Gale has reported that they resolved the access issues we have been having at SWAN. It seems that some recent updates on Gale's end removed authentication settings for many libraries, not just those in SWAN.

The Bedford Park Public Library will be closed while they undergo a maintenance project beginning 6/6/18 - 6/15/18. They will reopen on Saturday, June 16th.

As you may have heard we recently found out libraries should be completing
their Clean Hold Shelf report before beginning to process their Onshelf Items
list (pull list). In our ongoing mission to minimize issues with holds we
will be running the Clean Hold Shelf report for all libraries centrally and
will no longer offer the opportunity to libraries to schedule or run them on
their own through the REPORT login. This change will take affect Tuesday,
June 5. The centrally run report runs at 7am, Monday through Friday, and is
delivered to the generic email address for each library. If you have used the
REPORT login to setup your own Clean Hold Shelf report, or use the REPORT
login to run your report manually every day, please be advised the scheduled
reports will be removed and you will no longer be able to run them manually.
If you had been running them on your own you will no longer receive an email
if there are no holds to be pulled from your hold shelf.
Please have your director use the Edit Aliased Email webform on the SWAN
Support Site to ensure you receive your report. You are limited to 3 aliased
emails per library so SWAN recommends using a circulation department email
address, if your library has one, to make sure all staff responsible for
processing the report will have access to it.
Each SWAN library is required to fully process their Clean Hold Shelf report
Monday through Friday and will be included in the centrally run report Monday
through Friday. Please open a support ticket if you would also like to be
included in the weekend report.

This maintenance will be rebuilding the full cataloging index and will commit the changes made during the deduplication process that began on May 18.
During this time, there will be no access to Symphony WorkFlows or SIP2 connected hardware. Other external systems may experience brief outages during this time, but access to digital media, reference databases and Enterprise should remain largely accessible.

The long-running ADUText report has concluded, however, due to the timeframe in which this report ran, we did need to suspend our ADUUser report, so it’s possible that users added on Saturday may not be fully searchable. These users will show up via barcode number.
The regularly scheduled morning reports are beginning to run though, but we will be seeing a delay in reports throughout the day. We ask that staff refrain from running any non-critical reports until the system has had some time to catch up.

SWAN Libraries -
The Crete Public Library will be closed on Saturday, May 26th due to no air conditioning. Regular hours to (hopefully) resume on Tuesday, May 29th.
The Broadview Public Library District will be closed for another phase of renovation-related projects on Tuesday, 5/29/18 and Wednesday, 5/30/18.
The library anticipates resuming normal operations on Thursday 5/31/18.
SirsiDynix is in the midst of merging records through the de-duplication process. This means the system is being taxed. Expect delays in processing. Work that can be pushed to later in the day and even preferably, until after completion of de-duplication, should be considered.

The addition of our 19 new libraries increased the demand on our Symphony Reports system. This was largely expected, but I want to outline some of the steps we are taking, and to assure our libraries that the longer queues for reports is something we are working on behind the scenes to address.
1. We have worked to ensure that use of Symphony Reports as a statistical tool will be met through BLUEcloud Analytics. We are holding open labs for the new member libraries to get the reports they need scheduled in Analytics.
2. Acquisitions libraries in SWAN increased from 15 to 27, which has put the use of the X12 report into wider use. This report when run is queuing up and waiting behind other reports. We are looking at ways we can cut back on the delays.
3. SWAN libraries relying on Symphony Reports for specific statistics will be provided opportunities to transition to Analytics, but this will require us to set a deadline at some stage. Some reports can only run in Symphony, but the majority have an equivalent in Analytics.
4. SWAN's notices for automated phone, text, email, and print are running at times throughout the day, so we are examining this configuration to see if we can compress the length of time they run.
The goal we have is to see what our "new normal" will be with the expansion of our membership. Many libraries within the 19 delayed processing orders during the technical services freeze, so please bear with us while we work to determine if there is a temporary demand, or a new normal.

We experienced a brief issue with Symphony that affected check-in of items. This was temporary and displayed the "The records are currently in use. Please try again later."
This was related to some behind the scenes work we are doing to tweak some data.
