Extended Due Dates effective today, 3/16/15

Hi all, As part of the migration process, libraries are required to use SirsiDynix Symphony Offline beginning April 11th until we are live on Symphony, sometime on April 14th. SirsiDynix recommends that no one check in materials while on Offline. In order to cut down on the number of items due back during this time period, due dates will be extended system-wide so that items should not be due back from April 6th, 2015 through April 19th, 2015. This morning, SWAN has begun extending due dates for items that would normally circulate for 21 days. This involves the implementation of an absolute due date of April 20th, 2015. As of 10:30 AM this morning: * Items that normally receive a 21-day loan period should now checkout with a due date of 4/20/15. Please note that items with holds may receive due dates that exceed 4/20/15. * All items that receive this absolute due date are non-renewable. Staff should override at the desk when appropriate and/or check in and check back out. Please note that patrons will be unable to renew said materials via the WebPAC. * The week of March 30th, SWAN will revert these edits so that materials will naturally fall on due dates of 4/20/15 and beyond. Once the changes are reverted, materials should check out and renew as expected and staff intervention will no longer be necessary. SWAN will continue to update loan rule parameters as we get closer and closer to the migration so that what is stated above continues to hold true. On Monday, 3/23/15, 14-day loan periods will be affected. We understand that this is not a perfect solution and apologize for any confusion and/or inconvenience as we continue to try and find a more efficient workflow. Everyone- There was an error in migration memo #11. The email address in the Patron Purge area of the memo was typed incorrectly and not caught by spell-check. Patron Purge We are planning on running a Patron purge to update the patron database before we migrate the patron (user) data to SirsiDynix. Our test report indicates that if we purge good patrons that have been inactive for three years and have no money owed we would be deleting 130,000 patron records. Our plan is to purge these patrons before the end of the month. SWAN Member Libraries and Information Technology Staff: Please be aware - since we have not yet migrated our Symphony Test Server to version 3.5GA, you may receive a version mismatch notification with a prompt to update your client under the following circumstances... 1. You have already upgraded your WorkFlows client to 3.5GA and are attempting to login to the Test Server (Test is on 3.5B) 2. You have not yet upgraded your WorkFlows client to 3.5GA and are attempting to login to the Production Server (Production is on 3.5GA) In both of these scenarios, please ignore the update prompt (click "no" or "okay") and continue with your work as usual. We will be cloning our Production Server to Test again this weekend, during which all server versions will match at 3.5GA. After the clone, if you have not already updated your clients to 3.5GA, both servers will prompt you. Please continue to ignore the prompts from WorkFlows, and perform SWAN's installation as soon as possible prior to the March 31st deadline. Migration Memo #10: Suspension of Technical Services Activity

SWAN Libraries: **REVISED START DATE** **PLEASE REVIEW ATTACHED MEMO** All SWAN library cataloging activity for technical services staff will be suspended starting *Wednesday April 1 at 9:00PM* through Monday April 13. Cataloging will resume with the go-live on the new Symphony system Tuesday April 14. The start of this suspension period has been moved up from Friday April 4, effectively by two whole days. We regret that this inactivity must start earlier, but after finalizing the 46 steps required to complete the data migration, it became evident that additional downtime was needed at the start of the process. The ILS data migration will be completed in two phases. The first one involves all of the 1.5 million bibliographic records, 8 million item records, all associated authority records, serial records, and acquisitions data being extracted from our current Millennium ILS and then loaded into the new Symphony ILS. We have added some additional data mapping within this process to improve some of the original data mapping SWAN staff designed in October. This has added additional processing time within our migration. The second phase of the data migration will extract the patron, checkout, bills, holds, circulation history, patron photos, and digital signatures. This is planned to begin Friday April 10 in the evening, and will end all circulation activity on the Millennium ILS until the Symphony go-live on April 14. Details on this period will be sent in a forthcoming memo. SWAN Uniform Practice for Volume Field Information

SWAN Board Election: Self-Nominations Now Open!

SWAN Library Directors and Administrators: We are pleased to announce the start of the 2015 SWAN Board election process. SWAN will have three open at-large position on the Board starting July 1, 2015. The SWAN Board is comprised of seven library directors elected from our SWAN member libraries. Board member responsibilities include: * Acting on issues affecting the long-term future of SWAN * Monitoring SWAN's finances and the overall financial health of SWAN * Maintaining open lines of communication with the SWAN membership Since our open seats are all at-large now, any director can submit a statement of interest for this election. The goal is to have an open process and at the same time ensure that all SWAN membership is represented during elections. RAILS Meeting for SWAN Board & ILL Staff

Attention SWAN Library Inter-Library Loan Staff: As you are most likely aware, RAILS is undertaking a multiyear, four phase project to explore options to provide more seamless access to Resource Sharing (i.e., searching system-wide holdings and placing interlibrary loan requests) throughout the service area for all libraries. RAILS is currently in Phase Two: Research into Organizational Factors. Announcement: "New" Website for Library Patrons

SWAN Library Staff: Early on in our planning for the switch to the new Enterprise catalog on April 14 we decided to create online instructions and video tutorials for the 1 million registered patrons in SWAN. We felt that using the existing support site would be confusing, as it is dedicated solely to library staff. So a new website was created for patrons! The goals of the new website are the following: * The audience will be the public, so avoid all the confusing jargon. * The new website will provide a starting point for helping patrons, but it will be up to library staff to work directly with patrons when dealing with questions about PINs, accounts, etc. * Keep it simple. We are happy to announce the new website is now ready and is referenced on all the February bookmarks you will be receiving. http://new.swanlibraries.net/ We chose the name "new" as it was an easy way to remember the site name. On April 14 the website will also work with the domain name www.swanlibraries.net<http://www.swanlibraries.net> and continue to operate under the "new" website name for several months. As more features become available to the public in the Enterprise catalog, we will use the website to help announce them and provide guidance.
