This memo outlines changes to the SWAN email domain from the previous MLS address to the new notices.swanlibraries.net address. No action is required of member libraries, except to update their email contact lists and spam filters, as necessary. The cutover will take place on Monday, November 25th. Maywood re-opening on Tuesday, Nov. 12th

+++ Please route to appropriate personnel +++ We are pleased to report that Maywood PLD is re-opening tomorrow. According to the Village Free Press<http://thevillagefreepress.org/2013/11/09/rep-welch-local-officials-maywood…>, " Library Director Stan Huntington announced the library's new operating hours: Mon. - Wed. (12pm - 7pm), Tue. - Thu. (12pm - 5:30pm), Saturdays (9am - 5:30pm). The library won't be opening Monday, due to Veteran's Day." The library will be closed on Friday and Sunday as it was previously. As you are aware, SWAN staff have made numerous changes to the loan rules, patron block table, Maywood patron holds, and Maywood OPAC options. SWAN staff will reverse all of these temporary changes and return them to their previous status by tomorrow's re-opening. If you have been renewing Maywood PLD patron cards at your library, you can begin referring their patrons back to Maywood PLD. SWAN Board Special Election: Self-Nomination Announcement

SWAN Member Library Directors/Administrators: SWAN has an open position on the SWAN Board effective immediately. The position of "At-Large" library director has been vacated by Christine Kuhn who has left her position at Westmont Public Library to pursue a library business consulting career. Christine regrets leaving the SWAN Board but hopes to continue helping libraries in a different capacity. SWAN Bylaws require a special election be held to fill the vacated position on the Board. Self-nominations will begin October 30th and end November 13th at 12:00 pm. The election will take place for two weeks, Monday November 18th - November 29th (5:00pm close).The new board will be announced the week of December 2nd via SWANcom. The SWAN Board Nominating Committee has approached several library directors interested in running in the special election, however any director can submit a statement of interest for this election. The goal is to have an open process. Maywood Public Library District Temporary Closure

SWAN Member Libraries: We have received notification that the Maywood Public Library District has temporarily closed due to lack of funding and will reopen when funding is secured. SWAN will be sending a memo providing guidelines for handling materials en route to Maywood and any Maywood patrons visiting your library. SWAN completed steps this morning in configuring Millennium to prevent Maywood's collection from circulating and has made it non-holdable. We have suspended Maywood patron holds for 180 days. However, there will be some instances where a hold might be trapped for Maywood, but our memo will provide you some guidance. We have had discussions with RAILS Executive Director Dee Brennan regarding Maywood and will be updating you as more details emerge. We just want to let everyone know that some measures have been taken. Reminder to check in all EHS and ORS materials

We attribute this to the fact that there was a week in late August where SWAN experienced a number of locked records and broken holds involving materials checkout out to Orland Park. These overdue (replacement) items were due during the week of the locked record problem and perhaps did not clear properly during checkin. However, we would like to remind everyone that materials being circulated to non-SWAN libraries (especially Orland Park [ORS] and Elmhurst [EHS] ) need to be checked in upon return to our SWAN libraries. Reconciling your Ecommerce Check

As we have done previously, RAILS Accounting will be emailing to your aliased library email accounts a spreadsheet of Ecommerce activity for your library. After the disbursement of the Ecommerce checks, RAILS Accounting will begin working on the Statements of debits and credits prepared by Edlyn LeFevour of SWAN Member Services. Once those are all processed your library will be receiving either a bill (more debits than credits) or a check (more credits than debits). SWAN Change in Bibliographic Services Tony Siciliano, our SWAN Bibliographic Services Manager, has decided to begin transitioning out of his position during the next months. SWAN will begin its search to fill this position. Beginning Nov. 25, 2013, he will work 3 days a week until a new Bibliographic Services Manager is selected. We expect that Tony will also have some time to work with the new person so that the responsibilities and tasks of the position continue uninterrupted. You should continue to work with Tony as you usually do until the transition is complete. He will continue to respond to your questions and issues as usual. The daily procedures that you follow of creating pre-cats, sending in photocopies, etc. go on as usual. We are confident there will be no service delays during this period. I will keep you informed as we reach the next milestone in this transition process. Tony has lead our cataloging team since 1999. We have enormous shoes to fill. I appreciate greatly his offer to stay involved in SWAN until a new manager is selected and to assist with training our new Bibliographic Services Manager. He will continue his involvement in the ILS search process as well. Tony, as many of you know, avoids the limelight. He was awarded the Illinois Library Association Technical Services Award in 2010 which he graciously accepted, but made sure in his speech to the crowd at Navy Pier that it was his staff that deserved all the credit. So over the next months it is our turn to thank him. He is on a well-deserved vacation this week, but will be back on Monday.
