This is just one last reminder that the SWAN 2019 Expo on Friday, August 16th is still open for registration. You can review all of the session descriptions and times on our "annual conference" page below.

One quick note is that we added the option to register for SWAN Expo without using a credit card. You can chose the payment during the EventBrite registration<https://www.eventbrite.com/e/swanx2019-annual-conference-registration-56062…>, and from the "Payment Method" select Pay By Invoice. What SWAN will do is compile all staff registered at your library and send an invoice after the event. You can also register multiple staff as well.
Check-in for the morning and breakfast begins at 8:30am, and the event will kick off shortly after 9am. We will be in Building M for this event (same as previous years), so parking in lot C1/entry via 111th St. is your easiest way to find us. Look for the giant inflatable swans outside our building. The event is held at Moraine Valley Community College, 9000 W. College Parkway in Palos Hills, and GPS/map apps should work just fine. In our review of users receiving print notices, we have identified and corrected some in-house records that were receiving print notices. Any notices designated for in-house accounts, homebound and outreach users, staff, and processing related users should be associated with a library email address. If we find any generic users with no email address, we will be updating these users with xxx(a)notices.swanlibraries.net<mailto:xxx@notices.swanlibraries.net> to curb notice printing waste.
Also note "Do not mail" in the comment, note, or name field will not prevent a print notice from being generated.
Please review your in-house users, homebound users, staff, etc. and associate a valid library email address which is monitored by staff with the user record.

SWAN has received an invoice from Chicago Public Library for Reciprocal Borrowing Losses. Member libraries who have patrons in this invoice will be debited in the October Quarterly Billing. In the meantime, libraries who wish to bill their users for these losses may do so using NS_RBILLX.
If you have one or more patrons on this invoice, an email will be sent to your XXX @notices.swanlibraries.net address with patron detail. None of the lists has many patrons; however, in the interest of security, each list will be password protected using the BCA reports password convention. If you are not sure what that is, your director can login to the SWAN Support Site > Logins and passwords page to find it.

Gale recently sent out a memo about updating your Gale links to https and to *gale.com rather than *galegroup.com. Athens is currently working in development on an issue with Gale on this change. Please do not update your links until we receive communication from Athens that these links will connect properly. In the memo, Gale stated that the links would redirect. Please allow those links to redirect until Athens has resolved the issues.

B&T Axis 360 downloadable materials in Enterprise are giving an error when users attempt to download. (Error! Function call made with one or more invalide parameters: "callback", "resultId", "format").
SirisDynix is aware of the issue and working with B&T to get it resolved. The titles are available to download through the eReadIllinois website.

Registration is now open for this year's annual conference, SWAN Expo (SWANx19). Our event will be held Friday, August 16th from 9 a.m. (8:30 a.m. check-in) to 3:30 p.m., again at Moraine Valley Community College.

We are using Eventbrite to manage registration, the cost of which is $30 per staff person. You will be asked for your lunch option during registration and receive a survey link in your confirmation email to indicate which breakout sessions you are interested in. If you need to have your library invoiced for the event, rather than pay by credit card, the Eventbrite registration allows for that. Just click under the payment options to get the option for invoicing. Libraries can buy multiple tickets (up to 10) and register all of the staff you wish to attend.

The reindexing report has concluded. This report has resolved the issues that occurred as a result of our overnight processing.
This morning’s bibliographic/item editing freeze has been lifted. All normal cataloging activities may resume at this time.
While the report has resolved the errors regarding item locks or ‘heading keys need to be indexed’ errors, searches in WorkFlows may rarely appear to display duplicate entries. We are still investigating this particular issue, but it will not impact daily operations. These duplicate record searches are also limited to WorkFlows and are not impacting Enterprise searches. We do expect this will be cleared by this evening’s regularly scheduled maintenance reports.

Please be aware, last night we countered an abnormal ADUText report, which handles our daily record maintenance and processing. That being the case, we may encounter record issues throughout the day until the next successful run of the ADUText report. These issues will most likely impact records that were added/deleted/updated yesterday and are typically in the form of “heading keys need to be indexed” errors in WorkFlows. You may see these errors when searching, modifying, or checking in/out the impacted records.
We’ve reached out to SirsiDynix Support with hopes to mitigate some of the record issues that may be encountered, but if you come across these records, please email a list to help(a)swanlibraries.net<mailto:help@swanlibraries.net> and we’ll forward them to SirsiDynix for further investigation and temporary correction. Otherwise, all record issues should be cleared with tonight’s regularly scheduled maintenance.

SWAN Member Library Staff:
The reindexing report has concluded. This report has resolved the issues that occurred as a result of our overnight processing.
This morning’s bibliographic/item editing freeze has been lifted. All normal cataloging activities may resume at this time.
While the report has resolved the errors regarding item locks or ‘heading keys need to be indexed’ errors, searches in WorkFlows may rarely appear to display duplicate entries. We are still investigating this particular issue, but it will not impact daily operations. These duplicate record searches are also limited to WorkFlows and are not impacting Enterprise searches. We do expect this will be cleared by this evening’s regularly scheduled maintenance reports.
If you encounter any further difficulties with records in WorkFlows, please notify us at help(a)swanlibraries.net<mailto:help@swanlibraries.net> so we can investigate.

SWAN Member Library Staff:
Please be aware, last night we countered an abnormal ADUText report, which handles our daily record maintenance and processing. That being the case, we may encounter record issues throughout the day until the next successful run of the ADUText report. These issues will most likely impact records that were added/deleted/updated yesterday and are typically in the form of “heading keys need to be indexed” errors in WorkFlows. You may see these errors when searching, modifying, or checking in/out the impacted records.
We’ve reached out to SirsiDynix Support with hopes to mitigate some of the record issues that may be encountered, but if you come across these records, please email a list to help(a)swanlibraries.net<mailto:help@swanlibraries.net> and we’ll forward them to SirsiDynix for further investigation and temporary correction. Otherwise, all record issues should be cleared with tonight’s regularly scheduled maintenance.

Good morning -
We have pinpointed the cause of this morning's indexing errors, and SWAN needs to run a rebuild process to correct the problem. This will take just over an hour. To avoid any complications, please suspend all cataloging operations that involve bibliographic import or editing. This includes the adding and editing of item records and the "Load Bibs with Order Info" report step in the Acquisitions process. All other operations may continue as normal as the rebuild takes place.
Thank you for your patience as we tackle this issue. We will inform you when the temporary freeze has been lifted.

SWAN Member Library Circulation Staff,
Soon after our 2015 migration we encountered a bug where items on the Clean Hold Shelf report had no holds but were being routed to HOLDS at checkin. After extensive investigation alongside SirsiDynix we have determined that an immediate fix is not yet available, but SirsiDynix will continue to investigate. In the meantime, we have provided a workaround<https://support.swanlibraries.net/node/66641> which has been posted to the Known Issues section of the SWAN Support Site. We will update the Known Issue log if, and when, there are any developments.
