprise catalog.
I will notify everyone when the system is back up and running.

Everyone -
Just a reminder about the Symphony "Guts" Training kicking off this week. Just what is Symphony GUTS, you may ask. Everyone in libraries loves acronyms GUTS - Greater Understanding of The System, perhaps. Or an explanation of the "guts" of the SWAN software? I prefer to think of it as an explanation of the "butterfly effect" - how what happens in this part of the software, effects the behavior in this part of the software. However, you prefer to think of it, we will be sharing our understanding of how the Symphony software works.
Topics include: migration and mapping, Circulation configuration (Circ Map and Hold Map), Cataloging configuration (Item types, item categories, and locations), Enterprise (facets, searching, harvesting).
Above all there will be an opportunity for you to ask questions.
There are numerous opportunities to attend a session, including the opportunity to attend the online webinar on August 6th. Click on the links to register.

Based on feedback received from SWAN Member Libraries, Item Category 1 UNKNOWN is being changed to Item Category 1 MISCELLANEOUS. Item Category 1 MISC has already been added to the library policy lists so catalogers may begin to use this immediately. Item Category 1 UNKNOWN will be removed from the policy lists today and will no longer be an option when you log in tomorrow. I will be updating this Item Category for all relevant items later today and dynamic indexing will complete overnight.
Please contact me if you have any questions.

To Library Staff:
SWAN staff been investigating a number of comments from library staff regarding the inaccuracy of the "Available for Checkout" number displayed in Enterprise. As a result, we will be temporarily removing this number effective Friday, July 24th, until we can identify a solution. Read on for more details.
An availability number appears on the hit list display as well as the availability tab of the detailed display. During our training and configuration process, we had been instructed that the "available" flag in an item's location (set in Symphony configuration tables) determined if the item counted as available in Enterprise or not, but that does not seem to be the case.
Instead, this Knowledge Base article<https://support.sirsidynix.com/kb/136792> says that items are "available" in Enterprise if:
* Not a shadow item
* Not in a shadowed location
* Not on reserve
* Not in transit
* Have no charges
* Are not flagged to be recirculated
This seems more in line with what we are seeing in Enterprise. That means that on order items, items on the hold shelf, items in locations like Reference, etc. are all included as available in the counts. Furthermore, the numbers displayed in the detailed display and the hit list do not match. Neither seems to reflect the actual number of copies that one could walk into a library and check out.
Because of the number of issues this is causing library staff and patrons, we will be temporarily removing both counts as we continue to investigate with SirsiDynix. Ideally, we would like to display a true number of available copies-those sitting on a shelf ready to be checked out. We will be making this change on Friday morning. It will not require any downtime. We will send an update to the membership when we reach a more sustainable resolution.
Thank you for your continued feedback on Symphony and Enterprise.

Subject: [SWANcom] SWAN BookMyne for iOS and Android
SWAN Member Libraries & Information Technology Staff:
As you may have been aware, SWAN patrons and staff alike have been struggling with intermittent connection issues with the SirsiDynix BookMyne mobile catalog app for several weeks now. This week, SWAN staff made significant progress in resolving issues with BookMyne, and we're happy to announce that the app now works consistently on both iOS and Android devices without significant issues. Patrons can now add their local libraries, access their library account, perform searches, and place holds on the SWAN catalog from any network, anywhere, as expected.
While the BookMyne app is certainly not as robust as the Enterprise OPAC, it can be suggested as an alternative to patrons that continue to experience issues accessing the Enterprise catalog from their tablets and phones. That being the case, SWAN will also be releasing a brief Quick Start guide for BookMyne that will cover the essentials of using the app, which can be shared with patrons. Watch for that documentation to be announced via SWANcom in the upcoming days.
As always, we greatly appreciate your patience as we work to resolve these issues.
Thank you, and have a great weekend!

To All Member Libraries:
We have had several reports this morning of staff receiving an error message "Heading not found" when searching by ISBN. In these cases, the records were retrievable using other indexes. It appears possible the there was an issue with the indexing overnight. Technical Services/Cataloging staff are reminded to perform thorough searches using several indexes before creating a new Pre-Cat. SWAN has opened a case with SirsiDynix and we will update you when we have more information.
