We are excited to announce a new item category for item records in WorkFlows!
Item Category 6 can now be used to designate languages other than English. Several foreign language options have been populated in this category, and you can begin assigning them immediately.
Like all item categories, Item Category 6 does not impact circulation or hold rules in any way. It also does not display in the public catalog. It is meant for staff use only.
Item Category 6 is not yet available for reporting in BLUEcloud Analytics (BCA). SirsiDynix is working to add this in a future release. In the meantime, libraries may run reports for Item Category 6 in WorkFlows. SWAN staff can help set up templates for your library to run lists or circulation statistics reports if needed.
Please send in a ticket with requests for templates, questions, or requests to update parts of your collection with this new item category.

Hello SWAN libraries,
SWAN will be relocating its office in December, and we have some furniture that will be listed on the RAILS website under the "Classifieds: Free/For Sale/Wanted." We will prioritize SWAN member libraries first if your library would like to arrange a pickup of the items we post. It will be first come, first served. SWAN Business Manager Ginny Blake will coordinate the pick-up and removal of the items.
Currently we have posted some chairs on the RAILS classifieds just to see how the process works. There will be some additional furniture such as desks and tables we will post in the listed items available.

Mental health
During the planning of this year's Expo, we picked up from some membership polling at a Fireside meeting that concerns around mental health was theme. We approached the National Alliance on Mental Illness (NAMI) to present this year's keynote. The staff from NAMI will remain at Expo throughout the day to provide one-on-one consulting and advice in a private meeting room.
Managing your library's records
Have you wondered how your library should be managing its paper and digital archive associated with library operations? You can hear directly from the experts! The Illinois State Archives will present a primer for public libraries and local government on records retention.
Creating a crisis plan
The past few years have presented a new set of challenges for libraries, and we have invited HR Source to provide an overview of what your library should include in its crisis response plan.

Many libraries in SWAN have special collections or artifacts from your community. Thank you all for your patience and flexibility regarding the changes in EBSCO package offerings. Earlier this week, we were able to get a preliminary number of libraries that selected the RAILS EBSCO Flagship package as their first/second choice for a complementary database package. EBSCO would like to continue their years-long partnership with us, and they have decided to discount the RAILS EBSCO Flagship price. The discount is based on at least 50 libraries, and we are at exactly 50! The discount they have proposed is 25% off the Flagship package.

The overnight maintenance and morning reports have completed; you may now run any necessary reports in Symphony.
Our overnight BLUEcloud Analytics harvest was not able to run last night due to the issues with the upgrade. You should hold off on running any BLUEcloud Analytics reports for information that includes any transactions performed yesterday as it will not be included. If you have scheduled reports that include transactions performed yesterday you may need to run the reports manually once the harvest is complete. We have asked SirsiDynix to run the harvest now; we'll let you know when that is complete.

During the Symphony 4.1 upgrade process we encountered an issue that caused us to halt the installation. We have restored the Symphony server to 3.7.1.
We will postpone the 4.1 upgrade to a later date once SirsiDynix is able to properly investigate the cause.
Essential overnight maintenance reports will continue to run late as the system gets caught up. Please refrain from running any unnecessary reports until this process is complete.
There is a known issue with running the WorkFlows 4.1 client on the Symphony 3.7.1 server. Attempting to edit items will result in a blank item information screen and you will not be able to close the wizard or client. During the Symphony 4.1 upgrade process we encountered an issue that caused us to halt the installation. We have restored the Symphony server to 3.7.1.
We will postpone the 4.1 upgrade to a later date once SirsiDynix is able to properly investigate the cause.
Essential overnight maintenance reports will continue to run late as the system gets caught up. Please refrain from running any unnecessary reports until this process is complete.

As a reminder, our Symphony Production server will be upgraded to 4.1 this evening.
During the upgrade, My Account features, SIP2/WebServices, and other related systems will be unavailable.
Our upgrade is scheduled to begin shortly after 11PM and will conclude early morning Tuesday, June 18. While we do not anticipate the required use of Offline Mode or downtime during business hours, please wait for the 'All Clear' SWANcom to arrive tomorrow morning before accessing WorkFlows.

We are writing to inform you all that unfortunately we did not get the number of libraries necessary to make the SWAN all-inclusive package work. Instead, we're moving forward with the RAILS EBSCO Flagship package or individual databases if your library prefers.
The RAILS EBSCO Flagship Package includes ConsumerReports.org, NoveList Plus / NoveList K-8 Plus, and your choice of 6 additional databases. Pricing for the Flagship package is based on your library service population and can be found on the RAILS Deals & Discounts page (must be signed in to view): https://railslibraries.org/deals/112669
Individual databases are priced on that same page under your library service population group. If you plan to purchase individual databases, please fill out our 2024 EBSCO Deal Opt In form. EBSCO is referring all library calls about individual database purchases to them back to SWAN.

This is a reminder that our new EBSCO selection form is live and should be complete by end of day Friday, June 14.
The previous selection form, Package B, which was available between April and May 2024 is no longer applicable. All previously submitted data has been disregarded. That package no longer exists. With the statewide deal becoming available sooner than previously anticipated, it is imperative to let SWAN know how you will proceed with your database offerings.

Pricing and information above are for public libraries in SWAN only. We have yet to hear from about half of the members. Please note that if we do not get enough participants in the SWAN all-inclusive package, that it may no longer be an option. Please select a backup package or indicate that you want nothing at all.
Everyone is getting the resources in the statewide package. These new options exist to complement your library's database content and to ensure that Consumer Reports and NoveList Plus are not lost.

Please be advised, there is no imperative to install this new client before our scheduled Symphony 4.1 server upgrade on the evening of Monday, June 17th.
Upgrading early will result in a client/server mismatch message each time the client connects prior to the morning of Tuesday, June 18th.
WorkFlows 3.7.1 will continue to function after the server upgrade has been completed, but will also result in a client/server mismatch message until the client is upgraded.

Our big discussion topic for Thursday will be the yet to be announced statewide contract for research databases. SWAN has learned the contact has been awarded to EBSCO, but there are some differences with the statewide solution and our existing group-purchase for public libraries. We have a few options to present for SWAN libraries that are concerned about retaining a comprehensive database package, which would include Novelist Plus and Consumer Reports which are not in the statewide deal.
We will also present about public library website ADA complaints and how this relates to SWAN's Aspen Discovery.
