We believe this error to be the result of conflicting Enterprise eRC tasks (digital record imports), which ultimately caused our full harvest to be terminated by another internal system task. This error caused only a fraction of the Symphony catalog to display in Enterprise on Saturday, which is when SWAN staff, working in conjunction with SirsiDynix support, issued a manual harvest task during the day to achieve a full catalog sync. While Saturday’s manual harvest did succeed, the automated overnight harvest task has continued to operate sporadically, to the point that we decided to pause the task, and an associated system sync agent in order to maintain our last full, successful harvest data from Saturday. This means that any catalog changes (item additions, removals, or edits) that have occurred in Symphony since Saturday are not currently being reflected in the Enterprise catalog, and will not be reflected until our next successful harvest. Additionally, the pausing of the sync agent has also caused issues with BLUECloud Analytics, in that requested report data is not being returned. This issue does not affect Enterprise item availability, patron account data, or access to the My Account functions. It also does not affect any functions of Symphony/WorkFlows. This is only related to specific titles and records as they appear in the Enterprise catalog and BCA report functions. Moving forward, we’re working on a plan with SirsiDynix to restructure our harvest schedules to get the full catalog sync back on track for tomorrow morning, and we hope to resume functions to restore BCA later today. Recent Issues with Enterprise & Symphony

SWAN Membership- I just wanted to let everyone know that we continue to work with SirsiDynix support staff in determining the cause of our Enterprise harvests going awry. The SWAN IT staff have been very communicative about the issues and the services impacted. While we attempt to avoid downtime or disruptions during library business hours, occasionally the unexpected occurs. SWAN IT are working hard with SirsiDynix support to determine the cause of Enterprise harvest issues. I have confidence in the process and how SWAN staff and SirsiDynix are responding. RESOLVED BLUEcloud Analytics Renewals Statistics Incorrect

The issue with auto renewal statistics has been resolved and the Monthly Renewals by Interface report on the SWAN support site has been updated. If you ran any of your own renewal statistics on BCA you will need to re-run them. You will also need to re-run any statistics that combine checkouts and renewals. Now that the BCA statistics reports have been fully tested we have removed the statistics reports from WorkFlows. This includes any of the Monthly Checkouts by Item Type/Item Cat 2 reports you may have scheduled to run on a monthly basis. Please find attached the documentation for running your statistics reports on BCA. Thank you to the libraries who reported the issue to us. BLUEcloud Analytics Renewals Statistics Incorrect

It was discovered the renewal statistics reports we ran on BLUEcloud Analytics (BCA) do not include auto renewals. We are able to include them on our reports from WorkFlows and have opened a case with SirsiDynix to determine why they are not included in BCA. We were hoping to have a solution by now so we could re-run the reports on BCA but do not yet have an answer. Once we have an answer we will re-run all of the reports. If you are using a report from BCA that combines checkouts with renewals those reports will also be incorrect as they are not counting the auto renewals. Please find attached the June Monthly Renewals by Interface report from WorkFlows. If we do not have a solution by tomorrow we will re-run all of the June renewal statistics in WorkFlows for you. Auto-Renewals and 3.5.2.1 WorkFlows Upgrade

+++Please route to appropriate staff+++ Everyone - SWAN recently implemented auto-renewals, and we upgraded WorkFlows to 3.5.2.1. With that upgrade came some changes to Circulation Rules that are separate from the auto-renewal reports. Even if your library opted out of auto-renewals, these changes will affect you. For those that opted in, the auto-renewal report will renew any item eligible for renewal two days before its due date. With the 3.5.2.1 WorkFlows upgrade, "unseen" renewals are allowed three days before due date. New facts about renewals since the upgrade to 3.5.2.1 * Items now renew from the due date - not the date of the renewal * Patrons can only attempt to renew an item online (through the Enterprise catalog) beginning 3 days before the due date * Staff can renew an item in WorkFlows as "seen" anytime * Staff can only renew an item in Workflows as "unseen" within 3 days of its due date For a more thorough explanation, please review the attached documentation. Auto- renewals

+++ Please route to appropriate personnel +++ Auto-renewals notices will be run beginning tomorrow morning, June 14th. It was necessary for SWAN to wait until the upgrade was complete to implement changes to 400 lines of the Circulation Map. Those changes will take effect after tonight's Halt and Run. Then we can begin to run the auto renewal notices. After the auto-renewal notices are run, then the courtesy notices will run. Remember auto renewal notices only go out via e-mail. If patrons do not have an email address in their record, they can view their account online in the catalog to see if the due dates of materials have been extended. And remember, if something is not eligible to renew, it will not auto-renew. We had investigated allowing patrons to update their email address in the "My Account" area in the Enterprise catalog, but have decided against it. The interface is far too confusing, leaving most people thinking they can edit all of the fields instead of just their email address. If there are improvements to the interface in the future, we will consider allowing editing then. I know a number of you have asked which libraries have opted out of auto renewals. They are: Blue Island PL, Beecher PL, Eisenhower PLD, Franklin Park PL, Harvey PL, Indian Prairie PLD, and Schiller Park PL. Thank you for your patience in waiting for this feature to be implemented. Because of this, we have rewritten the High Demand Holds documentation and reconfigured our High Demand Holds template. If you have already created a copy of the report for your library, please delete your template and create a new one. Please find a new, updated version of the High Demand Holds documentation attached. It includes instructions for how to properly narrow the results to a ratio of holds, how to update your Report Session Settings, and how to sort the results in Excel. 2017 SWAN Board Election Results

SWAN Member Libraries: The SWAN Board election for its two at-large representative concluded on Friday May 19th. Congratulations to Jamie Bukovac of Indian Prairie Public Library District who was re-elected to serve, and to Ted Bodewes from Thomas Ford Memoria Library who was newly elected. They will begin this new three year term starting on July 1st 2017. Additionally, SWAN will have its June Quarterly meeting at Westmont Public Library next Thursday June 1st at 9:30AM. WorkFlows slowness and invalid sequence errors

SWAN Member Libraries and Information Technology Staff: Our Production server encountered a period of high load average this evening. Your WorkFlows sessions may have slowed down or generated errors during this window from approximately 4:40-5PM. The server load has normalized and WorkFlows is functioning smoothly now. However, if you are encountering an "Invalid Sequence Number" error, please close your WorkFlows session and open a new session. This should clear up any lingering errors. We will continue to monitor the server this evening, but do not anticipate any further issues. Thanks for your patience. SWAN Employee Announcement

SWAN Libraries: We have an exciting staffing announcement for you all. We have officially hired our new Assistant Director for SWAN. Dawne Tortorella will be joining us starting on Monday, June 4th. Dawne comes to us with a wealth of library-world experience, including having most recently helped to leading the MAGIC consortium under while working for RAILS. She has also worked for OCLC, taught MLS and MIS coursework for Dominican, San Jose State, and DePaul, and led her own company Bellcow which provides tech support and IT strategy for libraries and other organizations. We welcome her expertise with libraries, consortial operations, SirsiDynix, and IT, and feel truly fortunate to have her join SWAN.
