Subject: [SWANcom] *Important* (Reminder) Upcoming ILS Upgrade to Symphony 3.5.1.1 on 7/11
Importance: High
SWAN Member Library Staff:
Just a reminder – this evening, we’ll be upgrading to the newest Symphony WorkFlows version, 3.5.1.1. Tomorrow morning, upon initial login to WorkFlows, you will likely be prompted with the following pop-ups…
[cid:image001.jpg@01D1DC0A.33095B90]
Or
[cid:image002.jpg@01D1DC0A.33095B90]
Please do not click “Yes” for the automatic update. You’ll need to install the latest SWAN WorkFlows version available at the SWAN support site at the link below. The SWAN MSI package provided will uninstall your previous version and install the latest with additional SWAN features included.
https://support.swanlibraries.net/content/software-downloads (L2 login required)
Your current version of WorkFlows (3.5.0) will continue to work as expected; however, you will need to install the new SWAN WorkFlows 3.5.1.1 package sometime within the next month and submit a Formsite survey for your library to complete the upgrade process. The deadline for the upgrade is August 12th.
Should you encounter any issues during the installation process or following this evening’s server upgrade, please email help(a)swanlibraries.net<mailto:help@swanlibraries.net> or call 630.734.5153.

SWANTech<https://support.swanlibraries.net/taxonomy/term/78>
SWAN Member Library Staff:
Overnight from Monday 7/11 at 10:00pm to Tuesday 7/12 at 6:00am, SirsiDynix will be upgrading SWAN’s Symphony ILS from version 3.5.0 to 3.5.1.1. This upgrade will require intermittent downtime throughout the overnight hours, and the Enterprise OPAC My Account functions will also be inaccessible during this time. A banner will be posted to the Enterprise homepage to notify patrons.
Similarly to past ILS server upgrades, a new WorkFlows client will be required to take advantage of the new features and bug fixes; however, this client upgrade is not required until AFTER the server upgrade has been completed on 7/12.
Following the upgrade and go-live on 7/12, your current 3.5.0 WorkFlows client will continue to function as expected - you simply will not have access to the new features and bug fixes. That being the case, there is no rush to complete the installation immediately afterward. SWAN will not be requiring client upgrades until after we’re live on 3.5.1.1 on 7/12, and libraries will have up to one month to complete the upgrade and submit a FormSite completion survey, which will be provided with the download link and documentation.
Important Notes:
Please do not click the “Update now” options prompted from the WorkFlows client after go-live.
- SWAN utilizes a customized setup MSI that incorporates additional features and functions. This setup MSI will also uninstall previous versions of WorkFlows automatically. One day prior to go-live, SWAN will release the new documentation and MSI via the support site at https://support.swanlibraries.net/content/software-downloads. We request that you install this client after we’re live on 3.5.1.1 on 7/12, but no later than 8/12.
- Early installation of the 3.5.1.1 MSI will not cause issues, although users will be prompted to downgrade their WorkFlows version when attempting to access our Production server (which is not necessary – this prompt can be ignored and they can still access the Production server).
- If you do happen to click the "Update now" button, you may need to uninstall/reinstall your WorkFlows client later on for access to specific SWAN features.
A few specific advantages to the new Symphony 3.5.1.1 version include the following:
- Inventory Item Wizard no longer incorrectly updates the Last Activity Date of an item
- Signature pads now support additional languages, including Spanish and Polish, based on the patron’s set language preference
- WorkFlows client runs on an updated Java JRE, improving security and reliability of the application
- WorkFlows toolbars have additional font and icon sizing settings for better visibility
If you have any questions about the upgrade or encounter issues, please contact SWAN Support at 630.734.5153, or submit a ticket via email through help(a)swanlibraries.net<mailto:help@swanlibraries.net>.
An additional SWANcom with a link to the 3.5.1.1 client and installation documentation will be sent on 7/11.

SirsiDynix has fixed the problem with transaction statistics and the June stats are now available on the support site:

Everyone -
We are in the process of posting Checkouts, Renewals, and Hold statistics to the SWAN website for the month of June. https://support.swanlibraries.net/content/2016-sirsidynix-stats
I generated these very basic reports in BC Analytics in order to give you something to show your boards. Unfortunately, I can't generate them by interface. I'll try again tomorrow.
We are still awaiting news on the case we have opened with SirsiDynix regarding the problem with our statistical reports this month. When we hear something you will be the first to know.

SWAN Member Libraries:
Over the past month, our Member Services team has been working to find the perfect replacement for retiring Consultant Extraordinaire Renee Clanton (not that she can ever be replaced!) to help you with all of your system questions, tickets, and training. We have also been aware of increasing numbers of tickets and opportunities for training since moving to our new software, and found this to be the perfect opportunity to provide even more support to our membership.
Therefore, we are excited to announce that we've moved forward with the addition of not just one but two wonderful new additions to our consultant and training team. In the month of July we will have Vickie Totton starting with us on the 13th, and Crystal Vela starting on the 18th.
These names may sound familiar to you! Both Vickie and Crystal have served on the SWAN Circ Advisory group for many years, and were crucial to our ILS migration process as they both were Circ Mentors who provided training on Sirsi modules to our member library staff. Additionally, Vickie was a member of the ILS Search Committee during the 16 month search process, and Crystal served on our Circulation Task Force.
We feel incredibly fortunate to add such a wealth of experience to our team. Please join us in welcoming both Crystal and Vickie to the SWAN staff!

SWAN Member Libraries & Information Technology Staff:
Just as a follow-up to our post from last year, SWAN IT staff have been running Windows 10 for over six months and have not encountered any significant issues with relation to SWAN's WorkFlows or Enterprise versions. We're also aware of several member libraries that had performed the upgrade to Windows 10 on many staff computers, and they have not encountered any notable incompatibilities. That being the case, any libraries looking to upgrade to Windows 10 now, prior to the expiration of Microsoft's free upgrade offer on July 29th, should feel free to do so.
If you do encounter any incompatibility issues following the upgrade to Windows 10, please be sure to report them to our ticket system at help(a)swanlibraries.net<mailto:help@swanlibraries.net> for further investigation.
Thank you,

Subject: SirsiDynix Compatibility with Windows 10 and Microsoft Edge
Importance: High
SWAN Member Libraries & Information Technology Staff:
Microsoft Windows 10 is here, and I know many IT administrators are excited to get it installed and running at your local libraries; however, we ask that you exercise caution when upgrading to the new platform, as it has not yet been fully tested and certified for compatibility with our version of SirsiDynix WorkFlows or the Enterprise OPAC. That being the case, abnormalities may arise, potentially in the areas of user permissions, Java functionality, and printing. SWAN staff will begin testing the new Windows platform alongside SirsiDynix as soon as possible and post any discovered issues to the "Known Issues<https://support.swanlibraries.net/content/known-issues>" page on the support site, but please know that until the platform is certified, we will be unable to troubleshoot issues to the fullest extent.
The official statement regarding Windows 10 compatibility from SirsiDynix is as follows:
"With the release of Windows 10 from Microsoft this week, SirsiDynix is currently working to ensure that all product applications and services are compatible with the OS and its new browser, Microsoft Edge. Our first priority is to certify Windows 10 for Enterprise, Portfolio, eResource Central, BLUEcloud PAC, e-Library, HIP, EOS.web, and Social Library.
SirsiDynix recommends that sites not upgrade their staff workstations to Windows 10 until it has been certified."
If you have any questions about WorkFlows compatibility or are running Windows 10 and have an experience to share, please email the SWAN IT team at it(a)swanlibraries.net<mailto:it@swanlibraries.net>.

SWAN Member Libraries -
As we move forward to prepare for the fiction/nonfiction facet in enterprise, it is necessary to edit an additional field when creating a pre-cat record. You will need to populate the Fiction fixed field highlighted below:
[cid:image002.jpg@01D1CC8A.3E5C3B00]
The fiction/nonfiction facet will be used for print and audiobooks only. Please populate the Fiction fixed field as follows:
Print or Audiobook: Enter "1" for fiction material.
Enter "0" for nonfiction material.
All other materials: Leave this field blank.
While there are a variety of codes that might appear in this fixed field in a full MARC record, this is an effort to keep the code as generic as possible while still populating the Item Category 3 correctly. Please be advised that this choice should not be based on local practice but should reflect literary form. For example, board books should be coded as fiction even if your library classifies these items as nonfiction.
Accurate population of this field will allow pre-cats to be included in search results when applying the new fiction/nonfiction facet.
If you have questions, please submit a ticket to help(a)swanlibraries.net<mailto:help@swanlibraries.net>.

Everyone -
I just wanted to share with everyone we had two perfect runs on SVA this weekend. YAY! So, it appears that all the bugs are worked out.
Just as a quick review of the process and the role of local libraries.
SVA is scheduled to notify patrons of three distinct situations:
1) Hold pickups
2) Overdue items
3) Billed items
Although a few libraries have requested that SVA only contact patrons for hold pickups (you can request this for your library if you wish).
Overdues and bills are run in the morning. Hold pickup notices are run three times a day ( 9:55 AM, 12:55 PM, and 3:55 PM). As a reminder, phone calls are made between the hours of 10:30 AM and 7:30 PM (Mon. - Fri.) and 11:00 AM and 6:00 PM (Sat. - Sun.).
At 7:55 each evening, a report is run to list any patrons that were not contacted after 3 attempts (either in person or voicemail)
After that, another report is run which checks to see if any of these patrons have an email address in their record. Those that do, receive email notification of their hold pickup, overdue, or bill.
The remaining patrons (those without an email) have a notice created ready to be printed and mailed in the morning. SWAN only prints the overdue and bill notices. There is no point in printing the hold pickup notices as the patron would probably receive the mailed notice after the item has expired on the hold shelf.
What SWAN libraries need to do to complete the process
We have created a new profile to be used by the SWAN libraries to check "finished reports" for any failed hold pickup notices. This profile is NOTICES/NOTICES (similar to Report/report). After 8 PM, each library should login to reports using the NOTICES/Notices account. Under "finished reports" check for a report for your library " SVA Pilot - SVA Failed Calls Notices - Hold Pickup only:XXX. (XXX being your library code). If there is not a report listed, all your patrons were notified of any hold pickups for that day. If there is no report, your work is done. If there is a report- please view it in order to determine which patrons need to be contacted by you about their items on the holdshelf. After you have printed the list of the patrons you need to call, you may delete the report for your library.
Good luck everyone, if you have any questions just open a ticket or give us a call.

SWAN Member Libraries,
We're thrilled at the excitement building around our July 22 user event, our first annual Summer SWANstravaganza. Our event registration page is now open, where you can buy tickets at $28 each, which will cover the cost of food for the day. SWAN is finalizing menu options with the vendor, and will be sending out a follow-up email to event registrants with options for them to select meal choices, as well as session preferences. We plan to scale the sessions by registrant interest to make sure that you'll be able to attend the trainings and sessions that are most important to you. The follow-up email will be sent to registrants as soon as the information becomes available. Thank you for your patience as we prepare for our first user event-we're so excited to host the membership this summer as we strive to improve library services!
More information can be found on our support website at https://support.swanlibraries.net/news/2016-06-20/registration-now-open-jul….
