The New 19 libraries may now begin to process their pull lists by using the Onshelf Items wizard. Do not panic when you see your lists are quite large and we do not expect you to finish these right away. We do however want you to check out any item you are unable to find on the shelf to your XXXMISSING user so the hold will move on to the next available item. We recommend using the fine free discharge wizard for processing the items on your pull list.
For those of you unfamiliar with using the Onshelf Items Wizard, you may want to sort by the location column first and then print.
To the New 19 Libraries:
SirsiDynix has not yet resolved our holds issues so we are asking our New 19 libraries to continue to hold off using the Onshelf Items wizard to access your pull lists.
To All SWAN Libraries:
As a reminder we are not expiring AVAILABLE holds and running the Clean Hold Shelf reports until tomorrow, May 3rd. Items on your hold shelves are still showing as available on patron records even though they have passed their pickup by dates, please do not remove the items from your hold shelves until they appear on your Clean Holds Shelf reports tomorrow.

Hi SWAN Libraries,
Just a recap and reminder on a few items as we are in a transition period from yesterday's go-live.
1. BLUEcloud Analytics (BCA) harvests were paused and now have resumed. The data is processing. It may take an extra day to accurately reflect data transactions. We expect BCA to reflect accurate data by Friday, May 4. *This means New 19 libraries will unlikely see their library data until Friday.*
2. Issues pertaining to data migration for our 19 libraries are being logged here:
https://support.swanlibraries.net/news/2018-05-02/go-live-updates-and-issue…
3. Two holds processing reports for the entire consortium are paused as we wait until Thursday. This allows us to fix a number of holds issues related to the 19 libraries. *We will send specific instructions via SWANcom to the New 19 soon.*
https://support.swanlibraries.net/news/2018-05-01/holds-processing
4. SWAN's priority at the moment is to ensure holds, items, and patron notification will be correct. We ask that everyone be patient with their "back of the house" operations for cataloging, acquisitions-these are being impacted by some of the maintenance we have prioritized on our Symphony system.
Thank you all again.

SWAN Member Library Staff:
Due to the database rebuild, we're currently seeing a long backlog of Symphony reports.
We're currently about one day behind, and are hoping to catch up throughout the day by shifting around the current schedule. Additionally, we'll be processing late-upload Offline transactions throughout the day, and these reports could further delay the queue.
To avoid further delays, please avoid scheduling new reports, if possible, and suspend acquisitions reports until we're able to catch up completely.
Thank you for your patience,
--

SWAN Libraries-
We are now officially 97! The system rebuild has concluded, offline transactions uploaded have been processed, and VPN access has been restored. You are now free to connect to WorkFlows and begin normal daily operations. SWAN staff are standing by to meet your support needs. The most effective way to report issues or questions is by submitting a ticket to the Help Desk, whether through email (help(a)swanlibraries.net) or the SWAN OTRS Support System.

*NEW 19: we are investigating some issues with holds placed by patrons that were old/inactive which loaded as active. Please do not take any steps for processing holds until we notify you. As you check in items, process normally.*
All Libraries: Please remember that BLUEcloud Analytics harvests will remain suspended until tomorrow and may take an extra day to accurately reflect offline transactions. We expect BCA to reflect accurate data by Friday, May 4.
And finally, to the New 19 libraries: Welcome to SWAN!

SWAN Member Libraries and Information Technology Staff:
We've received a few questions about available services this morning, specifically with regard to PC Reservation, MyPC, and Room Reservation tools.
To clarify, for the current 78 SWAN libraries, any services internal to the library that connect over SIP2, such as PC Reservation, MyPC, self-checkout, AMH and some payment services will be unavailable today during the database rebuild.
External services that connect over Web Services or vendor-based SIP2 connections, such as room reservation, electronic media, and database services should remain mostly accessible with only intermittent outages.
New 19 libraries will have slightly different availability.
For the full list of available services for both the new 19 and current 78 libraries, please refer to the link below.

It was brought to our attention that some items checked out today are showing a 4/30/2018 due date. We have updated ALL libraries days closed calendar so nothing will be due 4/30 and 5/1. A halt and run must take place for these new dates to be added, so you will still see items assigned to this due date. These items will be updated in a report overnight and will have a due date of 5/2.
Please send in a help ticket if you have any questions.

Updated: Mandatory IP Address Change
Hello,
The Axis 360 Team is pleased to announce that we are moving Axis 360 services to a 100% cloud-based environment in May 2018. Moving Axis 360 to the cloud will provide benefits in scalability as Axis 360 continues to grow, with bi-coastal data centers delivering dynamic support for peak utilization periods, 24/7 performance monitoring, support for global access, and best-of-breed cloud service tools and search capabilities.
As part of this move, you will need to whitelist several new IP addresses with your firewall. If you don't do this, your patrons will lose access to all of your Axis 360 content. Please note that these IP addresses are different from the ones sent in a previous communication.
Don't panic! If the above paragraph doesn't make sense to you, just contact your IT staff. They will be able to easily whitelist these IP addresses for you. Remember, you'll need to send us an email with valid login credentials (step 2 below) once you've whitelisted the IP addresses so we can make sure everything works correctly on our end.
We will be performing tests during the week of April 16th to ensure a smooth transition, but encourage you to submit your information as soon as possible.
Action Items
1. Whitelist the following new IP addresses with your firewall:
* 52.226.75.12
* 52.226.78.36
2. Once you've whitelisted the IP addresses, send us an email at axis360support(a)baker-taylor.com<mailto:axis360support@baker-taylor.com?subject=> and provide us with an active patron ID and password that we can test to ensure that the firewalls have been changed appropriately.
3. If we find an issue when testing your patron ID/password, we will contact you to ensure any necessary changes are made. If you don't hear back from us, everything is working correctly!
If you have any questions about this process, feel free to reach out to us at axis360support(a)baker-taylor.com<mailto:axis360support@baker-taylor.com?subject=>.
Thank you!
The Axis 360 Team

VERY IMPORTANT
What a fantastic response to our new Library Calendar Wizard! The wizard is feeling loved, but is a bit overwhelmed. To ensure that everyone gets to use this feature, please make sure to close out of the Library Calendar Wizard when you are finished entering your dates. This wizard allows only one person at a time to be logged in. You may receive an error stating "The records are currently in use. Please try again later". While we are looking at possible solutions to this issue, we recommend that you try to open the wizard later or the following day. We will send out more information as it becomes available.

We have some exciting Circulation updates for you!
Library Calendar
SWAN Libraries now have the option to manage their own Library Calendar, also referred to as Days Closed. The Library Calendar Wizard is now located in the Special Wizards Group under the Circulation toolbar. You will need to use the Circulation Supervisor password to access it.
If you would still prefer SWAN manage your library calendar for you, please email your dates to help(a)swanlibraries.net<mailto:help@swanlibraries.net>. Be sure to indicate you would like SWAN to manage these dates for you.
If you choose to manage your own Library Calendar, you do not need to send SWAN your scheduled closings. But, for emergency closings - after adding dates to your calendar, please notify SWAN so we can modify existing due dates as a convenience for your patrons and notify the membership on your behalf.
Please see the attached documentation for instructions, and watch this instructional video<https://youtu.be/hhPe-d9eoYA> on our YouTube channel!
Cancellation Notices for Manually Cancelled Holds
SWAN is now able to send hold cancellation notices for holds cancelled in Enterprise or Workflows with an inactive reason of CANCELLED. This includes holds patrons cancel themselves or holds cancelled by staff. Just like the current hold cancellation notices that are already running, these notices are only sent via email and are go out once daily, in the morning.
