New Libraries Membership Vote Passes Quorum to Approve 19 Libraries Joining SWAN

SWAN Member Libraries, We are pleased to announce that our current online vote regarding new libraries seeking SWAN membership has met the quorum of 52 libraries needed for this vote to be approved. Online voting will continue to be live through the end of Tuesday, January 31, 2017, and we encourage the entire membership to complete the vote and represent their library's interests. Online voting will begin for the membership to approve or reject the proposed 19 libraries from LINC and MAGIC that wish to join SWAN. SWAN Member Libraries: In this morning's SWAN E-News, we included an update on the move to our new office space. I thought I would notify you all via SWANcom in addition to that newsletter. We are moving on Friday this week. The SWAN staff contact information is changing, which includes email addresses and phone numbers. It is important to note that the old phone numbers RAILS provided us will discontinue forwarding before the month is out. That was not our decision. The phone numbers when called will play a voicemail message notifying the caller of the new contact number and the new email address and then hang up. Once we know that the forwarding has stopped, we will again notify you all. But we want you to update all of your contacts before that happens. Fixed: Items overdue, not billed after 42 days

SWAN Member Libraries, It has been discovered that a notice configuration setting is inadvertently preventing some patron checkouts from progressing through the standard overdue and billing process. The number of affected records is relatively few. Nevertheless, higher than normal bill-notice volumes are anticipated tomorrow after the change takes effect tonight. Patrons receiving these notices may remark on the delay in delivery; however, the change should permanently solve the issue going forward and it should not happen again. *Concluded* Symphony Server Database Maintenance Dec 3-4

SWAN Member Library Staff: Good news – this weekend’s scheduled database maintenance concluded much sooner than we’d anticipated, so the Symphony/WorkFlows server is now back online and accepting logins! When starting WorkFlows today, please uncheck the box for “Operate in Offline mode”, and login as usual. All offline circulation from the last two days will automatically upload to our server and process overnight. If you login at any time today, you should see this weekend’s transactions reflected tomorrow morning. We’re still playing some catchup with the Enterprise OPAC database, so you may encounter some anomalies with select titles. Patron logins are again permitted, however, and any issues in Enterprise should be resolved within a few hours when our scheduled reports conclude. Remember, Offline files are uploaded immediately when your library is back online and processed by SWAN servers overnight. This work will serve to greatly improve the patron Enterprise experience. This process requires SWAN to rebuild the Symphony database indexes, which requires server downtime and will affect most Symphony services. Please see the list below for the specific services affected: - Symphony Server functions * WorkFlows (staff must use Offline mode for checkout; no check-ins please) * SIP2-connected hardware (AMH, self-check) * SIP2-connected vendor services (Overdrive, Axis360, etc) - Symphony Web Services functions * Enterprise My Account functions (including payments) * Enterprise material availability * BookMyne * MobileCirc (staff must use Offline mode) This downtime will begin Saturday, December 3rd at 6 a.m. and run through Sunday evening. SWAN will send a reminder as the date approaches, as well as a follow-up message when the database maintenance has completed and staff can resume normal work practices.
