**Reminder** Symphony 4.1 Upgrade - July 17-18

SWAN Member Library Staff: Just a reminder that our Symphony Production server upgrade is scheduled for Wednesday, July 17th at 11:30PM. The installation process will take a couple of hours, with our regularly scheduled reports running after the upgrade has been completed. While we do not anticipate any downtime or required use of Offline Mode during library hours, please wait until the 'All Clear' SWANcom is sent before accessing WorkFlows Thursday morning. Staff clients do not need to be upgraded prior to Thursday, July 18th. The 3.7.1 client will continue to work; however, new features will be unavailable until the client is updated. Symphony 4.1 Upgrade Rescheduled

SWAN Member Library Staff: The Symphony Production server upgrade has been rescheduled to begin Wednesday July 17th shortly after 11PM and conclude early morning Thursday, July 18th. While we do not anticipate the required use of Offline Mode or downtime during business hours, please wait for the 'All Clear' SWANcom to arrive in the morning before accessing WorkFlows. There is no imperative to install the new WorkFlows client before the Symphony 4.1 server upgrade. The WorkFlows 4.1 installer is available for download on the SWAN support site. If you have already downloaded the installer from our previous attempted upgrade, please download a new copy as the installer has been updated. During the upgrade, My Account features, SIP2/WebServices, and other related systems will be unavailable. Authority Index and Authority Thesauri Index Rebuilds on Thursday, July 4th

Good afternoon: We will be rebuilding our authority indexes over Independence Day. Please refrain from accessing Workflows after 9 PM Wednesday, July 3 through Thursday, July 4th. We anticipate that this will have little to no impact on service since it is occurring over the holiday. We will send an all clear message when you can resume normal work functions. UPDATE: RAILS EBSCO Flagship

Hello Member libraries - Thank you all for your patience and flexibility regarding the changes in EBSCO package offerings. Earlier this week, we were able to get a preliminary number of libraries that selected the RAILS EBSCO Flagship package as their first/second choice for a complementary database package. EBSCO would like to continue their years-long partnership with us, and they have decided to discount the RAILS EBSCO Flagship price. The discount is based on at least 50 libraries, and we are at exactly 50! The discount they have proposed is 25% off the Flagship package. If you wish to take advantage of the discounted package price, please submit a new form: https://support.swanlibraries.net/form/80756. You can indicate in the Comment box that this is the new selection form you want to move forward with. UPDATE - Symphony 4.1 Upgrade Postponed - Overnight Processing Completed

SWAN Member Library Staff: UPDATE 06/18/2024 11:20 AM The overnight maintenance and morning reports have completed; you may now run any necessary reports in Symphony. Our overnight BLUEcloud Analytics harvest was not able to run last night due to the issues with the upgrade. You should hold off on running any BLUEcloud Analytics reports for information that includes any transactions performed yesterday as it will not be included. If you have scheduled reports that include transactions performed yesterday you may need to run the reports manually once the harvest is complete. We have asked SirsiDynix to run the harvest now; we'll let you know when that is complete. We will postpone the 4.1 upgrade to a later date once SirsiDynix is able to properly investigate the cause. Essential overnight maintenance reports will continue to run late as the system gets caught up. Please refrain from running any unnecessary reports until this process is complete. Hello Member libraries - We are writing to inform you all that unfortunately we did not get the number of libraries necessary to make the SWAN all-inclusive package work. Instead, we're moving forward with the RAILS EBSCO Flagship package or individual databases if your library prefers. The RAILS EBSCO Flagship Package includes ConsumerReports.org, NoveList Plus / NoveList K-8 Plus, and your choice of 6 additional databases. Pricing for the Flagship package is based on your library service population and can be found on the RAILS Deals & Discounts page (must be signed in to view): https://railslibraries.org/deals/112669 Individual databases are priced on that same page under your library service population group. If you plan to purchase individual databases, please fill out our 2024 EBSCO Deal Opt In form. EBSCO is referring all library calls about individual database purchases to them back to SWAN. REMINDER: ACTION REQUIRED SWAN EBSCO selection form

Hello Member libraries - This is a reminder that our new EBSCO selection form is live and should be complete by end of day Friday, June 14. The previous selection form, Package B, which was available between April and May 2024 is no longer applicable. All previously submitted data has been disregarded. That package no longer exists. With the statewide deal becoming available sooner than previously anticipated, it is imperative to let SWAN know how you will proceed with your database offerings. SWAN WorkFlows 4.1 Installer Available

SWAN Member Libraries & Information Technology Staff: The SWAN WorkFlows 4.1 installer is now available on the SWAN support site: https://support.swanlibraries.net/news/2024-06/94639 Please be advised, there is no imperative to install this new client before our scheduled Symphony 4.1 server upgrade on the evening of Monday, June 17th. Upgrading early will result in a client/server mismatch message each time the client connects prior to the morning of Tuesday, June 18th. WorkFlows 3.7.1 will continue to function after the server upgrade has been completed, but will also result in a client/server mismatch message until the client is upgraded. SWAN has learned the contact has been awarded to EBSCO, but there are some differences with the statewide solution and our existing group-purchase for public libraries. We have a few options to present for SWAN libraries that are concerned about retaining a comprehensive database package, which would include Novelist Plus and Consumer Reports which are not in the statewide deal. We will also present about public library website ADA complaints and how this relates to SWAN's Aspen Discovery. Hope to see you in person next week! Searching Issues in Aspen

SWAN Board 2024 election results

The election for two seats on 7 member SWAN governing board has concluded with 60 participating voters. SWAN Board 2024 election candidate slate

The self-nomination period has ended and the slate of candidates for the two seats on the SWAN Board will be the following. Ridgeway Burns, Itasca Community Library Dawn Bussey, Glen Ellyn Public Library Natalie Starosta, North Riverside Public Library District Zach Musil, Tinley Park Public Library The SWAN Board election will run from Monday, May 6, 2024 through May 24, 2024. Individual emails will be sent to library directors/administrators who will cast a single vote on behalf of the library. For this election, SWAN will be using its Support site to restrict e-ballot access to only library directors/administrators. I will send out details via email next week, as well as a SWANcom announcement that those individual emails with the e-ballot have been sent.
