Update on SWAN Server Migration, End of Business 1/14

SWAN Member Library Staff-- I wanted to update everyone on the status of the new server supporting Symphony. The SWAN IT has been updating the support website throughout the day, so make sure to keep this URL open and refreshed throughout the day tomorrow. Server Migration Update: https://support.swanlibraries.net/news/2018-12/66379 The good news This server is well-provisioned and responding in the way we expected. Libraries will be happy with the difference once we have stabilized our configuration. We have positioned ourselves for Symphony to be stable for the rest of the evening. *Start your Tuesday as normal, and watch for updates via SWANcom and the SWAN support website.* The bad news Throughout the day today, SWAN's Symphony server experienced huge spikes in server load which caused WorkFlows connections to drop. We have identified a probable cause related to the SIP2 service. The SIP2 service SWAN provides libraries is well over 100 connections. These are connections to self-checks, automated material handlers, PC Reservation, MyPC, etc. We regret that these systems have been affected by the server migration. We are examining the SIP configuration library by library, and have randomized the reactivation of SIP connections as we work through them. Acquisitions Symphony Reports remain disabled today, but we are looking towards allowing these reports to be run after we regroup in the morning. Support staff will continue to monitor the system throughout the evening. Thank you for your patience and we appreciate your support. *Concluded Successfully* SWAN Server Migration on Jan 13th

SWAN Member Library Staff: We've successfully completed our server infrastructure migration to the cloud! The new SWAN Symphony server in the Microsoft Azure Cloud has finished the regularly scheduled overnight maintenance reports and is now available for use. A few things to note: * Please login to WorkFlows and perform all functions as usual. No further downtime is expected today. Additionally, we will not need to use Offline this morning. * Acquisitions departments - we'll be performing some additional testing later this morning before reenabling acquisitions reports. Please watch for an update later this morning. * Our report schedule is currently on-track, with most reports running as scheduled. * All regularly scheduled reports will run as expected today. This includes autorenewals, patron notices, and clean holds shelf. * BLUECloud Analytics statistics may be delayed by one day. We expect this will be caught up tomorrow (Tuesday) morning. * All Enterprise, payment, and authentication services are operating as expected, with the exception of item availability in the search display due to ongoing troubleshooting. * The new server uses the hostname api.in.swanlibraries.net (same as our previous server). As long as your WorkFlows client is pointing to this hostname, you'll login to the server as usual. * No changes are needed to SIP2 devices or software referring to the current hostname. We'll send additional SWANcoms and news posts if any substantial issues arise, so please continue to watch throughout the day. Delay with Yahoo/AOL patron emails

SWAN Member Library Staff: We're currently experiencing issues delivering emails to patrons with Yahoo or AOL email addresses. We're submitted cases with both Yahoo and our volume email service to seek resolution and are currently awaiting response. This issue impacts all checkout receipts, bills, and other notices sent from our Symphony server on January 8th or 9th. While none of these emails have been lost, they're currently being deferred or delayed from delivery on the Yahoo email servers. Once the issue has been resolved, all emails should be delivered to the respective patron accounts. Lansing New Phone System (Sat, 1/12)

Oh Saturday, January 12th, Lansing Public Library will be installing a new phone system. Incoming calls will be answered by Unique, but those calls will not be transferred to the library until the system cut-over is complete. The only expected day of phone outage is Jan 12th.

High Demand Holds

Please do not run any High Demand Holds reports in Workflows without a Pick-up library and User Library selected. Libraries are running these reports without library selections causing the report server to be tied up for long periods of time. This prevents other reports from running. Our support site provides assistance in configuring the report settings - https://support.swanlibraries.net/documentation/64736 Due to multiple libraries running these reports without library settings, we will be looking at alternatives to this report including password-protecting the report so that it can only be scheduled by SWAN support.

Status update for Enterprise and Workflows issues

Good afternoon member libraries, We are still working to resolve the issues with Enterprise and increases in server load averages. At the moment we have left the holdings displays disabled, and we plan to leave them disabled through the weekend. With the holdings displays disabled, Enterprise and Workflows are stable and patrons are able to log into their accounts and use hold functions. Our priority is to make sure patrons can access the most important services while we troubleshoot these issues and keep Workflows up and running for staff. We are waiting for an update from SirsiDynix just a little later today, but we do not have an ETA as to when these issues will be resolved. *Update* Intermittent Enterprise Outages and WorkFlows Slowdowns

SWAN Member Library Staff: A quick update to our intermittent Enterprise outages and Symphony/WorkFlows slowdown issues. We're continuing to see influxes of Web Services calls to the Symphony server, which have resulted in intermittent Enterprise outages and occasional performance spikes on the Symphony/WorkFlows server. These issues first arose December 26th and 27th, and had subsided until this afternoon. To troubleshoot further, we temporarily disabled Web Services access on Enterprise for several hours today, which impacted My Account logins, Item Availability, and Holds placement. Those functions have since been restored and are expected to remain online throughout the evening. Fortunately, this troubleshooting has gotten us much closer to pinpointing the source of the issue and we will continue to investigate and monitor the situation throughout the week. This ongoing investigation and intermittent outages have been noted to patrons as a banner on all Enterprise profiles. Additionally, you can track new updates to the case via the support site posting<https://support.swanlibraries.net/node/66547>. In the meantime, we expect that significant Symphony/WorkFlows slowdowns should largely have subsided, so the majority of the continued impact will be on Enterprise.
