SWAN Member Library Staff –
This morning’s Enterprise server migration has concluded successfully and the Enterprise catalog is now available for use.
Please note that because this migration did require the full time allotted, the standard overnight harvests had to be suspended. This means any catalog updates, additions, or deletions from the last day will not be reflected in the Enterprise catalog until the next overnight harvest cycle (Symphony/WorkFlows is unaffected by these harvests). That being the case, we expect these changes will become available tomorrow morning.
Following the next full harvest, we’ll also attempt to resume our Enterprise delta harvest processing, which refreshes the catalog data every hour. This was the primary goal of last night’s server migration. We’ll send more news on the delta harvesting following our testing over the next couple of days.

We expect the work to be completed by 6:00 a.m. on Wednesday morning, and will send another reminder via SWANcom prior to the outage. A banner will also be posted to the Enterprise OPAC to inform our patrons of the outage.
We apologize for any inconvenience, and thank you for your patience.

The setting to display existing checkouts, holds, and/or bills in the Charge/Checkout wizard was turned on this past Tuesday. SWAN IT did not see a negative impact on the server and we did not receive any reports of slowdowns. We are going to leave this setting on and continue to monitor the server. Please continue to report any issues you may experience with WorkFlows.
The setting to display existing checkouts, holds, and/or bills in the Charge/Checkout wizard will be turned on first thing tomorrow morning, August 8, 2017. Please let us know if you start to experience any issues with WorkFlows.

There is a setting in WorkFlows that will allow staff to see any existing checkouts, holds, and/or bills a patron may have when you view their account in the Charge/Checkout wizard. We will be turning this setting on for SWAN Tuesday, August 8 as a stress test. If you start to experience issues with WorkFlows Tuesday, please let us know so we can turn the setting off. The change will require a halt and run but that can be done rather quickly.
When we first went live on Symphony, SirsiDynix told us this setting was meant to be used by standalone libraries and would most likely cause huge delays for us due to our size. As LINC and MAGIC both use this setting without any impact to Workflows (and they are not standalones), we want to try implementing this expanded display to see if the size of the SWAN database will slow down our instance of WorkFlows.

The re-extract of our history logs has completed, and the issue with the Circulation Statistics in BLUEcloud Analytics has now been resolved.
All Circulation Statistic reports for July 2017 have been rerun and uploaded to the SWAN support site Statistics page.
If you feel your numbers for July were incorrect, please rerun your reports in BLUEcloud Analytics at your earliest convenience.

We are excited to see many of you this Friday at Moraine Valley Community College on August 11 for our second annual summer SWANstravaganza! For a complete look at what the day's events entail, check out our news post on the SWAN support site: Everything You Need to Know About This Year's SWANstravaganza<https://support.swanlibraries.net/news/2017-08-04/everything-you-need-know-…>. Last week, the caterers for the event have asked us to put in our lunch orders so they can purchase ingredients and plan out preparation. For this reason, we have capped event registration to 275 attendees (we currently have 249 people registered!) and have given the event caterers our lunch order, basing the quantity of each menu item around the current lunch orders and adding extras to each option.
This means that if you haven't gotten your lunch order in yet, or can't remember what you ordered, you don't need to worry-there will be plenty of lunch options available on Friday and everybody will be able to pick up a boxed lunch in their choice. Just a reminder, these are the lunch options, each of which includes a bag of chips, cookie, fruit cup, and assorted canned soda:
* Overstuffed Tuna Croissant- Flaky croissant stuffed with our famous tuna salad with lettuce and tomato
* Chicken Caesar Wrap - Grilled chicken breast, romaine lettuce, shredded parmesan cheese, drizzled with Caesar dressing, wrapped in a tender tortilla
* Caprese Salad Wrap (Vegetarian)- Fresh mozzarella, sliced tomato, basil, and crisp romaine lettuce, with balsamic vinaigrette, wrapped in a spinach tortilla

This is just a quick heads up. In our efforts to resolve some recent Enterprise issues, SirsiDynix is recommending an upgrade to the underlying server running Enterprise. This will result in more server resources supporting our system, but it will require some planned downtime starting at 11:59PM on Tuesday, August 1 next week.
We will send out another SWANcom email on Monday, with a reminder on Tuesday. The length of downtime is estimated to be 4-6 hours.

To ensure that these items are accounted for and not showing a location of InTransit when they are missing, follow the attached procedure. Please note that you should only check an item out to this user MISSHLDSHLF if it was on your Clean Hold Shelf report, and you have looked for the item thoroughly and checked with the patron to ensure he/she doesn't not have it in their possession.

SWAN Member Library Staff:
The same overnight maintenance report has unfortunately terminated with errors again last night. We believed to have resolved the issue yesterday, which was relating to a particular item configuration that was unable to be processed. While the item was corrected, the report error has persisted.
We'll be reaching back out to the SirsiDynix database support team for additional investigation this morning and will send an update as soon as additional information is available.

The same overnight maintenance report has unfortunately terminated with errors again last night. We believed to have resolved the issue yesterday, which was relating to a particular item configuration that was unable to be processed. While the item was corrected, the report error has persisted.
We'll be reaching back out to the SirsiDynix database support team for additional investigation this morning and will send an update as soon as additional information is available.

Please find attached 2 In Transit reports. The first report (Item Library) is the one you are used to seeing on a monthly basis, it lists your items that have been in transit for at least 30 days. The second report (Transiting Library) sorts the items by transiting library. Follow the directions outlined in the "Processing the In Transit Report" pdf for both reports.
Next Thursday, August 3, we will begin reporting on items in transit 10-30 days and will distribute those reports on a weekly basis for shelf checks. We are in the process of compiling a policy and process for cleaning up the items that have been in transit for an extended amount of time and will update you upon its completion.

There has been an issue with generic users being selected for collection when we run the report for Unique. To correct this problem, please review your library's In-House cards, Training cards, etc. to be sure "NO_UNIQUE" is the "Library Defined" for all users who should be excluded from Collection Reports.
To update these records:
* Use the Display User wizard to retrieve the record and select Modify.
* Under the Demographics tab, in the Library Defined category, choose "NO_UNIQUE" from the dropdown.
* Click Save and close.

Tinley Park Public Library is undergoing a major first floor renovation where nearly all adult materials will be unavailable from mid-July to mid-August.
By Monday, July 17, all adult Tinley Park Public Library materials will have a Home Location of Unavailable in WorkFlows and Enterprise.
Beginning July 17th and throughout the renovation, the lobby will offer some new and recently-returned materials.
The 2nd floor's Youth Services collection will be entirely unaffected.

When we resolved the issue with auto renewals it inadvertently pulled in circulation statistics for generic users. We have now resolved this issue and updated all of the circulation statistics on the SWAN support site.
If you use BLUEcloud Analytics (BCA) circulation statistics reports that include generic users you do not have to do anything. If you do not use these reports you will have to rerun your reports for an accurate count.

Subject: RESOLVED BLUEcloud Analytics Renewals Statistics Incorrect
The issue with auto renewal statistics has been resolved and the Monthly Renewals by Interface report on the SWAN support site has been updated. If you ran any of your own renewal statistics on BCA you will need to re-run them. You will also need to re-run any statistics that combine checkouts and renewals.
Now that the BCA statistics reports have been fully tested we have removed the statistics reports from WorkFlows. This includes any of the Monthly Checkouts by Item Type/Item Cat 2 reports you may have scheduled to run on a monthly basis. Please find attached the documentation for running your statistics reports on BCA.

It was discovered the renewal statistics reports we ran on BLUEcloud Analytics (BCA) do not include auto renewals. We are able to include them on our reports from WorkFlows and have opened a case with SirsiDynix to determine why they are not included in BCA. We were hoping to have a solution by now so we could re-run the reports on BCA but do not yet have an answer. Once we have an answer we will re-run all of the reports.
If you are using a report from BCA that combines checkouts with renewals those reports will also be incorrect as they are not counting the auto renewals.
Please find attached the June Monthly Renewals by Interface report from WorkFlows. If we do not have a solution by tomorrow we will re-run all of the June renewal statistics in WorkFlows for you.
