Meeting packet (20 pages):
https://support.swanlibraries.net/sites/default/files/meeting/2016-06-02/pa…
This meeting will be streamed live at http://live.railslibraries.info/ . At this meeting we will be providing an update on SWAN Futures and SWAN Facilities projects and plans for a revised FY17 budget, reviewing the 2016 Board election results, and holding a vote on the proposed SWAN Bylaw revisions. Please note that directors will need to be in attendance in person if they wish to vote on the bylaw revisions, as our live streaming setup does not allow for verified identification.
We hope to see you this Thursday!

Subject: [SWANcom] Symphony Server Database Maintenance and Required Use of Offline Mode 5/29 – 5/30
Importance: High
SWAN Member Library Staff:
Just a reminder – our scheduled database maintenance is beginning this evening and will extend through the remainder of the holiday weekend. During this time, you will be unable to access Symphony WorkFlows and MUST use offline to track any checkouts.
Additionally, SIP2 functions will be inaccessible, and the Enterprise catalog will likely experience intermittent outages, login issues, and searching abnormalities. A banner has been posted to the catalog to inform patrons of the maintenance.
We’ll send additional SWANcoms as we progress through our maintenance this weekend.
Thank you for your patience.

SWAN Member Library Staff,
We’re excited to share with you that over Memorial Day weekend, we’ll be performing database maintenance on our Symphony Server to build new Enterprise search facets for item formats, which will include two new formats for patrons to limit by fiction and nonfiction books. This process requires SWAN to rebuild some very large software indexes which requires staff Symphony Workflows downtime, and will affect all MobileCirc, self-checks and AMH systems.
This downtime will begin Saturday at 6pm and run through Monday night. SWAN will send a follow-up message when the database maintenance has been completed and staff can resume normal work practices. While these upgrades are being made, it is important that library staff use Symphony WorkFlows in Offline offline mode. 72 of our member libraries will be closed on Sunday, but for those libraries that are open during this upgrade, please be sure to note the following:
* Symphony WorkFlows can be accessed only in Offline offline mode during the maintenance
* MobileCirc can also be accessed only in Offline offline mode
* Enterprise OPAC will remain accessible, although patrons may have limited access to materials and some searches may produce incomplete results
* Materials can be checked out while Offline offline, but please hold all check-ins until Tuesday (Important: Backdate these delayed check-ins so as not to add fines to the patron records)
Please email help(a)swanlibraries.net<mailto:help@swanlibraries.net> if you have any questions or concerns about the approaching system maintenance, or if you have any questions about running in Offline Mode with WorkFlows or MobileCirc.

SWAN Member Libraries:
The SWAN Board election for its three at-large representative concluded on Friday 5/20. Congratulations to Doug Losey of Hillside and Kristina Howard of Prairie State College who were re-elected to serve, and to Tiffany Verzani from Elmwood Park who was newly elected. They will all begin this new three year term starting on July 1st 2016.
Additionally, SWAN will have its June Quarterly meeting in RAILS Burr Ridge on Thursday June 2nd at 9:30AM. We will also be using a live video stream of the event. Directors are encouraged to attend as SWAN Bylaw changes will be voted on, which can only be done in person. I will send an additional SWANcom when the agenda and packet for that event are ready for your review.
We hope to see you next Thursday!

I wanted to share with you how excited we are for the event we are planning for Friday, July 22. We have booked the Moraine Valley Community College Business and Conference Center for our meeting, which will have a large space for our kickoff keynote speaker and smaller spaces for our program. Take a moment to read over our news post about the event, which we hope has something for everyone. One hint: BLUEcloud Analytics!

Cataloging and Technical Services Staff:
Based on surveys sent to SWAN Member Libraries and analysis completed by the DUX Team, we are moving forward with some improvements to Enterprise facets in order to enhance the search experience. The number of format facets will be increased in order to provide granularity. The new format facets will be populated from a local 590 tag in the bibliographic record. The new format facets are as follows:
ART
AUDIOBOOK CASSETTE
AUDIOBOOK CD
BLU-RAY
BOOK (default) no 590 required
BRAILLE
CD
CD MP3
COMPUTER SOFTWARE
DEVICE
DVD
EQUIPMENT
EREADER
GOVERNMENT DOCUMENT
INTERNET RESOURCES
KIT
LARGE PRINT
MAGAZINES AND JOURNALS
MICROFILM AND MICROFICHE
MISCELLANEOUS
NEWSPAPERS
OTHER AUDIO
OTHER VIDEO
PLAYAWAY
SHEET MUSIC
SPECIAL COLLECTION
TOOLS AND THINGS
TOYS AND GAMES
VIDEO GAME
A future memo will detail all of the enhancements to Enterprise. The goal of this communication is to give libraries time to make adjustments to your workflow/cataloging practices and begin adding this 590 to the bibliographic record for any format other than a standard print book. Standard print book is the default and will not require a 590 field. You may begin this new practice effective immediately but please adopt this practice by May 23rd in preparation for SirsiDynix to begin data work later that week. This new 590 field will be entered in Pre-Cats and Full MARC records.
I have attached a document with examples for your reference. Please note that these 590 formats are to be entered in ALL CAPS. I will adjust the BRIEF record template to include a 590 reminder field. Please enter the appropriate format or delete the 590 field for a standard print book.
Thank you for your assistance with this project.
Please contact me with any questions or concerns.
