All SWAN library cataloging activity for technical services staff will be suspended starting *Wednesday April 1 at 9:00PM* through Monday April 13. Cataloging will resume with the go-live on the new Symphony system Tuesday April 14.
The start of this suspension period has been moved up from Friday April 4, effectively by two whole days. We regret that this inactivity must start earlier, but after finalizing the 46 steps required to complete the data migration, it became evident that additional downtime was needed at the start of the process.
The ILS data migration will be completed in two phases. The first one involves all of the 1.5 million bibliographic records, 8 million item records, all associated authority records, serial records, and acquisitions data being extracted from our current Millennium ILS and then loaded into the new Symphony ILS.
We have added some additional data mapping within this process to improve some of the original data mapping SWAN staff designed in October. This has added additional processing time within our migration.
The second phase of the data migration will extract the patron, checkout, bills, holds, circulation history, patron photos, and digital signatures. This is planned to begin Friday April 10 in the evening, and will end all circulation activity on the Millennium ILS until the Symphony go-live on April 14. Details on this period will be sent in a forthcoming memo.

We'll also be sharing a "New Catalog Quick Start Guide," developed by Eisenhower Public Library, for patrons as soon as it is complete, likely within the next week.

In order to improve the customer experience when placing volume level holds, SWAN will be standardizing the volume field information.
Effective immediately, the following will be standard practice for volume information entered into the volume field. Please note there is a space preceding the number in each example. All letters are to be uppercase.

Do not add "set", "season 1" or the like into the volume field for a boxed set. This should be left blank for all sets cataloged moving forward.
Consultants from Innovative have begun work to clean up the volume fields in existing records. This project will convert any variations of volume, book, disc or part to the above format. SWAN Bibliographic Services staff will address additional volume field data cleanup post go-live.

We are pleased to announce the start of the 2015 SWAN Board election process. SWAN will have three open at-large position on the Board starting July 1, 2015. The SWAN Board is comprised of seven library directors elected from our SWAN member libraries.
Board member responsibilities include:
* Acting on issues affecting the long-term future of SWAN
* Monitoring SWAN's finances and the overall financial health of SWAN
* Maintaining open lines of communication with the SWAN membership
Since our open seats are all at-large now, any director can submit a statement of interest for this election. The goal is to have an open process and at the same time ensure that all SWAN membership is represented during elections. Any library director/administrator interested in running for the Board should fill out the form located at the link below:

The Self-Nomination Form will be available until Friday, March 20th at 5pm CST. Our election process will run for three weeks, from Monday May 4th through Friday May 22nd. The elected board member will be announced at the June Quarterly Meeting.
