Hello Facilities Committee,
As outlined in yesterday's meeting, our "message to staff/board/membership" can be summarized as follows (let us know if you see anything to add to this list, please)-
Plan for communicating to SWAN membership verbal update:
* Use the March 3 Quarterly meeting to have Anne and Kristina provide an update on activities
* Share the WFH two week experiment
* Budget scenarios are being crafted, but not ready
* Committee is meeting 3/8
* The next update to membership would be Quarterly 6/3 (or sooner, via SWANcom/special meeting if we need to move forward more quickly?)
SWAN staff meeting update:
* Aaron is working on budget scenario that will include a new facility with a hybrid WFH; there will be membership fees that are a low and a high to reflect full existing RAILS support and what it looks like with no RAILS support
* Clarify with staff their preference for Burr Ridge vs. new space
* We will outline our concerns about the existing Burr Ridge facility; it will not be a list of items that require RAILS answers, but serve as a reminder of what those issues are for our Board and membership
* Committee is meeting 3/8, which after reviewing the budget will decide upon a recommendation to the SWAN Board
* SWAN Board meeting is 3/18
RAILS Leadership Team email update:

The meeting packet is 62 pages long. Much of the length is from our FY17 budget draft, by-laws (yearly review), and our updated 401(a) retirement plan agreement from ICMA. Though we are covering a lot in this meeting, we do not anticipate that it will go into the lunch hour (most if it is just review and approval of documents).

SWAN Board Members:
I needed to correct one of the charts used within the SWAN FY17 budget. This is a chart I used on exhibit D2 and again on D13. This is the chart which shows SWAN staffing levels, and it was incorrect for a few of the numbers. Please refer to the attached PDF chart if you are curious about that correction.
When this budget is shared with the membership, I think this aspect of the past 9 years of SWAN will be interesting.

The meeting packet is 49 pages long, 31 of which are our FY17 budget, overview and guidelines. Also included in this month's packet are job descriptions for our restructuring of the SWAN Bibliographic Services department, the first department we've tackled as a part of our strategic staffing analysis and adjustments post-migration and pre- potential Futures changes.
We do not anticipate that this meeting will go into/past lunch so will not be providing a meal - we actually have 3 applicant interviews set up for potential new Special Projects Coordinator starting at 12:30 on Friday, so we are hoping to definitely wrap things up by then.

Attached is the SirsiDynix quotation I received this evening from our sales rep Jeff Myers. The board packet contains the quotation at the 40% discount, and the requested changes from our legal counsel Kathie Henn from Klein Thorpe.
Basically, I got everything I asked for: the 40% RAILS discount, a two-year term (instead of three years), and a complete termination with refund if the service is not complete and operating by March 31, 2016.
I am providing this for those that wish to review it electronically. I will have printed copies for the meeting.

Hi guys,
We just wanted to send a quick email to let you know that our board packet next week will likely be a little later than we typically get it out to you. We had an all-day meeting at Morris Public Library today (RAILS Consortia Retreat), and Monday/Tuesday will also be quite busy for Aaron and me with our SWAN holiday party and some Network Admin interviews. Hi SWAN Board,
Attached is our proposed calendar of board events for 2016. For those of you unfamiliar with this document, this is what I'll be using to keep us on track with our agenda topics each month and with Aaron's and my administrative tasks (budget, audit, etc.).
