This report is expected to run for several hours and will likely take us into the afternoon hours. That being the case, many of today’s reports will be delayed, but they will queue and run after the report has concluded. This includes patron notifications. We would advise staff to avoid scheduling non-critical reports today so that queued reports are able to catch up quickly following the conclusion of the running report. Riverdale PL extended closure

Their bookdrop is not accessible during the closing. In the interim: * Riverdale PL has requested that SWAN suspend all Riverdale patron holds with a pickup of Riverdale. * Riverdale PL patrons that have placed holds and requested pickup at another library have not been suspended. * All Riverdale PL materials are not holdable. SWAN Member Library and Information Technology Staff: Last night, we ran a rebuild of our database index to resolve the indexing issues that occurred on 1/23. Any and all missing titles or 'heading keys need indexing' errors should be cleared up as of this morning. All SWAN services are once again available. *Update* Possible Record Indexing Issue on 1/20

SWAN Member Library Staff: Last night’s overnight processing did not appear to fully resolve the indexing errors that were reported on Saturday. We will be running a report beginning this evening, which should clear up these indexing errors. Please note that, while the affected titles are not searchable within WorkFlows, they are searchable within Enterprise. You will note that the January Billing does not include any credits or debits for Unpaid Lost library material. This is due to the August, 2017 Circ Policy<https://support.swanlibraries.net/system/files/Members%20Only/Circulation%2…> revision Section 4.g: "Reimbursement for non-returned lost materials will be 365 days after due date and processed on a quarterly basis." Which effectively postpones reimbursement for these types of lost items until October, 2018. *IMPORTANT* SWAN Membership Fees: Overview & Request for Bond Payment Schedule

SWAN Libraries, Happy 2018! The SWAN Membership Fees for FY19 will be presented at the Tuesday, February 6, 2018 Committee of the Whole meeting, which will be held at 9:30am at RAILS location 125 Tower Drive, Burr Ridge, IL. In advance of this meeting, SWAN is requesting some information from public libraries. Based on feedback from the membership, the SWAN Board revised the public library fee formula proposed and presented by the Fees Committee. The formula now removes bond payment amounts that are used in a debt service. In advance of the meeting, *I will need public libraries to submit your bond payment schedule by January 30, 2018.* Why is a document with the bond payment schedule requested? Quite simple, it will allow us to put your library's bond payment into the formula once, and SWAN will update it each year. We will not have to bother you each year for your bond payment amount! Explanation of SWAN Fee Formula A direct link is below, but look under the menu "Membership > Fees" on the SWAN Support site. https://support.swanlibraries.net/system/files/Public/SWAN_Fees_Explanation… The online form to submit a bond payment schedule is located here: We are asking for a PDF document be uploaded. An image file such as a PNG, JPG, or GIF will also work. The online form also allows you to add comments, ask questions. **UPDATE/RESOLUTION** Items checked out to MISSTRNSIT

**UPDATE** Indexing issues We were seeing patron alerts that showed there were available holds when there was nothing on the holdshelf. We initially thought this was due to our nightly maintenance reports not completing. SirsiDynix has informed us this not an indexing issue but instead a bug in WorkFlows. The bug leaves the available flag on an item that is no longer available and has been put in transit to fill a new hold. SirsiDynix has cleared the patrons we reported and they are working on a fix for the bug to be released in a newer version of the software. If you continue to see this occur please open a ticket with SWAN (help(a)swanlibraries.net<mailto:help@swanlibraries.net>) and we will submit it to SirsiDynix for clearing. SWAN will continue to monitor the status of the issue. **UPDATE** Processing deliveries The majority of the items mistakenly checked out to MISSTRNSIT have been delivered and cleared. You may continue to see items that show a last patron of MISSTRNSIT, please continue to follow any directions on your screen as you process your deliveries. **RESOLVED** On Shelf Items with Holds reports These reports are back to typical numbers. **RESOLVED** In Transit Shelf Check reports The shelf check report you will receive will have more typical numbers. Many of you have most likely seen much larger On Shelf Items with Holds reports today. You are seeing this because patron holds were added back to the top of the hold queue for items that had been in transit to fill holds. It also appears some indexing did not occur last night as we are experiencing some issues with patron alerts showing the patron has item(s) available but when you check their holds tab there is nothing available. We are hoping this will be rectified with tonight's maintenance reports. We again apologize for the inconveniences created with this mishap. The checkout to MISSTRNSIT placed your patron back at the top of the hold queue. As you process your delivery bins over the next few days you may see a higher number of items routing to other libraries to fill holds, or back to their home library because your patron's hold was filled by another item in the interim. This will not affect any items currently on your holdshelf. Once the item is checked in the previous user will display as MISSTRNSIT. You will not be receiving the In Transit Shelf Check Reports this week as there will be no items that fit the criteria (10-30 days in transit). One of the most complex processes in Circulation is the handling of damaged RB material. How damaged is it? Who's responsible? What incredible tail has been spun to explain away the damage? We've all heard them. (You're all lending books that seep, right? Of course you are.) For items that are damaged, bill-ably damaged, as distinct from temporarily Unusable due to a locked case or missing part: use the attached flow charts to process the item. Items checked out to MISSTRNSIT

Yesterday was the first day the MISSTRNSIT report was scheduled to run on a daily basis. It was unfortunately configured incorrectly which caused all items in transit to be checked out to the MISSTRNSIT user. The report has been corrected and will run as expected in the future. The checkout to MISSTRNSIT placed your patron back at the top of the hold queue. As you process your delivery bins over the next few days you may see a higher number of items routing to other libraries to fill holds, or back to their home library because your patron's hold was filled by another item in the interim. This will not affect any items currently on your holdshelf. Once the item is checked in the previous user will display as MISSTRNSIT. You will not be receiving the In Transit Shelf Check Reports this week as there will be no items that fit the criteria (10-30 days in transit). We will continue to update you as we gain more information with this issue. We apologize for any inconvenience this may cause. Title: List Titles With One System Copy That is MISSING, DISCARD, or MISSTRNSIT Summary: Provides a list of catalog records where your library owns the last item attached, and that item has a current location of MISSING, DISCARD, or MISSTRNSIT.
