SWAN Memo Regarding End of Versatile Contracted Arrangement

The Versatile team has made a positive contribution to SWAN's support and IT infrastructure for many years; however, to accommodate the ever-changing climate of the IT industry, SWAN Management, with consensus of the SWAN Board, agreed that it was in the best interest of the membership to part ways with Versatile. Updates from SWAN Bibliographic Services

+++ Please route to appropriate personnel +++ Graphic novels Beginning on December 1, 2015 all new bibliographic records for graphic novels added to the SWAN catalog will be created as individual monograph records. We will discontinue previous SWAN practice of using a monographic series record for the numbered series. Existing monographic series records will be closed out as we add the next title in the series. This decision was made by SWAN Bibliographic Services staff and SWAN OCLC Cataloging Libraries. In recent years, we have experienced challenges with the monographic series records both in acquisitions and cataloging. We believe this change will enhance the patron holds experience. Please make note that you will no longer add a subfield |z to the call number as there will be an individual record for each volume/title. Item Category 1 Large Type We have discovered that some Large Type items did not have Item Category 1 mapped to Large Type during the migration data mapping process. There are approximately 20,000 items that have Item Type Large Type and Item Category 1 Book. We will perform a global update to change these to Item Category 1 Large Type next week. Additional DISCARD User If you would like one additional DISCARD User for your library, please submit a ticket request to help(a)swanlibraries.net<mailto:help@swanlibraries.net> . We have received feedback from libraries that an additional DISCARD User might be helpful depending on local work flow. Throughout today, Thursday, November 19, SWAN staff will be monitoring the catalog to ensure quality and apply any corrections if needed. Enterprise Upgrade eResource Central Index Running

SWAN Libraries: The three Enterprise harvest steps have completed. The next step is for SirsiDynix to run the eResource Central re-index which is a required step. They started this process around 2:30am. Currently the Enterprise default profile is searching and returning results, but until this re-index completes, no library profile will return search results. Enterprise Upgrade Scheduled Wednesday, Nov 18 After Close

On Wednesday, November 18, the SWAN Enterprise catalog will be inaccessible during a scheduled upgrade from version 4.3 to version 4.5, starting at 9:00 PM and lasting approximately 2 hours. We will notify libraries via the SWANcom email list during this upgrade with our progress. On Thursday, November 19, libraries can expect the catalog to be fully functional upon resumption of morning business hours. BookMyne for Android App Upgrade Announcement

>From the SWAN Support Website: *Via SirsiDynix support bulletin at https://support.sirsidynix.com/alert/55435* SirsiDynix is pleased to announce a new version of the BookMyne Android App that will be made available to patrons in the Google Play Store on Monday, November 16th. To support the improvements in the app, we will need to update worldwide servers between the hours of 9:00 and 11:00 a.m. Mountain Time that same day. While we are upgrading the worldwide servers, patrons will experience a temporary state where they cannot access information from their local library during that time. They will not receive an error message indicating why, but functionality will be restored shortly. As patrons login to BookMyne after the upgrade, they will be required to upgrade their app. Patrons will then be able to take advantage of the new functionality and speed provided by the upgrade. As part of our ongoing data cleanup to improve Enterprise, SWAN will be reconfiguring Item Category 1 and the related format facet in Enterprise. With SMS Message staff can send a message to an individual patron that has opted-in to SMS Messaging and the SMS Manual Message in particular. Hold Pickup Notices

+++ Please route to appropriate personnel +++ Everyone - I hopes of curtailing the number of patrons reporting they have not received their emailed hold pickup notices, SWAN has made two changes to the email pickup notice process today. Starting tomorrow, we will be running email hold pickup notices 5 times a day, instead of twice. This is to hopefully eliminate huge mailings that might be resulting in the emails being dumped as spam by the patron's email service. Hold pickup notices will now be run at 9 AM, Noon, 3 PM, 6 PM, and 9 PM. I have updated the message in the hold pickup notice. The Subject line now reads "Library Hold Notice" and the message now reads -"The item you requested is available for pickup at the Library. Please visit the library within the next 7 days to pick up your item. Thank you." Starting tomorrow we will begin running a second email notice. This notice is sent as a reminder to notify patrons when their hold has been on the hold shelf for four days. This will run every day at 5 PM. Hopefully, those commuters that read their email on the train will get a timely reminder to stop by the library on their way home. The Subject line now reads "Library Holds Notice" and the message reads -"The item you requested is available for pickup at the Library for three more days. If you are unable to pick up the item by then, your hold will be automatically cancelled at that time. Thank you." I hope with this tweaking to the process, we will have more happy patrons. SWAN Circ Advisory Election Results

The election is now closed, and I am pleased to announce the six recently elected members of the SWAN Circulation Advisory Committee. 5 Minute Enterprise Survey

*Reminder* Change in RAILS delivery service days for SWAN Libraries

*This email also went out September 9, 2015* On behalf of RAILS Delivery & Facilities Director Mark Hatch: RAILS has renewed our delivery outsourcing agreement with Continental Transportation Solutions (CTS) effective Sunday, October 25, 2015. One major change will take place with the renewal that will affect libraries in the Burr Ridge service area. Beginning on October 25, deliveries will take place from Sunday night through Thursday night and incoming materials will be available for library staff each weekday morning. For example, materials delivered Sunday night will be ready and waiting on Monday morning. This change will make it easier for CTS to process materials more consistently and will even out the delivery load. There will be no other changes to the service CTS provides your library and you will continue to process outgoing materials in the same way. Once again, this change will take effect on Sunday, October 25. SWAN Member Library Staff: This evening at 9:15pm, to resolve intermittent encryption issues and improve overall security of our Enterprise OPAC, SWAN is planning a brief outage of Symphony Web Services, which acts as the link between Symphony WorkFlows and Enterprise OPAC servers. This outage is expected to last only 15 minutes, but likely far less. During the outage, the "My Account" and holds functions of Enterprise will be inaccessible. No other visible services should be affected by this outage. We'll send an additional SWANcom this evening when the process has completed. *Important* WorkFlows Outage & Lost Transactions This Morning

SWAN Member Library Staff: After further investigation, we've found that the server outage that occurred this morning at 9:48 was likely preceded by some transactional data loss. This data loss occurred between 9:31 and the outage at 9:48. What this means is that any changes to the Symphony database, including circulations, bib record modifications, and patron record additions were likely lost during that time. Please attempt to recapture any transactions and changes that may have occurred at that time to the best of your abilities. We have determined the root cause of the issue and have taken precautions to ensure no further issues are encountered. SWAN Circ Advisory election - Self Nomination form Deadline Noon today!

Just a quick reminder that the deadline to self-nominate for the SWAN Circulation Advisory Committee upcoming election is today at NOON. We have had a number of people submit their names, but there is always room for more. If you were meaning to add your name to the ballot, now is the time to do it. You have three hours. https://fs8.formsite.com/SWANServices/Circ-Adv-Nomination-15/index.html Everyone - It is the time of year when we begin the election process for the SWAN Circulation Advisory Committee. The Committee is composed of 11 representatives from SWAN libraries and chaired by myself and Renee Clanton. This year we have 6 people whose terms are up in November. The election process is very simple. Any Circulation Manager/Supervisor or a person with oversight of the Circulation department may throw their hat in the ring (self-nominate). Everyone that submits a self-nomination form is included on the election ballot. All we ask is that you submit a few words in support of your nomination, basically why you want to serve on the Committee and what you see as your contribution to the Committee (what you bring to the table). Your statement in support of your self-nomination will be shared in the election ballot. All this is done using a survey. It only takes a few minutes to self-nominate. Things you need to know about the SWAN Circ Advisory Committee : we meet 6 times a year (every two months), we publish our agenda a week before our meetings, are meetings are open to all, we are currently working on a revision to the SWAN Circulation Policy and discussing future training initiatives along with other Circulation topics. The current Committee members with terms ending in 2015 are : Sheila Adams (GWS), Julie Lombardo (WRS), Cindy Maiello-Gluecklich (MPS), Samantha Millsap (HKS), Debbie Sheehan (INS), and Peggy Tomzik (ESS). These individuals may or may not choose to run again. The self-nomination form will be open on Monday, September 21st.
