We've received some questions and concerns about the SVA Failed Calls Notices report.
The SVA Failed Calls Notices report is run once daily at 8 pm for the entire consortium. Attempting to run this report at your library will notify patrons for ALL libraries unnecessarily and may cause confusion for your patrons.
As a reminder, SVA runs throughout the day, and a list of failed calls compiles with each run. When the SVA Failed Calls Notices report runs at 8 pm, it emails notices to any user that has an email address in his or her record. Then, library staff can view the finished report in WorkFlows to see which notices failed.
The NOTICES/NOTICES user was created with the ability to view Finished Reports only so that staff can collect the completed report after it has run. Please do not attempt to run this report for yourselves, as SWAN is running this report for you daily. Please continue to log in as NOTICES/NOTICES to view the finished report for your library and contact your users as needed. There is no need to enter any kind of override password to access a wizard other than Finished Reports.

I have two pieces of information to pass on to Circulation staff:
#1 from Reed Farnsworth at SirsiDynix --- "Improvement to SMS to be Implemented"
SirsiDynix is pleased to announce that we have identified an additional improvement that we expect will further alleviate the SMS issue related to patrons not receiving text messages for holds, overdues, etc. We will implement this update at approximately 1:00 p.m. Mountain Time on Monday, June 13th, 2016, for customers worldwide. We will notify you when the process has completed. "
No need to worry about the timing on this our SMS overdue and bill reports are run at 9 AM. And our SMS hold pickups are run at 9 AM, Noon, 3 PM, 6 PM and 9 PM. So, our reports should not be effected. Hopefully this fix will see an end to our reported problems with a few patrons still not getting their text messages.
#2 regarding SVA (robo-calling of patron notices)
The reports are all running perfectly. On a daily basis over 600 calls are made to notify patrons of items on the holdshelf, overdues, and bills. Any patrons that are not contacted by 7:00 PM appear on the failed calls notices reports. There are two of these one for hold pickups - which we attempt to deliver by email, if the patron has an email account. We are not printing any remaining failed hold notices as by the time they reached the patron via US mail the material would have already been removed from the holdshelf and sent home. . The other report for failed calls for overdues and bills, we attempt to deliver via email and if there is no email in the record we print these and mail them to the patron.
Beginning tomorrow libraries can access the report of failed calls for hold notices in WorkFlows reports. You need to login using a new user = Notices/ Notices (instead of Report/reports). These notices will be the failed calls - meaning we were not able to reach the patron via phone or email. You may want to try and call these patrons yourself. You might also want to check their user record to make certain their phone number is in the first phone number field and if they have an email to be updated. And of course, before you do anything, you may want to check to see if the patron has already picked up the material.

SWAN is preparing to roll out new themes and several new features for Enterprise! SWAN libraries will get their themes in batches by the end of Friday, June 10th.
Here is a list of changes to look for:
* Your local holdings will now show in the list of search results so you don't need to go into the full record to see what's on the shelf
* The content at the top of the detailed display has been compressed to reduce scrolling
* The bottom of the detailed display now uses tabs to present information; please note that this is still a little buggy and will sometimes show the drawers instead
* The display of personal information now looks different and includes patron expiration date and last activity date
* More space for library logo; all themes now have white background in header
* The library logo now links to the Enterprise home page instead of your library's home page

Item Category 3
SWAN staff is continuing work on a data project with SirsiDynix to tweak the facets in Enterprise. Eventually we will have a fiction/nonfiction facet. SirsiDynix performed some data work at the end of May that populated Item Category 3 for fiction/nonfiction for some of the existing items. Work is not complete and is still being tweaked. Some staff have reported ****** displaying in Item Category 3. This is temporary and will soon be adjusted.
The Item Category 3 information is pulled from the bibliographic record and is shared by all. Please do not change the Item Category 3, as it is intended to be automatically populated by a custom report and this data is being used to enhance the patron experience in Enterprise.
We will send updates as this project progresses.

Today is June 6th and everyone know what that means --- SVA (robo-calling of patron notices) starts today.
As you read this email, the reports are running and compiling the calls to be made later today.
As a reminder, phone calls are made between the hours of 10:30 AM and 7:30 PM (Mon. - Fri.) and 11:00 AM and 6:00 PM (Sat. - Sun.). Patrons with a notice preference of PHONE will receive calls for hold pickup, overdues, and bills (unless your library requested differently). Overdues are generated on the same schedule as the SMS, Email and Print notices. On an odd occasion, due to the large number of Circulation Rules in our consortia, patrons may receive a second phone call with additional notices on the same day.

We’re excited to share with you that over Memorial Day weekend, we’ll be performing database maintenance on our Symphony Server to build new Enterprise search facets for item formats, which will include two new formats for patrons to limit by fiction and nonfiction books. This process requires SWAN to rebuild some very large software indexes which requires staff Symphony Workflows downtime, and will affect all MobileCirc, self-checks and AMH systems.
This downtime will begin Saturday at 6pm and run through Monday night. SWAN will send a follow-up message when the database maintenance has been completed and staff can resume normal work practices. While these upgrades are being made, it is important that library staff use Symphony WorkFlows in Offline offline mode. 72 of our member libraries will be closed on Sunday, but for those libraries that are open during this upgrade, please be sure to note the following:
* Symphony WorkFlows can be accessed only in Offline offline mode during the maintenance
* MobileCirc can also be accessed only in Offline offline mode
* Enterprise OPAC will remain accessible, although patrons may have limited access to materials and some searches may produce incomplete results
* Materials can be checked out while Offline offline, but please hold all check-ins until Tuesday (Important: Backdate these delayed check-ins so as not to add fines to the patron records)

SWAN staff will present a cataloging training workshop on June 8, 2016 at 9:30 a.m. to 12:00 p.m.
This workshop will be presented by SWAN Bibliographic Services Team and will cover the basics of SirsiDynix WorkFlows cataloging module and include creation of pre-cats.
Who should attend this workshop?
Any library staff new to their position or any newly hired employees that are involved in the creation of pre-cat records and item records.

Based on surveys sent to SWAN Member Libraries and analysis completed by the DUX Team, we are moving forward with some improvements to Enterprise facets in order to enhance the search experience. The number of format facets will be increased in order to provide granularity. The new format facets will be populated from a local 590 tag in the bibliographic record. A future memo will detail all of the enhancements to Enterprise. The goal of this communication is to give libraries time to make adjustments to your workflow/cataloging practices and begin adding this 590 to the bibliographic record for any format other than a standard print book. Standard print book is the default and will not require a 590 field. You may begin this new practice effective immediately but please adopt this practice by May 23rd in preparation for SirsiDynix to begin data work later that week. This new 590 field will be entered in Pre-Cats and Full MARC records.
I have attached a document with examples for your reference. Please note that these 590 formats are to be entered in ALL CAPS. I will adjust the BRIEF record template to include a 590 reminder field. Please enter the appropriate format or delete the 590 field for a standard print book.

The ADUText report has concluded successfully. Previously scheduled morning reports will be catching up for the next several hours.
Very fortunately, this is the last high-volume run of the ADUText report we current have scheduled, and again, this issue was largely related to the import of library migration data. Any future data processing we'll be performing in this volume we plan on running through an alternate method, which could require some downtime, but will ultimately cause less headaches.

The ADUText report has finally finished! It appears the report had possibly encountered some bad records in the database, which is what resulted in the excessive runtime. We're currently working with SirsiDynix to resolve these issues moving forward.
You may continue to encounter sporadic Hatwrapper exceptions in newly cataloged items as we work to resolve the error, although much of the record errors should now be resolved.
This morning and afternoon's reports are working to catch up now, although it may be a few hours until we're back to the normal schedule.

At the recent "Spring Forward" Support Staff training we instructed library staff to send materials to Franklin Park PL via ILDS. Since that workshop, we have initiated a change with Delivery Service to expedite the delivery of materials. As of Tuesday May 10th, CTS will be delivering to Franklin Park PL. So, both of our new member libraries will be receiving their materials via CTS/RAILS delivery. Please use the RAILS sticky labels to route material to both libraries. Thank you.
