There was a problem with the materials handler (AMH) at Oak Park yesterday. It is now fixed, but unfortunately there is a problem with any ILL materials that were processed by the handler either yesterday or this morning.
Any item crossing the handler yesterday or earlier today that had a hold for another library was assigned a status of "ready for pickup" instead of being given a status of "Intransit". To make matters worse, patrons were notified by email that their requested item was "ready for pickup" at their local library. There are about 400 of these items and they are from Oak Park Main, Dole, and Maze. Oak Park staff are expediting the processing of these materials, but they will not be received by the borrowing library until Monday or after the holiday on Thursday.
We are working with Innovative to see if there is anything that can be done by them to help clear up the problem in the WebPAC and MilCirc.
However, patrons may appear at your library having been notified that their item is "Ready for Pickup". If you cannot locate the item on your holdshelf, check the item record. Any item checked in by the AMH at Oak Park has an IN LOC of 996. These items will also have a Last Updated Date of either 12-19-13 or 12-20-13.
We apologize for this inconvenience. Not exactly the glad tidings you hoped to receive. Sorry.

On January 6th , RAILS delivery will be transitioned to CTS (Continental Transportation Solutions).
Part of this transition involves a new three letter delivery code for materials being routed to the Burr Ridge facility for SWAN. The following routing instructions pertain to both Interlibrary Loan materials (SWAN direct loans) along with work forms and materials for SWAN Bibliographic Services (Cataloging). Starting on January 3rd, materials being routed to SWAN at Burr Ridge should be addressed to SWS- SWAN. On January 3rd, holds for Burr Ridge staff will have an updated pickup point of SWS-SWAN in MilCirc.
Anything being routed to SWAN staff should be addressed using a sticky routing label. SWAN libraries should not use an ILDS label to route materials to the Burr Ridge office.

On November 20th, we sent out a Request for Best and Final Offer (RBFO) to our vendors with a deadline of November 29th. The Best and Final Offer documents that were received have been uploaded to the SWAN site in a Member's Only section; login will be required in order to view them. All documents are of course confidential and should not be discussed outside of SWAN. The documents can be found here: http://support.swanlibraries.net/content/swan-rbfo
The ILS Committee met on December 11th to attend two vendor webinars, covering the topics of web-based staff client and a more in-depth overview of the resource sharing process, as requested in the RBFO document. This helped to answer some of the remaining questions that the Task Forces and SWAN members generated from the vendor demos in October. The vendor Power Point presentations can also be viewed in the link above, toward the bottom of the page.
Over the next month, the ILS Committee will be checking additional vendor references to obtain more information about how the software is being utilized in libraries around the world. Then, in January the ILS committee will be meeting for Round 2 scoring of our top vendors. This is currently scheduled for January 7th and 8th; it is hoped that at this time, the ILS Committee will complete their final scores and be able to bring a recommendation of ILS vendor to the SWAN Board at the following meeting.

Just a reminder - on Monday, we completed our transition to the new XXS(a)notices.swanlibraries.net<mailto:XXS@notices.swanlibraries.net> aliased email addresses. Your patrons should now be receiving emails from the new address, and should you need to contact another library using the aliased email, please remember to use the @notices.swanlibraries.net domain, in place of the previous MLS domain. Additionally, your library director can now easily modify the email addresses associated with the 3-letter aliases on the http://support.swanlibraries.net homepage under Web Forms > Edit Aliased Email.
Please contact us should you encounter any issues with your patron notices, and thank you again for your patience during our network migration.

SWAN Member Libraries & Technology Staff:
Please see the linked memo "Network Changes Memo #5: Member Library Email Aliases", and route to your appropriate library staff. This memo outlines changes to the SWAN email domain from the previous MLS address to the new notices.swanlibraries.net address. No action is required of member libraries, except to update their email contact lists and spam filters, as necessary. The cutover will take place on Monday, November 25th.
The following information should be provided to your IT and library staff that might communicate via the three-letter alias addresses:

Attached are the instructions for running your individual reports prior to the Patron Purge.
Please do not hesitate to call or email if you have any questions and/or concerns regarding this process.
Also, please remember NOT to save your individual search strategies. The saved strategy that is on the Report Server is for ALL SWAN libraries. If you notice that someone has saved their Home Library or Barcode range in the System strategy, please notify me as soon as possible.

I've had several calls from those of you who participate in the monthly item deletes program:
The last day for you to mark items for deletion for the month of November, as well as the last day for you to run reports on those deletes, will be 9:00 p.m. on Wednesday, November 27. You may assume those items will be permanently deleted after 9:00 p.m. on Wednesday the 27th, after which you will no longer have access to the items or have the ability to run reports on them.
