SWAN Member Library Staff:
WorkFlows is back online and accessible, once again. The issue was related to a virtual snapshot that had unexpectedly initialized on the Symphony Production server. We do not anticipate further issues for the remainder of the day.

To All SWAN Library Staff:
Thank you all for your continued feedback on Enterprise. We are continuing to learn a lot from library visits, hands on Enterprise discussions, and your comments to help(a)swanlibraries.net<mailto:help@swanlibraries.net>.
As part of our ongoing data cleanup to improve Enterprise, SWAN will be reconfiguring Item Category 1 and the related format facet in Enterprise. We are also considering adding new facets and changing the labels on the Include and Exclude buttons. Before we make any additional changes to Enterprise, we need your feedback.
Please let us know which facets and specifically which format options would be most useful to you and your patrons by completing the survey at https://support.swanlibraries.net/news/2015-10-30/enterprise-surveys by Wednesday, November 4th at noon.
All library staff are encouraged to submit a response, regardless of position or service area. Updating all 8 million items will be a big project, and we want to make sure we get it right. Thank you in advance for taking the time to share your opinions.

Expanding Resource Sharing for Illinois Libraries with OCLC Resources
On Monday, November 9, from 2:00 p.m. to 3:30 pm, OCLC staff will present OCLC Resource Sharing for Illinois Libraries at the RAILS Burr Ridge Service Center and via live streaming. This presentation will update library staff on OCLC's resource sharing products and OCLC staff will answer questions. This is an opportunity to learn more about the resources available to you right now as Illinois library system member to expand resource sharing for your library patrons.
This update will include:
* An overview of WorldCat Discovery and the Illinois Group Catalog, and review additional benefits of your library-specific Discovery URL for customization
* WorldCat and FirstSearch Base Package database migration to WorldCat Discovery Services timeline and the importance of early adoption while services are running in parallel
* Integration of WorldShare ILL and WorldCat Discovery to streamline work and support both reference and resource sharing in partnership
* WorldShare Record manager and Collection manager as possible ways to help assist you with cataloging and e-resource management.
You may register here: http://www.librarylearning.info/events/?eventID=21391

Today at the Circulation Managers workshop SWAN announced a new Workflows feature ---SMS Message. With SMS Message staff can send a message to an individual patron that has opted-in to SMS Messaging and the SMS Manual Message in particular. This feature should prove to be handy when a patron has left something at the Circ desk or if you have a short message to send to them. You might want to test this feature out at your library by having a staff member opt-in and then sent them a quick test message. Enjoy.
Any questions, please contact Member Services by opening a ticket at help(a)swanlibraries.net<mailto:help@swanlibraries.net> or calling us at 630-734-5153.

The User Manager ID helper allows a library to quickly and efficiently update User IDs in Modify User. Please see the attached document to see if this helper would be of assistance at your library. Circulation Managers, please open a ticket to request that we add this helper in the Modify User Wizard.
We will be demonstrating this Helper along with a number of other Properties that we can enable for your library at the upcoming SWAN Circulation Manager workshops. http://www.librarylearning.info/tags/?SWAN+Circ+Managers Hope to see you there. Everyone -
I hopes of curtailing the number of patrons reporting they have not received their emailed hold pickup notices, SWAN has made two changes to the email pickup notice process today.
Starting tomorrow, we will be running email hold pickup notices 5 times a day, instead of twice. This is to hopefully eliminate huge mailings that might be resulting in the emails being dumped as spam by the patron's email service. Hold pickup notices will now be run at 9 AM, Noon, 3 PM, 6 PM, and 9 PM. I have updated the message in the hold pickup notice. The Subject line now reads "Library Hold Notice" and the message now reads -"The item you requested is available for pickup at the Library. Please visit the library within the next 7 days to pick up your item. Thank you."
Starting tomorrow we will begin running a second email notice. This notice is sent as a reminder to notify patrons when their hold has been on the hold shelf for four days. This will run every day at 5 PM. Hopefully, those commuters that read their email on the train will get a timely reminder to stop by the library on their way home. The Subject line now reads "Library Holds Notice" and the message reads -"The item you requested is available for pickup at the Library for three more days. If you are unable to pick up the item by then, your hold will be automatically cancelled at that time. Thank you."
I hope with this tweaking to the process, we will have more happy patrons. If you should have any questions, send in a ticket (help(a)swanlibraries.net<mailto:help@swanlibraries.net>) or give me a call (630-734-5162). Happy weekend.

Just a quick reminder that the election ballot for the SWAN Circ Advisory Committee closes tomorrow at Noon.
We ask that there is only one ballot cast per library, and recommend that it is cast by the Circulation Manager/ Supervisor.
You will find the election ballot here: https://fs8.formsite.com/SWANServices/SWAN-Circ-Election-2015/index.html. Over 40 libraries have already voted, if you haven't had the time yet you have just 27 hours left. Seriously, thank you to all who have voted. On behalf of RAILS Delivery & Facilities Director Mark Hatch:
RAILS has renewed our delivery outsourcing agreement with Continental Transportation Solutions (CTS) effective Sunday, October 25, 2015. One major change will take place with the renewal that will affect libraries in the Burr Ridge service area. Beginning on October 25, deliveries will take place from Sunday night through Thursday night and incoming materials will be available for library staff each weekday morning. For example, materials delivered Sunday night will be ready and waiting on Monday morning. This change will make it easier for CTS to process materials more consistently and will even out the delivery load. There will be no other changes to the service CTS provides your library and you will continue to process outgoing materials in the same way. Once again, this change will take effect on Sunday, October 25.
If you have any questions about this change or your CTS delivery service in general, please contact your RAILS delivery liaison, Demond Warfield, at 630.734.5142 or demond.warfield(a)railslibraries.info<mailto:demond.warfield@railslibraries.info>.

This evening at 9:15pm, to resolve intermittent encryption issues and improve overall security of our Enterprise OPAC, SWAN is planning a brief outage of Symphony Web Services, which acts as the link between Symphony WorkFlows and Enterprise OPAC servers.
This outage is expected to last only 15 minutes, but likely far less. During the outage, the "My Account" and holds functions of Enterprise will be inaccessible. No other visible services should be affected by this outage.
We'll send an additional SWANcom this evening when the process has completed.

SWAN Member Library Staff:
After further investigation, we've found that the server outage that occurred this morning at 9:48 was likely preceded by some transactional data loss. This data loss occurred between 9:31 and the outage at 9:48.
What this means is that any changes to the Symphony database, including circulations, bib record modifications, and patron record additions were likely lost during that time. Please attempt to recapture any transactions and changes that may have occurred at that time to the best of your abilities.
We have determined the root cause of the issue and have taken precautions to ensure no further issues are encountered. We sincerely apologize for the trouble this has caused, and are grateful for your patience as we worked toward a resolution.
