For those libraries that use Symphony Acquisitions, the Review All Funds wizard is now available for CIRCSR logins and REFILL logins. This wizard provides view-only access to fund information, including how many materials have been ordered, received, paid, or invoiced. This wizard also allows access to two Helpers that provide financial and performance fund data reports. This may help selectors manage their own funds as needed without having to use a TECH login. When logged in as CIRCSR or REFILL, please find this wizard in the Circulation module within the Special Wizards Group. OZS closed 12/13 & 12/14

SWAN Libraries- Oak Park's Maze Branch will be closing for two days on Wednesday, December 13th and Thursday, December 14th for a ceiling panel refit. OZS is closed on Fridays, so they plan to reopen on Saturday, December 16th.

Previously, there was a bug in Symphony that would update the Last Activity Date when you used the Inventory Item wizard. SWAN is happy to announce SirsiDynix has fixed the bug and we have removed the password from the wizard. The Inventory Item wizard is found in the Special wizards group in the Circulation Module of WorkFlows. [cid:image002.png@01D37303.2710B9A0] Simply open the wizard and begin scanning barcodes! SWAN thought we would share with our membership a number of benefits of the upcoming migration. First and foremost the number of users and items will be increasing: MAGIC patron count 69,978 LINC patron count 148,938 Total to be added 218,916 Grand total patron count for the new SWAN: 1,225,722 MAGIC item count 728,326 LINC item count 1,352475 Total to be added 2,080,801 Grand total item count for the new SWAN: 8,619,945 The increase in the number of SWAN patrons will have a positive effect at the Circulation desks of all the SWAN member libraries (including LINC and MAGIC) due to the decrease in the number of Non-SWAN reciprocal borrowers that will need to be registered. Additionally, the increase of the total number of items in the SWAN database will allow us to access a much larger collection and result in holds being filled faster. There should also be a reduction in the number of ILL materials that need to be requested from outside of the newly expanded consortia. One of the real boons to staff will be these new patrons will be placing their own holds on SWAN. Currently, these holds are placed by library staff and require special handling by the lending library when being processed as ILL_LIBS holds. In addition, all the materials being routed among the SWAN libraries will be routed for delivery using the standard sticky label and will not require an ILDS label as some of them did previously. All in all these new numbers will expedite procedures at the Circulation desk, but more importantly be of great benefit to all SWAN patrons. The patrons of the newly expanded SWAN with its 8 million items will be able to place their own holds, monitor and suspend their requests, and renew material using Enterprise. These files are updated on a regular basis and labeled with the date they were exported from Symphony, so you can be sure you are viewing a current copy. Brookfield Zoo Library has closed

+++ Please route to appropriate personnel +++ SWAN has been notified that the Brookfield Zoo Library (BZS) is closed. At this point in time, the future of the library and its collection is unknown. SWAN has shadowed their collection in the catalog after having made their items non-circ and non-holdable. The BZS patrons have been blocked from checking any new materials out on SWAN and from placing any holds. There are very few BZS items in circulation at present, if your library should receive any BZS items-- please check the item in and address the material to the SWAN Office (SWS). The few items currently in circulation to BZS patrons (employees) are in the process of being returned to the owning SWAN libraries. Long In Transit Processing

++Please route to appropriate staff++ We are now ready to make good on our promise to clean up the Long In Transit items! Any item that was set in transit prior to January 1, 2017 is now checked out to MISSTRNSIT. We will use the following schedule to continue to process the long in transit items until everything that has been in transit for more than 30 days is checked out to MISSTRNSIT. Date Month/Year item was put in transit 12/4/17 January 2017 12/5/17 February 2017 12/6/17 March 2017 12/7/17 April 2017 12/8/17 May 2017 12/11/17 June 2017 12/12/17 July 2017 12/13/17 August 2017 12/14/17 September 2017 12/15/17 October 2017 Starting Monday December 18 a report will be run on a daily basis that will checkout any item in transit for more than 30 days to MISSTRNSIT. Once an item is in transit to fill a hold, no other item will fulfill the hold. Checking out items in transit for more than 30 day will put the hold back at the top of the hold queue. In January we will send you a final shelf check report of items that were set in transit prior to January 1, 2017. Those items will be discarded at the end of January. BRS emergency closing

Riverdale PL temporary closure

*** Please route to appropriate personnel *** We have received notification from Riverdale PL that they are temporarily closing beginning on December 1, 2017. They intend to re-open the library on January 29, 2018. At present, they are receiving RAILS delivery and processing the materials received in their bookdrop. Their bookdrop will be available for patrons to use until Dec. 15th, after that time it will not be accessible. In the interim: * Riverdale PL has requested that SWAN suspend all Riverdale patron holds with a pickup of Riverdale. * Riverdale PL patrons that have placed holds and requested pickup at another library have not been suspended. * All Riverdale PL materials are not holdable. Riverdale PL has requested that any Riverdale patron cards that expire before January 29th be renewed for a period of one month as long as the patron is not delinquent. However, new patrons requiring a Riverdale PL card should not be issued a new card until Riverdale re-opens. Please ask them to visit the Riverdale library to secure a card after January 29th. Customize payment types drop-down

We are planning to make some changes to the list of payment types you see in your dropdown in WorkFlows: [cid:image001.jpg@01D356DD.BD7BBA80] The CANCEL payment type will be removed as it is the payment type used when an item is returned after receiving a bill. It will be replaced by VOID. The xxxBCC payment type will be removed for everyone; it is for payments made through Enterprise and should not be used in WorkFlows. Those of you that have had ProPay credit card swipes recently installed will retain your xxxBCC2 payment type. Additionally the following payment types must be retained: BANKRUPTCY, BILL_LIB, MISS_PIECE and PROPAYUPD. The rest of the list can be customized by you! Please choose which payment types from the following list you would like removed: ADJUSTMENT AMNESTY AUTOREFUND CASH CHECK CREDITCARD DEBITCARD FOOD4FINES FORGIVEN MIGRATBILL NONE PAYPAL REPLACEMENT If you do not reply, no further changes will be made to your payment types. Item Search and Display change

In advance of the addition of the New 19, we have renewed our investigation of the order that libraries appear in when viewing the "Call Number/Item" tab in various wizards such as "Item Search and Display". We were delighted to learn from SirsiDynix that there is now a way to do this, and we implemented it last week. Items from Franklin Park and Lansing should now appear in alphabetical order according to agency code. If you have any questions please let us know. ILL_LIBS Users unable to place holds in Enterprise

We have discovered patrons with ILL_LIBS as a library, including NONSWAN_RB, CHICAGO_P and Internet Access are not able to place holds in the Online Catalog. We are working to isolate and resolve the issue. Holds placed for these users in Symphony are not affected. Our sincere apologies for the confusion and inconvenience. Fee Formula: Request for 91 Public Libraries to Respond

SWAN Public Library Directors, Administrators Thanks for attending our membership meeting to discuss the membership fee formulas that are proposed for next year's budget. The SWAN Board on Friday last week reviewed the discussion from the meeting and would like to explore the idea of removing the bond amount from the property tax portion of the public library formula. You can report your bond amount using the online form below. We ask that you do so by Sunday, November 12th 5pm. October Quarterly Billing now available

Please route to appropriate staff. The October Quarterly Billing is complete and the invoices and checks will be mailed shortly from the RAILS Accounting Department. Documentation<https://support.swanlibraries.net/system/files/Members%20Only/BLUEcloud/BCA…> has been written to help guide users through the Billing Summary<https://support.swanlibraries.net/system/files/Members%20Only/BLUEcloud/102…> sheet as well as the detail statement reports<http://na1-microstrategy.bc.sirsidynix.net/bcanalytics/asp/Main.aspx?evt=20…> folder accessible in BlueCloud Analytics Shared Reports. You will note that the October Billing does not include any credits or debits for Unpaid Lost library material. This is due to the August, 2017 Circ Policy<https://support.swanlibraries.net/system/files/Members%20Only/Circulation%2…> revision Section 4.g: "Reimbursement for non-returned lost materials will be 365 days after due date and processed on a quarterly basis." Which effectively postpones reimbursement for these types of lost items until October, 2018. If you do not have access to the BCA reports, please open a ticket at help(a)swanlibraries.net<mailto:help@swanlibraries.net> and we will send you the Excel file. In addition, we will have a BCA login created for you and supply you with the documentation you need to access these files in the future. *Resolved* Enterprise Outage on 10/18

SWAN Member Library Staff: We’ve received confirmation from SirsiDynix Support that the outage has been resolved. It appears to have been related to an issue with the EDS (EBSCO Discovery Service) integration, which ultimately resulted in a crash of the Enterprise servers for some EDS-subscribing customers. SirsiDynix has corrected the issue, so no further downtime is anticipated for this evening.
