As you are most likely aware, there are some intermittent problems with the online payment system BLUEcloud Commerce. At times, when a patron pays a fine online, their Symphony Workflows account is not updated and the fine is not cleared. A patron would see a message to this effect in Enterprise, "Unable to notify the library of paid fines or fees," but it is possible they might not contact the library or attempt a second payment online.
Unfortunately there is no immediate fix for this problem. SirsiDynix has stated this is a top priority for their development team. Please review the attached memo for three suggested options for libraries to follow if you encounter this problem with a patron.

Attached is documentation for running the SirsiDynix report to generate "High Demand Holds" for your library. The SirsiDynix report is actually called "List Purchase Alert with Demand Management". I have created a template for any library that sent in a request to the ticket system. (help(a)swanlibraries.net<mailto:help@swanlibraries.net>). If you haven't sent in a request yet, or do not find a template for your library, please submit a ticket. You will find the template in the reports module under the Template tab in alpha order by your three letter agency code (XXX High Demand Holds).
I have configured the library default template to run the hold ratio of # of holds for pickup at your library to the # of your library copies. Libraries can modify this template to run the hold ratio of the # of holds for pickup at your library to the # of items owned system-wide. Your library may want to run both report numbers. You will find the documentation on the template attached. We have included information in the documentation on how to pull the text report into a spreadsheet. For each title, the report output includes the number of holds, number of copies, the holds to copies ratio, the title (up to 30 characters), author (up to 20 characters), and call number (up to 10 characters). For those of you who have asked, there is no more information that can be included in the report, sorry.
You will find this report doesn't take long to run. And by creating a template for your library, you can run this report at your convenience anytime between 9 AM and 6 PM any day you want. Enjoy!

Hello SWAN Libraries:
After chatting with library staff, we have created a quick blurb for use in newsletters and on websites regarding our migration and issues that patrons might be facing. I've pasted it below. While it may be desired to include specifics on issues and a timeline, with the dynamic nature of the issues it is difficult to do so - we fix the issues as they come up, and often quickly enough that it isn't something we could capture for print media.
That being said, Aaron is going to give a very detailed presentation at the Committee of the Whole meeting on Tuesday all about outstanding migration issues and timeline. So, if you would like to flesh out this blurb with further detail, there will be plenty of great content at that meeting. We do intend to stream the meeting too, so that all staff can observe.

We thought this would be an interesting meeting to stream live for everyone so they could watch the presentation and participate remotely in the discussion. This meeting will focus more as a migration recap and to gather some feedback. Everyone - what follows is a very lengthy Circulation update
Bills
We have run today for the first time the Assumed Lost Report and Bills. These reports were delayed due to a data problem that has now been corrected.
The bill notices generated by these reports have been sent to your patrons either as text messages, emails, or printed bills. The printed bills are being sent from the SWAN office via US mail directly to your patrons. At this time, SVA robo-calling is still in the testing phase, therefore there were no phone calls made to patrons. This being the initial run of the Assumed Lost Report and the Bill report, your patrons may have received bills for materials overdue prior to our migration. In the future, these bills are scheduled to run daily for any item 42 days overdue.
In order for you to track your items and your patrons/users that have been billed, we have created two new report templates for your library use. These templates can be found in the report module of Workflows. The report templates are named "xxx List Items with Bills" and "xxx List Users with Billed Items", xxx being your library three letter agency code. Please see the attached document for further information on these reports. This document can also be found on the SWAN website: https://support.swanlibraries.net/content/circ-documentation (bottom of the page under heading "Reports").
Holds and routing labels
As a reminder, Internet Access libraries and other consortia libraries in RAILS (ShareIllinois) can place holds on SWAN, just as they did previously. However, Workflows does not automatically check out these items to the requesting library. To fill these holds, you need to checkout the item to the generic library patron/user. These holds are easy to identify as they come up "Route/Transit to ILL_Libs" . A number of libraries have recently been addressing delivery labels to ILL_Libs, unfortunately these materials cannot be delivered as addressed. The patron/user record as displayed on the Workflows screen includes routing information "To: For:". OCLC Deep Linking to the Enterprise catalog
While we have been busy working our way through questions here at the central office, two of our member library staff have been busy on a project. Ann Stovall of INS and Jen Fredericks of DGS both worked at getting the deep linking from OCLC WorldCat and WorldShare working with the SWAN Enterprise catalog. They have each shared their information with me. The result is a document you can refer to on the SWAN website to set up links for your library that will retrieve your library item record based upon an ISBN search. The document can be found on the SWAN website at: https://support.swanlibraries.net/content/interlibrary-loan-processing . I had scripted all the links for the SWAN libraries previously to work with Millennium, but since this now involves scripting in WorldCat Registry I no longer have access to those logins and passwords. So, as things settle down and you are looking for a fun project, take a look at the documentation and implement deep linking. This will save the person doing ILL from getting a number of OCLC ILL requests for materials that are checked out or possibly missing.
Statistics
We continue to work on Circulation statistics. Keep those requests coming. We know everyone wants Circ statistics by IC1stat, unfortunately that I cannot generate for you in SirsiDynix. We will see if we can come close to generating something similar. You might have noticed that your ILL statistics are higher this month when compared to last April, I think we can attribute any weird circ numbers this month to the problem we had with holds. Remember we all cleared our hold shelf and sent items home or on to another patron - and then we received the same titles again. So, all of your checkin or checkout numbers might be a little screwy. I promise in May we will have more reports available and more accurate statistics for you. Please bear with us as we fine tune the reports.

Everyone - We have a number of new statistical reports for you. These are the SirsiDynix statistics for the period of April 11th-30th. These new statistical reports are available here: https://support.swanlibraries.net/content/april-2015-sirsidynix-stats You will need to login to view them.
The Millennium statistics for April 1st-10th have already been posted to the website and the report server.
The SirsiDynix Workflows statistics include the following:
* Checkouts by patron/user profile ---this also includes the Reciprocal Borrowing statistics
o RB stat --Items checked out at your library by patron/user profile - read across and subtract your library profiles and ALA/OCLC
o Total checkouts by patron/user profile -- total checkouts by your patrons/users at other libraries - read down and subtract your library checkouts
* Checkouts by item - this includes your ILL statistics
o ILL as a Borrower -reading across ---subtract your own materials
o ILL as a Lender -reading down - again subtract your own materials
* Checkouts by Itype
* Renewals by patron/user profile
* Checkins at your library - find your library in the first column then read across
* New patrons/users created by library
We will be taking requests from the SWAN libraries for what use to be known as "High Demand Holds". We are working on a substitute report for the Millennium "Fines Paid" report, more on that later.

We are going to have two sets of Circulation Statistical reports for you this month.
April 1st- April 10th-- will be Millennium statistics and available as they have been in the past. The web reports are available on the SWAN website under the Statistics tab. The other statistics can be found on the report server as usual (http://10.120.131.130/iii/webrpt/secure/Review.html ). These reports will be ready tomorrow morning.
April 11th - April 30th --- will be available on the SWAN website under the Statistic tab. We will be running the statistics tomorrow and have them up on the website Monday afternoon. We have the typical Circulation reports: checkins, checkouts, renewals, ILL (Direct Loans), and RB statistics, and new user registration.
Please note: We will not be supplying hold statistics this month as we feel they would be inflated due to the holds problem earlier in the month. We will have this report for you next month.

The Enterprise catalog last night around 7pm began to display incorrectly the owning libraries as UKNOWN and the status of the items UNKNOWN. This was the problem we encountered on Sunday.
SWAN staff took corrective action last night. I have been in contact with SirsiDynix support this morning. We are still working on the problem.
*Important note: We have temporarily disabled holds within Enterprise.* With searches not returning the correct library or the correct status, the holds process in Enterprise is not working correctly. Symphony holds placed by library staff will be fine.
There is no need to open any support tickets about the Enterprise problems until we notify you later.
Again, on behalf of SWAN I apologize for the inconveniences all of you have experienced over the past two weeks. We will continue to work and round the clock to ensure a stable system for you all.

To All SWAN Library Staff:
We have some updates for you all this evening. The good news is that the SWAN staff with help from SirsiDynix engineers have come up with a plan to re-index the Symphony item database of 8.2 million records tonight which should be completed for all libraries by tomorrow morning, Wednesday 4/29. This does require a Symphony server halt for around 15 minutes tonight, planned for 10pm. Enterprise will running the entire time.
This completely new re-index should resolve the following Symphony WorkFlows problems:
* Records that staff added this past week may not be fully searchable, and when doing a browse search, you may see the message "Heading keys need to be indexed first."
* Tech services staff cannot search the database for duplicates before adding items. They have been either sitting on items and potentially increasing their backlog from the migration, or adding items blind and potentially creating duplicate records that will require more cleanup.
* Tech services staff cannot find records that need updating
* Public services staff cannot find material on the shelves or place holds
* Selectors cannot search for materials they are evaluating
Read on for the details.
On Monday, SWAN staff concluded that the indexing plan outlined originally by SirsiDynix was not working fast enough. We were processing around 20,000 records per night. With new records being added into the system, and with the backlog of 200,000 records due to mass data changes, we huddled up with SirsiDynix to come up with a new plan.
So my apologies for not having a good answer for you on Monday or most of the day Tuesday. We simply didn't have a new plan in place yet. SirsiDynix staff are going to work the entire night to fix this problem you have been struggling with for the last week.
The work tonight will also benefit SWAN in the future, as it involves some redesign of our database to ensure full re-indexing of Symphony will run much faster.
We will have SWAN staff in early around 7am Wednesday to verify the new indexes are working correctly. Another SWANcom will be sent out in the morning.

In the last hour, we experienced some unexpected slowness on the Symphony server that we suspect may be related to troubleshooting of our recent record and index issues. This slowness also caused authentication issues with the Enterprise OPAC, which was denying patron logins.
These issues have since been resolved and we're currently monitoring the situation with the help of SirsiDynix support. This morning we are running three Circulation Reports for the first time:
Expire Holds Report - This expires holds that were not filled before their expiration date and sets the hold status to inactive. Your patrons will receive email notification that these holds have been cancelled.
Expire Available Holds Report - This expires holds that have been on the hold shelf for at least seven days and not picked up. This report changes the status of the hold to inactive. Your patrons will receive an email notification that these holds have been cancelled.
Clean Holds Shelf Report - The report for your specific library will be automatically sent to your library generic email. The report should be sorted by user name. This report identifies those items that need to be pulled from the hold shelf and processed. Those items that need to be put "in transit" are updated to "in transit" automatically, you can check in the item if you want to generate an "in transit" slip. Those items that cannot fill another hold and are at their home library, are updated to the item's home location and can be re-shelved. Those items that can fill another hold at the same library, are updated to "holds". The next available hold at that library is updated to "available". Check the item in to generate a hold wrapper or hold slip.
We will be sending more information as needed after we have analyzed these first reports. We anticipate that these reports will be scheduled to run Monday through Friday. We will be running these three reports as soon as possible today.
