As many of you know, SWAN creates new bibliographic records each year for weekly and some especially popular monthly magazines. This prevents usability problems that can arise when too many items are attached to a single record.
The weekly serials records for 2017 are ready for the arrival of your 2017 subscriptions. We are also announcing the release of a new Helper for the Modify Control Wizard in the Serial Control module: Change Title Link Helper. The Change Title Link Helper can be used to sever the link between a Serial Control record and one title, allowing you to attach that same Serial Control record to a different title. This allows you to "transfer" a Serial Control record from one title to another. Please see the attached document for more information.
The Change Title Link Helper will be available for use beginning Wednesday, 11/30/2016. Please feel free to use this Helper if you think it will positively affect your workflow. Just a quick reminder of the upcoming database maintenance. Please note the correction on check-ins – we expect everything will be back online and ready for check-ins beginning Monday morning, instead of Tuesday, as originally posted.
A few other considerations…
- Staff should only be performing checkout functions while offline. Please avoid any check-ins or patron registration. If a patron is registered using offline mode, please check for duplicates on Monday morning.
- The Enterprise OPAC will only be searchable, and all My Account features, including fines payment, placement of holds, or checking library available will be inaccessible.
- All patron notices will be suspended during the downtime. These notices will remain in queue until Monday morning.
- All SIP2 connected hardware and vendor services will be inaccessible, including PC Reservation software and E-Book accounts. If offered by your vendor, you may want to make arrangements to run SIP2 services in an “unauthenticated” mode so that patrons will still have access to PC Reservation (without guest passes) and E-Book services.
- We would urge all libraries to please take an opportunity in the upcoming weekends to test Offline mode with your weekend staff. This will ensure Offline is working correctly, that no intervention is required from your local IT to ensure functionality, and that files are saving/uploading as expected. Remember, Offline files are uploaded immediately when your library is back online and processed by SWAN servers overnight. Therefore, any check-outs performed during offline will be reflected on the next day.

Symphony Server Database Maintenance and Required Use of Offline Mode Dec 3rd-4th

SWAN Member Library Staff,
Over the first weekend of December (the 3rd-4th), SWAN will be performing database maintenance on our Symphony Server to finalize Enterprise facet work on fiction/non-fiction materials and commit several other recent projects to our database. This work will serve to greatly improve the patron Enterprise experience.
This process requires SWAN to rebuild the Symphony database indexes, which requires server downtime and will affect most Symphony services. Please see the list below for the specific services affected:
- Symphony Server functions
* WorkFlows (staff must use Offline mode for checkout; no check-ins please)
* SIP2-connected hardware (AMH, self-check)
* SIP2-connected vendor services (Overdrive, Axis360, etc)
- Symphony Web Services functions
* Enterprise My Account functions (including payments)
* Enterprise material availability
* BookMyne
* MobileCirc (staff must use Offline mode)
This downtime will begin Saturday, December 3rd at 6 a.m. and run through Sunday evening. SWAN will send a reminder as the date approaches, as well as a follow-up message when the database maintenance has completed and staff can resume normal work practices.
To reiterate:
* Symphony WorkFlows can be accessed only in Offline mode during the maintenance
* Enterprise OPAC will remain accessible, although patrons may have limited access to materials and some searches may produce incomplete results
* Materials can be checked out via WorkFlows while Offline, but please avoid check-ins until Monday *Corrected* (Important: Backdate these delayed check-ins to avoid fines to the patron records)

Good news, SirsiDynix has posted an update on the credit card payment issue. Please open a ticket if you continue to have an issue with payments coming through on your Propay accounts that are not cleared from the patron record.

The nightly SirsiDynix server outages affecting the Enterprise OPAC have unfortunately persisted throughout the week and may persist into the weekend.
Through nightly trial and error, SirsiDynix support has managed to reduce the outages to under thirty minutes sometime between 10pm-11pm, and they will not stop troubleshooting until the issue is resolved completely.
This issue is affecting up to 50 other SirsiDynix customers in addition to SWAN and has been escalated to the Director of SirsiDynix's Cloud Services division. That being the case, we're hoping for some good news this weekend. In the meantime, we've posted an alert on all Enterprise library profiles to inform patrons of the possible outages between 10 and 11pm.

SirsiDynix is continuing to investigate the root cause of the recent Enterprise OPAC outages that have been typically occurring after-hours on a nightly basis.
While SirsiDynix support has determined that the issue is likely related to the backup process of their hosted Enterprise servers, they have not yet found a definitive solution.
Until SirsiDynix staff has fully resolved the issue, we are anticipating continued brief Enterprise service disruptions. Fortunately, these outages have been largely isolated to late evening hours after SWAN libraries have closed, so we expect that the impact of these outages will remain minimal.
We will send updates as we receive new information, and thank you for your continued patience.

As announced previously, SWAN has scheduled downtime for the weekend of December 3rd and December 4th.
Over the last week, a number of SWAN libraries have asked SWAN to add these dates to their Days Closed calendar. After discussing the advantages of using the Days Closed calendar for this planned downtime; SWAN Member Services recommends that all libraries change their calendar to closed on Dec. 3rd and 4th. Doing so, will have distinct advantages:
* You will not have any materials due back to your library on those dates when you are using Offline Circulation and are not checking in materials.
* Returned materials will not collect any fines for the weekend when you check them in on Monday.
* Items on your hold shelf that would have had a pickup by date of the 3rd or 4th will instead receive a pickup by date of Dec 5th.
For these reasons, we are proactively updating the Days Closed table for all SWAN libraries to Closed on Dec. 3rd and 4th.
This does not mean that you should close your library, it just means that the software will think you are closed on those dates and will not assign those dates as due dates to materials you will be circulating to patrons.

You don't need to bring your tablet with you to attend this event. After completing setup we will be providing training sessions on various circulation functions: Checkout, Checkin, Renewals, Patron Registration, Modify User, Mark Item Used (In-House use), On-shelf Holds Pull List, Offline Circ and Inventory.
Additionally, the SWAN MobileCirc Mobile Device Registration linked below is REQUIRED prior to setup of your MobileCirc license. We will be unable to set up any devices without a registration form.

This morning, we experienced a 10 minute outage of the Enterprise OPAC. SirsiDynix has already resolved the issue and identified it as a SirsiDynix system-wide outage.
We do not anticipate further disruptions today, but we'll send additional SWANcoms should the issue reoccur.

On Tuesday, November 1, SWAN will be holding its November Committee of the Whole meeting<http://www.librarylearning.info/events/?eventID=23450> at Tinley Park Public Library (7851 Timber Dr, Tinley Park, IL 60477), beginning at 9:30 a.m. This will be an informational meeting to discuss the logistics of LINC and MAGIC libraries joining SWAN. The SWAN Board will be answering questions that members have voiced, as well as take the opportunity to hear any other concerns you may have. We will also hear from Anne Slaughter, RAILS Director of Technology Services, on the details of RAILS LLSAP grants and how RAILS will offer support to this project.

SWAN Libraries—
EBSCO Discovery Service (EDS) and OpenAthens are now live on your Enterprise
Development profiles! EDS integrates article search into Enterprise and
OpenAthens ties access of these databases to the patron's barcode and PIN
without the need for a unique login for each content provider. Before we go
live with EDS for patrons, SWAN staff will be sending out testing plans and
video tutorials so you can verify EDS/OpenAthens are functioning properly
within your library. If you are familiar with how authentication works and
would like to test EDS/OpenAthens on your own, the opt-in period for
activating EDS for patrons will begin on November 1st. More details will be
provided about the opt-in process next week.
The first testing plan should take no more than five minutes. Download the
attached document and follow the seven steps (with pictures!) to verify your
library's IP address is being whitelisted.
Lastly, on November 21 (time TBD), EBSCO will be presenting an in-depth
training webinar covering how to search within EDS, how to customize EDS for
your library, and how to utilize OpenAthens as a statistics reporting tool.

SWAN Member Libraries & Information Technology Staff:
On Tuesday, October 11th at 10pm, the Symphony Production Server will be taken offline for routine system maintenance. We expect this maintenance should last no longer than 1 hour.
This planned outage will not impact the Enterprise Catalog, however, WebServices features and other WorkFlows functions will be unavailable for the duration of the update.
The following services will be impacted by this outage:

* Enterprise OPAC Hold and My Account functions
* Enterprise OPAC Item Availability

It is the time of year when we begin the election process for the SWAN Circulation Advisory Committee. The Committee is composed of 11 representatives from SWAN libraries and chaired by myself. This year we have 5 people whose terms are up in November.
The election process is very simple. Any Circulation Manager/Supervisor or a person with oversight of the Circulation department may throw their hat in the ring (self-nominate). Everyone that submits a self-nomination form is included on the election ballot. All we ask is that you submit a few words in support of your nomination, basically why you want to serve on the Committee and what you see as your contribution to the Committee (what you bring to the table). Your statement in support of your self-nomination will be shared in the election ballot. All this is done using a survey. It only takes a few minutes to self-nominate.
Things you need to know about the SWAN Circ Advisory Committee : we meet 6 times a year (every two months), we publish our agenda a week before our meetings, our meetings are open to all. Obviously, we discuss circulation policies and procedures and are known to make recommendations to the SWAN Board upon request.
The current Committee members with terms ending in 2016 are : Mary Moss (EPS), Jessica Nawrocki (FRS), Roberta Richter (LPS), Brittany Smith (WMS) and Tori Tracy (PCS). These individuals may or may not choose to run again.

This week SWAN staff completed a review of the various notices and billing processes. As a result, SWAN has tweaked the logic and the run order of the notices to assure that all notices are being generated appropriately. The major tweak has been to the run order of the printed notices generated for failed SVA phone calls.
As we implement this change a few patrons that have not received overdue notices or bills for materials still outstanding may now receive the appropriate overdue printed notice. This is a small number of individuals that still have outstanding overdue items. We wanted to provide you with this information in case any of your patrons inquire as to why they didn't receive an overdue notice until now. There is the possibility that a patron may receive notices for a few days in a row as the notice cycles through the process.
Beginning October 6th the reports are going to run in this new order: SMS, SVA, Email and lastly Print. Any patron who does not fit the criteria for the other types of notices will default to print.

Hi everyone,
We have created a new generic user for you that should be used for damaged RB and ILL materials called RB_ILL_DAMAGED. This is one generic user that will be shared across SWAN. When you receive a damaged item that belongs to another library, either via delivery or directly from the patron, please follow the new procedure attached to this email. Doing so will ensure that patrons remain in their proper place in the hold queue.
