The attached memo provides brief background on the initial vendors and ILS under consideration, how these was narrowed during the process to the three SWAN will have software demonstrations for October 3, 4, 7, 8, 10, & 11 at our Burr Ridge headquarters. Announcement: ILS Vendor Demos Schedule

Announcement to SWAN Libraries: Vendor Demonstrations The SWAN ILS Committee is excited to announce that the three ILS software vendors will be providing six days of software demonstrations for the SWAN membership. Each of the three vendors will be onsite at the Burr Ridge building for two days each. The days have been divided into specific sessions to demonstrate various service areas of the ILS. The schedule begins on the third page of this memo, starting this Thursday October 3rd. Covered in this memo: * Attending & signing up, requesting library staff sign-up limits per session * Agenda by topic, including some repeat sessions * Live streaming of selected sessions * Tutorials & videos available Please make sure to register in advance for all the sessions you wish to attend. OCLC WorldShare ILL update

+++ Please route to appropriate personnel +++ OCLC has announced a new timeline for the migration of WorldCat Resource Sharing to OCLC WorldShare ILL. The following is an excerpt from the ISL E-news : "OCLC has decided to extend access to WorldCat Resource Sharing<http://www.oclc.org/resource-sharing.en.html> to May 2014. The change was made in response to requests from the OCLC interlibrary loan community that OCLC provide additional time for them to fully learn the new WorldShare ILL service while retaining access to WorldCat Resource Sharing. The new schedule for libraries' transitions from WorldCat Resource Sharing to WorldShare ILL is: * All new requests must be placed in WorldShare ILL (no new requests placed in WorldCat Resource Sharing): April 14, 2014 * End of access to WorldCat Resource Sharing: May 19, 2014 Between now and May 19, 2014, OCLC will continue to add new features to the service. The next scheduled release of features is in November 2013. Between November 2013 and February 2014, the service will not change substantially to provide an opportunity to become more familiar with WorldShare ILL during a three-month period when the service remains essentially unchanged." SWAN ILS Search Update: Three Vendors in Round 2

SWAN Member Libraries & Task Force Groups: The SWAN ILS Committee met last week for two days and reviewed the five vendor proposals in response to the SWAN RFP for its next integrated library system software. The Committee has selected three vendors based on scoring outlined on in our RFP (pages 24 & 25). The three vendors that will be scheduled for software demonstrations will be (listed in alphabetical order): *Equinox Software *SirsiDynix *VTLS Any scoring used within the ILS Committee for the second phase will be set to "zero" so please keep in mind that there are no front runners with the three vendors. All are on equal footing for the next round of the process, which will include feedback from the seven Task Force groups. The dates for the software demonstrations requested Task Force groups to reserve October 3 & 4, October 7 & 8, and October 10 & 11. The vendors attending those dates has not been set as they are being arranged with this announcement. As soon as they are set and the days agendas are prepared you will be able to register for the events in the Library Learning (L2) calendar. Library staff will have an opportunity to attend upon registration and have questions answered during the demonstrations. The vendors Innovative Interfaces and Polaris have been notified about the results of our process. All Elmhurst (EHS) items have been suppressed in the SWAN catalog. SWAN libraries can now begin to circulate to Elmhurst patrons as Non-SWAN reciprocal borrowers. SWAN has made global changes to the EHS patron records to assist you in updating them. All patron records have been expired with a date of 9/3/13 Ptype has been changed to 217 -Non-SWAN Reciprocal Borrower Pcode3 has been set as Elmhurst PL Pcode4 has been set as "undefined" To complete the updating of the EHS patron records: Please call the Elmhurst PL at 630-279-8696 to verify the patron's status. Ask them for the patron's expiration date. If patron is good- update the SWAN patron record with the new expiration date. Ask patron for an email address to complete the record. Then please remove the message about the now completed procedure from the patron's record. As to EHS items - check in all EHS items --- DO NOT fill any holds, route all EHS materials back to EHS. Elmhurst update

++ Please route to appropriate personnel ++ Everyone - Elmhurst has encountered a few problems in migrating their data, as a result we have not as yet updated their SWAN patron records to Reciprocal Borrowing patrons. Neither have we deleted all their holds. Our intent is to complete these two projects as soon Elmhurst resolves their problems. Until such time, if a Elmhurst patron visits your library please re-register them as a RB patron. If you should generate any holds for Elmhurst patrons, please decline them and then cancel the hold. As soon as we hear from Elmhurst that they have completed their data migration we will update the patrons and cancel the holds and notify our SWAN libraries. River Forest library temporary closing

Problem with the contracting library patron records and the new 1.5 upgrade to SWAN

Everyone - Since the recent SWAN upgrade we have experienced a problem with the generic patron records of our Internet Access and Enhanced Access contracting libraries. This problem is causing broken holds and locked records. We have taken actions this morning to freeze all Internet Access and Enhanced Access holds and block these generic patrons from placing any further holds until Innovative has a solution to this problem. Hopefully, this will eliminate the broken holds and locked records problem from occurring in the future. In order to enable these new settings you need to have everyone log out and log back into Millennium at your library. Please spread the word and log out and log in now. SWAN ILS Search Committee update

SWAN Member Libraries: The SWAN ILS Search Committee met today and is beginning to review the five RFP responses that were received. Responses to SWAN's RFP came from: * Equinox * Innovative Interfaces Sierra * Polaris * SirsiDynix * VTLS/Virtua Additionally, the ILS Search Committee would like to share a few points with you: SWAN's RFP * Just a reminder that information in SWAN's RFP should not be discussed with any vendors or with any individuals or organizations outside of SWAN. Responses to SWAN's RFP are posted on the SWAN Members Only website. * Please remember that the responses to SWAN's RFP, or any information in the responses, should not be shared with any vendors or with any individuals or organizations outside of SWAN. * The Code of Silence that we have been maintaining through this ILS search process extends through the ILA and Internet Librarian conferences and continues until a contract has been signed. * Please continue to refer any questions you may receive from vendors to Aaron Skog. Elmhurst MilCirc update

*** Please Route to Appropriate Personnel*** Elmhurst will be leaving SWAN this coming weekend. Today we implemented planned changes in MilCirc to Elmhurst parameters. As stated in the memo that was distributed earlier, Elmhurst holds will no longer appear on SWAN title paging lists as of today. In addition, Elmhurst items are no longer holdable to other SWAN patrons. However, SWAN items may still be trapping holds for pickup at Elmhurst upon checkin. Please attempt to decline all holds for pickup at Elmhurst PL. After Elmhurst patron holds have been migrated to their new system, SWAN staff will cancel all the remaining Elmhurst patron holds on SWAN.
