SWAN Member Library Staff:
SirsiDynix is working on an issue with their BCA server resulting in very slow load times in BlueCloud Analytics.
We will update when the issue is resolved.

Everyone-
Auto-renewals is a custom report that automatically attempts the renewal of materials checked out at your library two days before they are due.
This report, which will be run daily, checks to see if the item is eligible for renewal based upon two factors:
the renewal limits set by the circulating/charging library
whether there are any holds on the item/title.
If renewal limits have been met or there are any holds on the item the renewal is declined.
SWAN anticipates rolling out Auto-renewals as soon as Symphony has been upgraded to 3.5.2 . This is tentatively scheduled for the first week of May.
Auto-renewals will be released as an opt-out report, in other words if you choose to have your library not participate, you need to notify SWAN of your decision. You can opt-out by opening a ticket at help(a)swanlibraries.net<mailto:help@swanlibraries.net> by April 24th.
Please note --If you choose to opt-out of auto-renewals, those items checked out by your patrons at other participating libraries may be renewed if they meet the above stated criteria.
For all the specifics on this report, please view the attached documentation.
If you should have any questions, please contact SWAN Member Services at help(a)swanlibraries.net<mailto:help@swanlibraries.net> or 844-SWAN-LIB.
Have a great weekend.

This morning's planned network cutover of the RAILS/SWAN Datacenter has concluded successfully. The actual downtime experienced was less than one minute.

*Important* RAILS/SWAN Planned Network Outage on Wednesday, March 29th between 7:30am-8:30am
03/28/2017 - 12:15 - by Steven Schlewitt
SWAN Member Library Staff:
RAILS will be working with ICN to perform a network cutover of the RAILS/SWAN Datacenter tomorrow between 7:30am and 8:30am. While an hour is being set aside, RAILS has informed us that the actual migration between the networks should only take between 5-15 minutes, as everything has been preconfigured and tested.
The following SWAN services will be impacted during the outage:
- Symphony Server
* All WorkFlows access (cataloging, circulation, etc)
* SIP2 3rd Party Vendor Integration (databases, electronic media)
* SIP2 Hardware/Software Integration (AMH, self-check, PC reservation, print release)
- Enterprise
* My Account Features
* Commerce
* Item Availability
- SWAN Support Site
- SWAN Ticket Site (OTRS)
- SWAN MailMan Service (SWANcom)
- Bookmyne
- MobileCirc
Again, this outage is planned from 7:30am and 8:30am, but if all goes to plan, it should last no longer than 15 minutes. In the event that the outage should extend beyond the anticipated timeframe considerably, we'll issue a notice via MailChimp to notify the membership. Additionally, if you have any questions about the downtime or encounter any issues afterward, the SWAN Support Team will be accessible via help(a)swanlibraries.net<mailto:help@swanlibraries.net>, or the toll-free number 844-SWANLIB.
Thank you.

Error Using Load Bibs and Load Bibs with Order Info Reports
03/24/2017 - 14:18 - by Scott Brandwein
We have received reports of a number of sites encountering errors during "Load Bibs" and "Load Bibs with Order Info" reports. We are working with SirsiDynix to identify the cause and come to a resolution. The problem seems to be isolated to only certain libraries, so please exercise caution when running these reports. If the report generates an error, we recommend holding off until a solution is announced.
Thank you for your patience while we work this out. We apologize for the inconvenience.

SWAN Member Library Staff:
The issue appears to be resolved for the evening. We believe it may have been due to a runaway harvest process that affected network connectivity from our Symphony WorkFlows Production server.
We'll continue to monitor the situation throughout the evening, but should you encounter further WorkFlows timeouts, please contact SWAN Support at the after-hours support number, 844-SWANLIB (ext. 0).
Thank you for your patience while we investigated the issue.

We are aware that the request from SirsiDynix to re-order the "Clean Hold Shelf Report" and the "On Shelf Items with Holds" Reports has created an issue. Some libraries have reported that they have not received their Clean Hold Shelf report today. We are working with SirsiDynix and will alert everyone when we resolve the problem.

We have a few updates for you today.
1. In an effort to cut down on items with a Holds or In-Transit location on the "On Shelf Items with Holds" report; SirsiDynix support has suggested we flip the scheduling of the "Clean Hold Shelf Report" and the "On Shelf Items with Holds" Report. We have re-scheduled the "Clean Hold Shelf" report to run at 7 AM beginning on March 23rd. If you are a library that runs your own "Clean Hold Shelf" report, we recommend you re-schedule your report to run prior to 7:30 AM.
2. We have created some additional reports in BLUEcloud Analytics to be used for generating circulation statistics. Please find them in the SWAN Reports>Circulation Statistics>Dynamic Dates folder. These reports run on dynamic date ranges, providing statistics for the month previous to the date they are run. Running any of these reports any time in March will generate statistics for the entire month of February; running them any time in April will generate statistics for the entire month of March, and so on. Because they run for the previous month without your having to input a date range, you can now easily subscribe to these reports and have them delivered to your email inbox or your BCA history list. If you are unfamiliar with how to subscribe to reports, please view the BCA PowerPoint presentation here<https://support.swanlibraries.net/system/files/Members%20Only/BLUEcloud/Blu…>. Please keep in mind that the data in BCA is one day behind, so refrain from running or subscribing to statistical reports on the 1st of the month. For best results, subscribe to or run statistical reports after 1pm on the 2nd of the month.
3. We have finished adjusting the DISCARD procedures to ensure more accurate circulation statistics. Please refer to the attached documents for an explanation of the adjustment and instructions for running the reports we have created in BLUEcloud Analytics to count your discarded items.
If you should have any questions, don't hesitate to contact us at help(a)swanlibraries.net<mailto:help@swanlibraries.net> or call us at 844-SWAN-LIB.
Thank you for your cooperation.
