Update OCLC FirstSearch accounts and WorldCat with new SWAN catalog URL

+++ Please forward to appropriate personnel +++ Everyone - I thought with the recent network changes I would send out this SWANcom again. If you haven't already updated the links in WorldCat and your FirstSearch database screens with the new SWAN catalog URL, just follow the instructions below. Although, OCLC is migrating to a new Discovery interface for WorldShare, the current FirstSearch interface will still be available for another year. The SWAN catalog new URL is http://catalog.swanlibraries.net . You can update this information yourself in the OCLC Service Configuration area or submit an online form to OCLC support<http://registration.oclc.org/reg/?pc=WorldShareILLOPAClinks> and they will update the catalog link for your library. This catalog linking will allow a potential borrower to view the status of the item they are requesting before they enter your library in the lender's string. SWAN ILS Committee Final Report & Recommendation

SWAN Member Libraries: The SWAN ILS Committee is pleased to present the final written report and recommendation from the SWAN ILS Committee. This report summarizes the 15 months of research and selection process, including the scoring, cost analysis, and a recommendation on the future ILS for SWAN. >From the ILS Committee webpage: under the "Final Recommendation" section you will see a link to the report. We will review the final recommendation from the committee and the proposal from SirisDynix. SWAN will seek approval of reserve funds to pay for the proposed solutions for the SWAN consortia. SWAN will send out an agenda and meeting packet for that meeting separately. As an update, the SWAN Board approved moving forward with negotiations with SirsiDynix. These negotiations are presently underway with Melissa Gardner, SWAN Board President, Rob McGee, RMG Consulting, and Aaron Skog, SWAN Executive Director. Everyone - In case you might have missed the announcement, I thought I would forward this information from the ISL E-news regarding an IL Dept. of Commerce and Economic Opportunity grant for public libraries. A number of SWAN libraries qualify for this grant. "The Illinois State Library (ISL) was recently informed about a grant opportunity from the Illinois Department of Commerce and Economic Opportunity (DCEO) for public libraries to receive up to $75,000 in funding to establish a Community Technology Center. To be eligible for funding, a public library must be located in a community where not less than 40 percent of students are eligible for a free or reduced price lunch under the National School Lunch Statistics; or where not less than 30 percent of students are eligible for a free lunch under the National School Lunch Statistics. ISL has already analyzed the National School Lunch Statistics data provided by DCEO and created a PDF of eligible public libraries<http://www.cyberdriveillinois.com/departments/library/grants/pdfs/lib_dceo_…> that may be found with other information about the grant offering at http://www.cyberdriveillinois.com/departments/library/grants/eliminatedigit…. Karen brings a wealth of experience to SWAN in this role with 15 years as a librarian, three of them as a SWAN member at Oak Park Public Library. Tony Siciliano has graciously offered to stay on for a few weeks to help train Karen and show her the ropes, before he officially leaves SWAN at the end of March. Holds management---- new quirks

+++ Please route to appropriate personnel +++ SWAN Member Services has discovered that Release 2011 triggered some new behavior with respect to holds. These changes were not mentioned by Innovative in the Release Notes, but have now been confirmed by Innovative. Please take note of the following changes that affect holds management: * Staff will now need to override the hold block when attempting to place a title level hold for a patron who currently has an item checked out on this same bib record. Staff will see an "Authorization Required" dialog box. Please click "OVERRIDE" to supersede this hold block and successfully place the hold. Initials "super", "circsr" and "circjr" are authorized to override this block. [cid:image003.jpg@01CF2896.A75FC2B0] * A selection of holds can no longer be modified as a group from Search/Holds mode after a user has sorted the hold queue by pickup point. Previously, users were able to sort by pickup point, select all holds with that same pickup point, and modify all holds by filling out one dialog box. With the newest release, this is no longer possible. From now on, please modify holds one at a time from the hold queue in Search/Holds mode. We apologize for any inconvenience. Your patrons' circ activity report for January

Everyone - In addition to the problem we are having with moving the statistical reports from the Production machine to the Report server, there is a problem with the custom built monthly report - "Your patrons' circ activity". Basically the report will not run. This is related to the recent upgrade. Innovative is working on this problem also. Again, hopefully, this problem will be fixed over the weekend. As soon as the report can be generated it will be uploaded to the SWAN website. I will be sending out a SWANcom announcing when it is uploaded and available. Sorry for the inconvenience. Web Management Statistics on Report server update

Everyone - As of today, Innovative has not been able to move the monthly statistical reports from the Production server to the Report server. Knowing that this is a usually data included in your Board reports, we started last night emailing the reports to your generic library email. We are attempting to send these out to libraries based upon the scheduling of your Board meetings. A number of you should have received your reports last night. Hopefully, we will be able to get them all done by Monday evening, Tuesday at the latest. And there is always the possibility that Innovative will fix this problem over the weekend. SWAN Board Action on ILS Vendor Negotiations

SWAN Member Libraries: The SWAN Board has voted today for SWAN to enter negotiations with SirsiDynix. Negotiations will begin on Monday, February 10th; the SWAN negotiation team is comprised of myself, Melissa Gardner, SWAN Board President, and Rob McGee of RMG Consultants. A formal report on the ILS decision-making process will be sent out to all member libraries after initial negotiations, hopefully the middle of next week. For libraries using ExpressLane -- status

+++This message is for libraries using ExpressLane for their self-check workstation+++ +++ Please route to appropriate personnel +++ Everyone - Thank you for your patience and cooperation during our upgrade. If you are a library that uses the III ExpressLane product as your self-check and don't allow patrons to pay fines at the workstation, you can start using your self-checks now. If you have a credit card scanner and have implemented Ecommerce at your ExpressLane workstations -- your Circulation Department has been contacted by SWAN Member Services to conduct a test of Ecommerce at your ExpressLane workstation. If your Ecommerce test was successful, you can begin using your self-check workstation and allow patrons to pay fines at the self-check. If your Ecommerce test failed, you have the option to still use the workstation as a self-check and remove the credit card scanner from the workstation until the Ecommerce problem is resolved. Or you may wish to leave the self-check workstation disabled until the Ecommerce problem is resolved. Either way SWAN Member Services will be working on resolving your issues with Ecommerce and will get back to you as soon as the problem is corrected by Innovative. Upgrade yesterday

+++ Please route to appropriate personnel +++ Everyone - First and foremost we would like to thank all of our SWAN libraries for their cooperation and patience yesterday during our upgrade. We did have a number of issues that delayed us in re-establishing your access to SWAN. Those issues have now been resolved with your assistance. Unfortunately, we were unable to get all of the offline files run last night due to high processing levels on SWAN. SWAN computer room staff are still working through the files and updating them one at a time. We should have them all processed this evening. Once again, SWAN staff would like to thank all of you for your cooperation. Instructions for SWAN Libraries to Review before Going Back Online at 1:30pm

SWAN Libraries: The upgrade to Millennium Release 2011 made some unexpected changes to how printing is managed. It took some time to review precisely which printing functions were affected. 1. We recommend Circulation Supervisors, Technical Services, and IT staff review the following documentation. http://support.swanlibraries.net/system/files/Public/Millennium_R2011_Defau… 2. SWAN will bring the VPN network back online at 1:30pm - 1:40pm depending on your library. 3. If you have questions during your reconfiguration of the printers please call the SWAN Member Services at 630-734-5153, or phone our staff at any of their direct phone numbers. 4. Transfer your Offline Circulation starting after 2pm 5. Express Lane should remain out of service. 6. Report Server: attempt use and be aware of it might have some problems printing. if you run into any issues, please contact SWAN immediately. SWAN Libraries: Continue to use Offline Circulation. The problem we are diagnosing are related to Millennium Circulation printing. These problems are significant enough that we are working with Innovative support to resolve them. Once we have a fix in place we will notify you via SWANcom. We have no estimated time for you yet. We have also encountered Millennium Express Lane problems. Libraries using Express Lane should prepare to leave these out of service once SWAN comes back online.
