Hi everyone,
Please share with your technical services and circulation staff.
New Item Type
A new Item Type BLURAY_BOX is now available for Blu-ray box sets. We have also added a "new" version of this item type - BLURAY_BOXN. If your library wishes to circulate Blu-ray box sets differently when new to the library (in regards to holdability, etc.), you may want to use both BLURAY_BOX and BLURAY_BXN. Please contact us if your library would like to use these Item Types and we will work with you to set up the individual library circulation details. Please send an email to help(a)swanlibraries.net<mailto:help@swanlibraries.net> or contact Karen Bar at 630.734.5138.
Deletions and error messages
There have been reported issues when libraries attempt to delete items and receive a message that the item cannot be deleted because there is an open order on a title or a hold on the title. SirsiDynix confirmed that this is how the software works, and this cannot be changed. For example, Library A will not be able to delete their item because Library B has an open order on the title. The same is true for holds, even if your library item is not eligible to fill the hold. The recommended action if you are attempting to delete an item and receive one of these messages:
Set the item to DISCARD by one of these methods:
1. Change the Home Location to DISCARD
or
2. Check out to the DISCARD user.
Either of these methods will shadow the item until it is eventually deleted with the monthly batch deletions.
Thank you and have a great weekend.

For those of you who may have been wondering, at present you still need to check with your vendors to get your e-book statistics. At some point in the future, BlueCloud Analytics will be able to supply you with these statistics. Presently, SWAN is investigating another method of acquiring and distributing your e-resource statistics to you, but please continue to get your statistics from the vendor until we notify you otherwise. Thank you.

I wanted to let everyone know the events that SWAN has planned for July. All of these meetings are in the Meeting Room at our offices (RAILS Headquarters). All of these meetings are now open for registration. In the future, we plan on scheduling User Group Meetings quarterly.
First of all, we have a number of User Group meetings (click on the link to register):
July 14th we will be hosting 3 user group meetings. You are invited to attend 1 ,2, or 3 sessions. Please register for whatever meetings you would like to attend.
Cataloging 9am - 11 am http://www.librarylearning.info/events/?eventID=20524
Serials 11:15- 1:15 http://www.librarylearning.info/events/?eventID=20585
Acquisitions 2:30 - 4:30 PM http://www.librarylearning.info/events/?eventID=20586 .
July 16th we will have our representative from Unique Management here to answer any questions regarding Debt Collection and the SirsiDynix debt collection reports. You can register on L2 http://www.librarylearning.info/events/?eventID=20508 for this 2:00 PM meeting. If you do not currently use Unique for Debt Collection, feel free to attend to find out more about this service.
July 23rd Circulation Users Group meeting http://www.librarylearning.info/events/?eventID=20523 Meeting runs from 9:30 -12:00. Come with your questions and tips you have to share.
The workshop that a number of people have anxiously been waiting for:
July 21st Reports training - we plan on discussing and demonstrating the current reports module and introducing the BlueCloud Analytics report tool (if ready for prime time). Workshop is from 9:30 - 12:00 http://www.librarylearning.info/events/?eventID=20554 This workshop will be repeated again in October.
For something completely different, how about an explanation of how Symphony Workflows really works (AKA SWAN Symphony GUTS Training). Learn about the tables, maps, and policies that drive Symphony. There are four opportunities to attend this workshop at our offices and one online session planned.
July 29th 9:30-12 :00 http://www.librarylearning.info/events/?eventID=20515
July 30th 1:30- 4:00 http://www.librarylearning.info/events/?eventID=20516
Aug 3rd 9:30-12:00 http://www.librarylearning.info/events/?eventID=20517
Aug 4th 1:30-4:00 http://www.librarylearning.info/events/?eventID=20518
Aug 6th Online session 9:30-12:00 http://www.librarylearning.info/events/?eventID=20519
Hope to see a number of you there. We realize that Summer Reading is going on during all these meetings and apologize for the timing, but we thought it best to touch base with the User Groups as soon as possible. The Reports training is scheduled in July, but will also be available in October. And everyone loved the idea about learning how Symphony really works and just couldn't wait for this workshop.

Everyone-
As you may have noticed a few of your patron (user) records have a new message in the Extended Info Note field. The note says: "Please verify patron addresses due to the migration."
This note was created in a patron record by Unique Management Services when they verified your patron at another address in the NCOA (National Change of Address) database.
The purpose of the Note was to draw your attention to the patron's new address in their record. Hopefully, this Note will remind staff to verify exactly what the patron's current address is the next time they visit the library.
Some libraries have asked for a list of their patrons (users) that have this added Note to work on the verification of these patrons' current information. We are happy, by request, to provide your library with a report that lists your patrons that need verification. Please send an email to help(a)swanlibraries.net<mailto:help@swanlibraries.net> to request a report for your library.
And everyone have a good weekend.

To SWAN Library Staff:
We will be implementing two changes to wording in Enterprise, which will take effect tomorrow.
* First, the user status DELINQUENT will now say ALERT. Please note, this change will also affect staff views in Workflows.
* Second, the location "Standard shelving location" will be changed to Stacks in Enterprise.
Please see the attached document for screenshots of where you can expect to see these changes. These changes will affect all libraries and all Enterprise profiles, and there is no action you need to take.
SWAN received many comments that use of "DELINQUENT" was overly negative and off-putting to patrons. In order to change the use of the word in Enterprise, the change also had to be made to Workflows. Some library staff sent suggestions to help(a)swanlibraries.net<mailto:help@swanlibraries.net>, which were all reviewed by the Discovery and User Experience team, as well as SWAN staff. In the end, it was decided that ALERT encouraged patrons to check the status of their account, without a negative connotation, and without specifying in how their account is delinquent (items overdue, fines owed, or both).
It was also reported that "Standard shelving location" was confusing to patrons. "Stacks," the corresponding location in Workflows, will appear in Enterprise instead of the longer description. The stacks location is the equivalent of the three letter location codes from Millennium (ams, bfs, wrs, etc.), and is shared by all libraries.
Thank you to everyone who shared patron comments, staff experiences, and suggestions for changing these two elements. Please continue to share your feedback at help(a)swanlibraries.net<mailto:help@swanlibraries.net>.

Everyone -
It's a new day! As of this morning, we are able to effectively block NON-SWAN RB patrons ( this includes Chicago Public) from placing holds in Enterprise, while allowing staff to place holds in Workflows for them. This means that staff can allow the software to control what is holdable to these patrons in Workflows. There is no longer a prompt for an override. In addition, gone are the additional restrictions that only copy holds can be placed on only your items for NON-SWAN patrons. You can place System level title holds without using an override, except in rare instances (Non-Circ items, etc).
Non-SWAN RB and Chicago patrons can in the My Account area of Enterprise: Change their PIN, Set preferences, Setup text messaging, View checkouts, Renew items if eligible for renewal, Cancel holds, Change Pickup point (only to those libraries that have opted in to "Pickup Anywhere"), Suspend holds, Un-suspend holds, and View fines. The only thing they can't do is place a hold.
Enjoy!!!!!

Everyone
The statistics for the month of May are now available on the SWAN website <https://support.swanlibraries.net/content/2015-sirsidynix-stats> (click on the Statistics tab and choose 2015 SirsiDynix statistics).
We have 12 statistical reports available for you.
* We have Checkouts by Interface, Renewals by Interface, and Holds by Interface - you will notice there are columns listed as SVA, Bookmyne, and unknown you will begin to see statistics in these columns in the near future. For your total circulation count, dependent upon library policy, you may want to add renewals and checkouts.
* Then we have checkouts by our new user categories ( which I have referenced as pcode2, pcode3, and pcode4 for ease of use).
* Monthly checkouts by Item Library/Library Profile will give you your reciprocal borrowing stats - just remember to subtract checkouts to your library users profiles.
* Monthly checkout by Charging Library/ Item Library will give you your ILL activity - but again you would need to subtract checkout of your material at your library (charging library). It is easier to use the Monthly ILL Sent and ILL Received where the checkout of your material at your library (including any bookmobiles), has been removed for you. Remember ILL Sent is read down, ILL Rec'd is read across.
* Monthly checkins by Charging library/Item Library
* Monthly In-house Use - you must use the Mark Item Used Wizard to generate this statistic
* Monthly Users Added
We will be adding two more reports ASAP -
* Monthly Bibs Added
* Monthly Items Added

There has been an issue with generic patrons being selected for collection when we run the reports for Unique. To correct this problem, SWAN has created a new status in the User record under the Library Defined category of "No_Unique" . This new "Library Defined" category will be available to the libraries tomorrow, after tonight's halt and run. For any generic (in-house) patrons and/or actual patrons that should not be sent to collection, your library staff should change the "Library defined" category in those records to "No_Unique". As we run reports in the future, these users will not be selected for collection.
To update these special patrons beginning tomorrow morning:
* In Modify User retrieve the user record you want to update
* Under the Demographics tab, in the Library Defined category, choose "No_Unique from the dropdown.
* Click on Save to store change.
