Please be aware that routine database re-indexing will take place over the Thanksgiving holiday this week.
To ensure the reliability and integrity of our Symphony database, the Headings index needs to be rewritten. Our maintenance window will begin after libraries close Wednesday evening and we expect this window to conclude Thursday evening. This process takes upwards of 24 hours, but due to the holiday, we don't anticipate this process to cause downtime for library staff.
Throughout the duration of maintenance, WorkFlows will be inaccessible. Our Aspen catalog will remain online, but My Account features will be briefly unavailable at the start of the maintenance window. Once maintenance has concluded, we will notify the membership via SWANcom and an update on our support site<https://swanlibraries.net/news/2025-11/95023>.

We've reached out to SirsiDynix with hopes to mitigate some of the record issues as soon as possible. If you come across errors with specific records, please email a list to help(a)swanlibraries.net and we'll forward them to SirsiDynix for further investigation and temporary correction.

On Sunday, 11/23, SWAN experienced a brief period of time where SendGrid, our mass email provider, stopped processing emails for our account. This outage has been resolved and email from Sunday evening and on are being processed and delivered as expected.
A couple of emailed reports, List Users Created Last Week and MessageBee Report Digest were among the email that was not processed. We have already re-sent the List Users report, which should have already arrived at your inbox. We're also checking with MessageBee to see if they're able to re-send the digest email as well. In the meantime, this information is available on your MessageBee portal. Information on how to check your stats are available on our support site<https://swanlibraries.net/documentation/94304>.
This outage also impacted patron check out receipts as well as Aspen PIN reset requests. If you receive any questions from patrons regarding these, we apologize for the inconvenience, but these cannot be easily re-processed. If you have any further questions, please open a ticket and we'd be happy to take a look.

The annual budget process for SWAN has begun. Libraries that have negotiated a new (or revised) bond payment or debt service schedule can upload that schedule to SWAN Support to update the SWAN membership fee bond schedule.

Public libraries that have a non-operating debt service should submit the payment schedule to SWAN, such as a bond payment used for library facility renovation or construction. SWAN membership fees incorporate the bond/debt service amount, so it is important that your library provide this information, otherwise it is possible your membership fees will increase substantially in the upcoming year.
The deadline to complete the submission is Friday, February 6, 2026.

Good morning member libraries,
The Aspen 25.11 release is live. This release includes new features to help library staff organize lists and more easily group records.
In addition, this release includes optional configuration to apply filters from a keyword search. SWAN will explore this feature in a special meeting of Cataloging Working Group and the Discovery and User Experience Working Group in early December.

To member libraries,
SWAN has begun the process of removing Boundless records from the library catalog and the SWAN Libraries+ app. As of November 2, patrons are no longer able to checkout new material from Boundless. This is to ensure that patrons do not have titles checked out when the Boundless app is retired for the eRead Illinois collection.
Important Dates
* November 17: The Boundless app will be retired for eRead Illinois
* November 17-December 1: Migration of content to Palace Project
* December 2: The Palace Project app will go live with the eRead Illinois collection. Patrons may begin downloading the app and signing in.
