SWAN Marketing Materials: Press Release Template and Elevator Speech

Hello Member Libraries, We have two new marketing tools available for you, created via collaboration through the SWAN PR & Marketing Committee. These docs are attached to the email in Word format. If you'd prefer a different format, just email me and I can convert them. Elevator Speech: This is a concise way to capture what this migration means to SWAN and our membership. Imagine being asked to describe the migration quickly, while being stuck in an elevator with someone who has asked you. This tool is helpful to share with all staff, so that they can familiarize themselves with the basics of the migration and better communicate it quickly and efficiently to patrons that ask. Press Release Template: This is a draft copy of a sample press release, and can be used for community flyers, local newspapers, or wherever else you see fit. This can get you started and be adapted by your own PR team, or be used as is (just substitute in your own library name where indicated) to let your communities know a bit more about what to expect in the coming months (and generate excitement)! We hope that you find these tools useful as a starter. We will be following up next week with our first edition of our PR newsletter (for staff), and in a few weeks with our first patron bookmark. Ecommerce Enrollment - Application Due 2/23

SWAN Directors and Administrators, As noted at today's Committee of the Whole meeting and in Migration Memo #5, today we have mailed to you a packet containing all necessary components to enroll with SirsiDynix BLUECloud Commerce and ProPay. The due date for completion and return of this application is Monday, February 23rd by 5pm CST. This packet contains an introduction letter with instructions on how to complete the enclosed application, including the statistics specific to your library that you will need. It also includes a pre-addressed, stamped envelope for return of this application to SWAN. We will not be opening the applications but sending them directly on for processing. However, we need to tally the receipt of these applications to ensure 100% compliance. Innovative has just updated SWAN on progress. They began running a process to fix these issues this morning. Issues were reported with ISN, call number and keyword searching. The process is still running at this time but it is anticipated that it will be complete today. Issues with Millennium indexing

There have been issues reported with ISN, call number and keyword searching. A high priority ticket has been opened with Innovative. It has been noted by at least one library that this is apparently affecting Quick Click ordering by creating duplicate records. We will share more information as it becomes available. YTDCirc/LYRCirc

The YTDCirc count will be moved to the LYRCirc field and the YTDCirc field will be reset to 0. The LYRCirc is not a running total but is a reflection of the 2014 circulation for that item. **Concluded** SWAN SonicWall Planned Maintenance Today

SWAN Member Libraries and Information Technology Staff: This morning between 5:30 and 6am, we performed maintenance on our primary SonicWall firewalls that had resulted in some brief expected downtime. Our systems are currently back online, but we recommend that you double-check some of your 3rd party hardware and services (such as self-checks, AMH, or e-commerce systems) to ensure the brief interruption did not cause a disconnect from the ILS. Franklin Park Public Library District and Lansing Public Library Approved for Membership

SWAN Member Libraries: I am happy to announce the SWAN membership approval for two new libraries for the SWAN consortium. Last week SWAN directors approved the libraries to join. Lansing and Franklin Park libraries currently use SirsiDynix as the ILS vendor, and both have been visited by many SWAN library staff over the last several months as part of individual library research in preparation for the consortium software migration to Symphony (and related solutions). We expect each library to migrate and begin circulation in SWAN sometime in mid-2016, prior to summer. Vote to Approve Two New Libraries for SWAN Membership

SWAN Library Directors: At the December Quarterly meeting, the SWAN Board presented a recommendation for approving the Franklin Park Public Library District and the Lansing Public Library. The addition of the two libraries would bring the total number of full membership libraries to 79. Both libraries are automated, and the migration and go-live for the two libraries would take place in 2016 (a year after SWAN's consortium-wide migration).
