FIRST BATCH OF RECORDS HAS BEEN LOADED: SWAN has loaded the 3,577 bib records for the eRead Illinois project. You can search these records in the SWAN catalog by doing a keyword or subject search for: "eRead Illinois". An Excel spreadsheet is attached to this email message, providing the .b number for each title in this batch.
WHO IS PARTICIPATING: Thirty-six SWAN libraries have chosen to participate in this subscription. Attached to this email message is the list of participating libraries.
ADDING YOUR ITEMS TO THE BIB RECORDS: You may wish to add unbarcoded item records to these bibliographic records so that patrons are aware of your library's subscription. You are NOT obligated to do so, however. Attached to this email message is a document with instructions on how to add your items.
ITEM TEMPLATES HAVE ALREADY BEEN CREATED FOR YOU: An item template has already been created for each of the 36 participating libraries. Your library's template's code will begin with your library's holding symbol, followed by "ERI". So, for example, Crete's item template for eRead Illinois will be "ctsERI". The template name is the same for all libraries: eREAD ILLINOIS.
CURRENT OVERDRIVE SUBSCRIBERS: If you are already a subscriber to any of the Overdrive programs (My Media Mall, eMedia Library, Media on Demand), and you add unbarcoded items to those records, you may begin adding your items to the eRead Illinois records immediately. Print out the attached Excel spreadsheet, call up each .b number, and add your item using the new item template created for your library.
HOW FUTURE TITLES ARE ANNOUNCED: The loading of any future NEW titles will be done the same way as we do it for the Overdrive programs. A message from SWANCOM with the subject "eRead Illinois: New records loaded" will be sent out, indicating the subject heading to search and the number of records included. Remember, you must subscribe to swancom to receive future announcements of record loads.
FIRST TIME SUBSCRIBERS TO eBOOKS: If your library staff is not aware of how to add unbarcoded items to these records, but you wish to do so, please contact me to set up a training session. Again, you must subscribe to swancom to receive future announcements of new record loads.

Just a quick reminder that next Wednesday (April 9th) is our SWAN Server IP Address Migration. Based on the network check-ins we've received from the Memo #9 network test, it appears all libraries should be adequately prepared for the migration. Our only concern remains with a handful of 3rd party vendor services, since some may be referencing SWAN's IP directly. For that reason, please do have your IT staff available should issues arise on the day of the migration, or should any last-minute network changes be necessary to accommodate a 3rd party service.
Additionally, for those of you that need to run monthly statistics for March from our Report server, we strongly recommend generating and pulling those reports prior to the migration date to avoid any possible issues should extended downtime occur.

At its meeting on Friday March 21 the SWAN Board continued its work on the negotiation of an agreement with SirsiDynix. At this stage it would be important to note the following resolution was passed by the SWAN Board:
RESOLVED, THAT THE SWAN BOARD ACCEPT THE SIRSIDYNIX CONTRACT PENDING:
* SATISFACTORY ANSWERS TO THE BOARD AND STAFF QUESTIONS THAT WERE RAISED AT THE 3/21 BOARD MEETING
* ATTORNEY REVIEW AND APPROVAL
* TO INCLUDE SIGNATORY AUTHORITY TO SWAN EXECUTIVE DIRECTOR AND SWAN BOARD PRESIDENT TO ENDORSE THE CONTRACT
We expect to complete our negotiations over the next week. I will notify everyone once SWAN has crossed this milestone. However, rather than wait for this to be completed, I wanted to alert everyone to an opportunity now before too much time has elapsed.
The SirsiDynix customers have a national users group called COSUGI. The group is hosting its annual meeting in Detroit May 15 -17 (pre-conference events start May 14), and SWAN will be sending a group of its staff to the conference. We encourage SWAN libraries to consider attending the conference in Detroit.
SWAN applied for COSUGI membership after the board meeting last Friday. COSUGI informed us that as a consortia, all of the libraries in SWAN are now members of COSUGI. During that process we provided a list of all the SWAN libraries in SWAN.
Early bird registration for COSUGI ends March 31st and is $375 for members. Registration will be $475 after March 31st. If you have questions about registration or run into any issues, please contact SWAN's Brande Redfield for assistance:

RDA: Resource Description and Access is the new global cataloging standard, the successor to AACR2, implemented by the Library of Congress and other U.S. national libraries in March 2013, with many libraries across the country following suit. In this workshop, Tracey Snyder and Kevin Kishimoto will teach the basics of cataloging popular music, jazz, and world music audio recordings using RDA. This workshop will be invaluable for anyone who catalogs these materials and would like to learn how to do so using RDA.
Topics include:
* RDA instructions pertaining to audio recordings and their location in RDA Toolkit
* Differences between audio recordings instructions in RDA and AACR2
* Aspects of RDA and FRBR that affect access to audio recordings of popular music, jazz, and world music

A number of you may have already received the following email from Demond Warfield, RAILS Delivery Liaison, requesting your participation in a count of items being shipped from your library next week.
Demond has asked me to forward his email to our email lists.
As a point of clarification - please count every item you place in the delivery bins (whether it belongs to you or not, whether it is an ILDS return, whether it is just material dropped in your book drop that you are sending home). If you put it in the bin to be picked up, please count it. I know the form states pieces, but don't count pieces in a puzzle or individual DVD's in a set. If it is one item (DVD set, CD collection), please count it once.
Good luck with the count. Remember to pick a random item a day for tracking. It is probably easiest to track a book because you can slip the paper in the item . Thank you for your cooperation in advance.

Dear RAILS Burr Ridge area libraries,
As you are all aware, RAILS began outsourcing sorting and delivery services for libraries served by our Burr Ridge service center in January 2014. These services are now provided through a contract RAILS has with Continental Transportation Solutions (CTS). In an effort to ensure that delivery materials are being sorted accurately and that our libraries continue to receive the best delivery service possible, we would like to get a good estimate of the number of items that are processed on a daily basis. We need you help to accomplish this goal.
During the week of March 31 - April 4, 2014, RAILS is asking that each library provide an accurate count of all items (books, DVDs, etc.) that are sent out from your library through the CTS delivery service. You do not need to count items delivered to your library from CTS, only those items that you are sending out.
We understand that it will involve extra time for staff at your library to count delivery items for a week and will do whatever we can to help you with this task. Attached in this correspondence you will find a copy of the log to track your items. At the top of the document, it states "library name", please update it with your library name.
In addition to the above, RAILS would like to also incorporate random sampling of your ILL items. This process will allow RAILS to track and record inter-library transportation times. Attached in this correspondence as well, you will find a form used for tracking items. The sending library should fill out the top part of the form and enclose it with the item. For sampling purposes, please track one (1) item per day. The receiving library should fill out the lower half of the form to include the date. Upon completion, the form (s) should be sent using one of the below methods.

Everyone -
Just a reminder - If you should make the decision to close your library due to weather, please update the RAILS website. http://www.railslibraries.info/members/closings
However, there is no need to notify SWAN to update the "Days Closed" table on the day you are closed as we have recently discovered that is not effective .
The "Days Closed" Innovative software does not recognize today's date as today, but rather the following year's date. In other words, if anyone would be closed tomorrow and we enter 3/12 in the "Days Closed" table tomorrow morning the table considers that to be 3/12/15, not 3/12/14. If, however, we enter 3/12 today, it will consider your library as being closed tomorrow 3/12/14. This is due in part to the fact that the "Days Closed" table only accepts a month and day, not a year. More importantly, it doesn't recognize today as today.
I just thought it was important for everyone to be aware of this fact as it appears a significant snowfall is forecasted for tomorrow. So, if you should close tomorrow due to weather and we update the "Days Closed" table, the software will still assess a fine on any overdue materials even though the library is closed.
Sorry for any confusion.

Today the SWAN library directors voted unanimously to approve funds from the capital reserves so that the SWAN Board can complete negotiations with SirsiDynix. In summary, the vote was 52 in favor, 25 absent, 0 against, 0 abstain.
If you are want to see why this vote was unanimous, I have included the presentation from today that covers proposal from SirsiDynix that all SWAN libraries will get once we complete negotiations. This presentation goes over what SWAN will be getting, including full e-book integration into our catalog, mobile circulation for library staff using tablets, Facebook integration, a mobile app for your library, and much, much more!
We will be sending out a memo next week regarding the PLA Conference to provide guidance to attendees on how to approach ILS vendor exhibitors. Since SWAN is still negotiating, it will be important to make sure we all understand how to visit the booths and what can be shared.
