To All SWAN Library Staff:
SWAN and SirsiDynix have been working throughout the day to resolve the remaining indexing
issues and have been successful. At this time, it appears that all records have been
indexed properly and newly added records are behaving as expected. The bibliographic
services team is continuing to test records that had reported to be problematic throughout
the week, and have so far found they are now able to retrieve them without incident. If
you come across a "heading keys must be indexed first" message or are unable to
find a record through a normal search, please report the title information to SWAN via
help@swanlibraries.net<mailto:help@swanlibraries.net>.
The Symphony Workflows indexing issues also affected Enterprise, in ways that many of you
observed. Changes to items were not always picked up as expected through the delta
harvests, which run every three hours. We are currently running a full harvest, after
which all records in Enterprise should match the records in Workflows. Having corrected
the Workflows issues, we anticipate that Enterprise records will resume updating according
to the harvest schedule.
Due to the searching issues we experienced throughout the week, we anticipate a higher
number of duplicate precat and/or bib records. Please report required merges to SWAN Bib
Services using the online form.

Thank you for your patience as we worked to resolve these issues. SWAN staff were pleased
with the level of service that SirsiDynix provided while resolving this issue. The team
they assembled were able to diagnose the problem with our database, worked through the
night to monitor and adjust processes, and will continue to monitor the nightly processes
to ensure proper completion.

The processes Aaron outlined in yesterday's SWANcom were carried out by SWAN and
SirsiDynix overnight. The Bibliographic Services team has been testing this morning, and
has found that the errors have not yet been resolved.
Records that were added over the last week continue to be problematic. Testing this
morning shows that they are only searchable by title control number or barcode, and that
the "Heading keys need to be indexed first" error remains. These finding have
been reported to SirsiDynix, and their team is already investigating why last night's
processes did not resolve the issue.
The Bib Services team does report that records added this morning are being indexed
properly, and are searchable shortly after being entered, as expected. Library staff may
continue to add item records, and should not experience any issues doing so. Based on the
behaviors we've seen this morning, we anticipate continuing to have issues with
duplicate precat records but will plan appropriate cleanup when the indexing issues are
resolved.
SWAN will continue to work with SirsiDynix throughout the day to uncover the root cause of
this issue and identify a resolution. Please continue to monitor SWANcom for updates.

To All SWAN Library Staff:
We have some updates for you all this evening. The good news is that the SWAN staff with
help from SirsiDynix engineers have come up with a plan to re-index the Symphony item
database of 8.2 million records tonight which should be completed for all libraries by
tomorrow morning, Wednesday 4/29. This does require a Symphony server halt for around 15
minutes tonight, planned for 10pm. Enterprise will running the entire time.
This completely new re-index should resolve the following Symphony WorkFlows problems:
* Records that staff added this past week may not be fully searchable, and when
doing a browse search, you may see the message "Heading keys need to be indexed
first."
* Tech services staff cannot search the database for duplicates before adding
items. They have been either sitting on items and potentially increasing their backlog
from the migration, or adding items blind and potentially creating duplicate records that
will require more cleanup.
* Tech services staff cannot find records that need updating
* Public services staff cannot find material on the shelves or place holds
* Selectors cannot search for materials they are evaluating
Read on for the details.
On Monday, SWAN staff concluded that the indexing plan outlined originally by SirsiDynix
was not working fast enough. We were processing around 20,000 records per night. With new
records being added into the system, and with the backlog of 200,000 records due to mass
data changes, we huddled up with SirsiDynix to come up with a new plan.
So my apologies for not having a good answer for you on Monday or most of the day Tuesday.
We simply didn't have a new plan in place yet. SirsiDynix staff are going to work the
entire night to fix this problem you have been struggling with for the last week.
The work tonight will also benefit SWAN in the future, as it involves some redesign of our
database to ensure full re-indexing of Symphony will run much faster.
We will have SWAN staff in early around 7am Wednesday to verify the new indexes are
working correctly. Another SWANcom will be sent out in the morning.
