The attached memo is an update on the ProPay accounts and integration within Enterprise. A majority of SWAN libraries are *not ready* for the Enterprise integration, so I urge all directors to review the memo and work with your staff (business manager, etc.) to make sure ProPay is active.
SWAN was testing Enterprise integration on Thursday last week, and took some corrective action with some negative balances that resulted in our 25 cent tests. This is noted on page 2 of the Migration Memo #16 attached.

Thank you for your responses to the Enterprise checklist. Using your responses as a guide, we have completed building the external and internal Enterprise profiles. Please see the document "Enterprise URLs" at https://support.swanlibraries.net/documentation/sirsidynix (login required) to review the differences between the internal and external profiles and verify the URL for each. These profiles are live, but please keep in mind the data load has not completed. You will not be able to log in, and there will appear to be errors with the visible data.
Many library staff have contacted SWAN with questions about modifying the catalog search box on their website and updating existing catalog URLs. We have created a short guide to Enterprise linking, available at https://support.swanlibraries.net/content/enterprise-linking-guide (login required). This page includes code for a simple search box as well as patterns for constructing links to specific search results.

In the midst of the migration excitement, we wanted to provide a quick update on the Board election process now that the self-nomination window has ended, per SWAN by-laws.
We received nominations and Statement of Interests from the following candidates for your consideration in the upcoming election: Amy Crump, Homewood Public Library; Jim Deiters, Oak Lawn Public Library; Anne Kozak, Thomas Ford Memorial Library; Dan Powers, Lyons Public Library; and Stacy Wittmann, Eisenhower Public Library District.
Our election will officially open for voting on Monday, May 4th. I will send out a SWANcom once polls are open. They will remain open until Friday, May 22nd at 5pm CST. The results will be announced at our June 4th Quarterly meeting. The new board members will begin serving their term on July 1st.

Bookmark #4 is ready for your use! This bookmark is an editable template that you can use to communicate anything you like about the new system to your patrons post go live. The bookmark and supporting documentation can be found here:

For instruction, please first read the 'READ ME' document file (or, I've included the text below). This will help guide you through the creation of your own bookmark. If you'd like to print your bookmark using a printing service, the one that I utilized for the previous bookmarks in the series was www.gotprint.com<http://www.gotprint.com>.
Leading up to the migration, SWAN has provided three bookmarks focusing on features of the new ILS, changes your patrons can expect, and notification of down-time. If you would like to produce another bookmark focusing on other features of the system such as text message notifications, pick-up anywhere, support for multiple language, or anything else, we are providing bookmark templates that match the look and feel of the previously released bookmarks.
The folder "out-sourced printing" contains a bookmark front file, and back files that you can customize with information you think will be pertinent to your library's patrons. The customizable back is available in Photoshop and Publisher formats. Please open the file specific to your preferred software. These files are sized to the specifications of gotprint.com. However, they should be compatible with most other online and local printing companies as well
The folder "in-house printing" contains 8.5x11 files (four bookmarks per page) that are ready to customize and print. Available in InDesign and Publisher formats, please open the file specific to your preferred software.
You will also find the fonts used in these designs (Baskerville and Clarendon) which can be installed onto your computer.

To all SWAN library staff:
The final data extraction and load begin today. As part of the data load, the previously loaded data on Symphony production server will be deleted this afternoon. The production server will not be accessible until staff are notified on April 14 that we are ready to go live. This also means that while Enterprise will technically remain up and functional, there will be no bib records or items for it to display, and you will not be able to log in.
The Symphony test server will continue to be accessible until we begin offline circulation on Friday, April 10 at 9:00 PM.

SWAN has received a lot of great feedback about the offline process and is currently working to process this feedback. We'll send another email with our observations and clarifications as soon as we're able.
Also, just a reminder - the Symphony WorkFlows production server will not be accessible again until go-live, as we're currently processing our final data import. Expect more details on this process in an upcoming memo.
The test server (10.120.131.40), however, will remain accessible until the three days of offline (April 11th-13th). So please continue any testing and training from the test server using your previously assigned WorkFlows test logins.

Just to clarify, this test should be performed on EVERY computer that will be circulating materials.
This is necessary to download specific policy files from our production server that will be essential for the three days of offline. These files are downloaded with a successful login to the production server.

Many of you have begun to receive emails from ProPay notifying you of the account creation. These emails are going to the contact listed on the ProPay application, so make sure to check with that person to verify they have received the following two emails.
1. Subject: "ProPay Account" (contains your temporary password)
2. Subject: "The information you requested" (contains your account number and a PDF attachment)
SWAN has created an introduction to the ProPay account. This document covers the basics for getting access and setting up additional users to the account. The link below is Member's Only (login and password required).

SWAN will create additional documentation on the use of online payment within your Enterprise profile. For now though, each library should begin to set up your access to ProPay.
*Important note*: for whatever reason the bank account you listed on the ProPay application was not entered into your ProPay account. Please make sure to reference a copy of the ProPay application or request this bank account information again as you will need to enter it per the instructions.
Due to privacy and security, SWAN did not retain any of the applications or open the sealed envelopes. The library application was sent directly to ProPay.

No longer will libraries be using dummy item cards- after 15 years you can finally throw them away. This process involves adding a Brief Title to Workflows to circulate the item. After circulation the item is deleted from SWAN by the circulating library. While checked out to your patron the item is shadowed in Enterprise to all other users. The patron will see the title entered in their list of checked out items. By entering the Brief Title to SWAN, you can place a hold on the item, generate a hold notice for the item by checking the item in, and after generating the hold even place the item on your open hold shelf for patron pickup.

Our bookmark #3 in the migration series is now ready and will be shipping out soon!
The focus of this bookmark is "To Keep in Mind," and it shares with patrons the news of the offline period from April 11-14, and what this will mean for them. It also notes that any saved web browser link to the catalog may be changing as well, depending upon which page that they've bookmarked. I've attached the high-resolution .tif files to the post below, if you'd like to print out extra copies or use them for other materials.

Our 4th and final bookmark will not be an actual print version - we will be sharing with you an editable template so that you can create your own, post go-live. This way libraries can customize the final one to highlight any key issues to educate patrons on, specifically relevant to your library. I'll send along this template closer to go-live.

Please see the linked Migration Memo #14, "WorkFlows Offline & Login Test Day", and route to your appropriate library and IT staff. This memo details the process for an upcoming WorkFlows & Login Test Day, which is a mandatory test to ensure your library is prepared for the offline days (April 11th-13th) leading to go-live. The test requires library staff members to perform a short series of circulation tasks in Offline Mode, followed by a login to the Production Server to upload data and verify your login is working correctly. Logins to the Production Server will be distributed in a memo to be released later this week.

The SWAN Migration newsletter "The Journey Ahead" issue 3 for staff is now available. This will be our final newsletter pre- go live, and so we've tried to include helpful pointers about what to expect, an updated timeline, what will be changing, and all of the "need to know" items for patrons.
Also available is a patron Quick Start Guide, created by PR staff at Eisenhower Public Library and adapted for SWAN member library use. I do also have a writeable Publisher version for you to edit as you see fit, if you would like it. Please email me directly if you'd like the writeable version, as I could not attach it to the website post.
Our bookmark #3 is scheduled to be delivered this week to Burr Ridge, so I hope to have those packed and out to you by next week. I know that you probably have some extra green bookmarks still left over, so it is totally fine to have both out for patrons. Bookmark #3 alerts patrons to our expected "offline" time of April 11-13, and what this will mean for them.

The extended due dates put into place last week for items receiving a loan period of 21 days are still in effect. In addition, SWAN has edited all 14-day loan rules this morning with the same parameters.
* All materials checking out for 21 days or 14 days should receive an absolute due date of 4/20/15.
* If items have holds, you may see them receive a due date that exceeds 4/20/15.
* Items will be non-renewable. Please check in and check back out your own materials as a temporary workaround.
We apologize for any inconvenience and appreciate your ongoing patience throughout this process. Any further loan rule edits made will be announced in a subsequent SWANcom.

SWAN Library Staff:
Please be aware, this weekend we will be performing scheduled maintenance on the SWAN Symphony Test server to resolve several issues and refresh configuration settings. The planned outage will begin this evening at 8pm, and the server may be offline throughout the weekend. During this time, WorkFlows will be unavailable for testing.
This outage will not affect any of the Millennium servers you're currently using for normal daily operations. This only affects our SirsiDynix Symphony servers.
We'll send additional SWANcoms prior to the maintenance and when the maintenance process concludes.
