The meeting packet is only a modest 49 pages long this time! We will be continuing our discussion on futures staffing and facilities, reviewing budget scenarios for both, and getting an update on the RAILS LLSAP budget too. We are hopeful to wrap the meeting by lunch but I can certainly order food if the meeting gets lengthy.
Also, in regards to the Action Item 7, SWAN Bylaws, Sheila has shared her thoughts below for the potential revisions that we may want to incorporate:
Article 3
Section 2.
or Assistant Administrators (only if Aaron likes this idea)

Delete 2nd sentence OR members may serve as many terms as they are elected.
Section. 11
If a Board member vacates office and there are two years or more left on the term, a special elections will be held. If there is one year or less

Delete Each officer may service in the same office three consecutive years.
How can we add electronic voting? It needs to be a quorum. I think people need to come to the meeting to me it sounds like a way for someone to lobby for votes promising
anonymity.

Hi team,
Another big staff announcement to make for SWAN, and one that I know will have many of us saddened to hear because we will miss her terribly! After 30 years of service to us, Renee Clanton has notified me of her upcoming retirement plans. Renee's last day with SWAN will be July 31st of this year. Renee has been such a huge part of SWAN over the years, and for many of us has been both a friend and mentor as well. She has also been a key player in all of the recent big changes for SWAN, including having an integral role in our migration. Simply put, SWAN would not be as successful as it is today without Renee and we are so grateful to her for her years of service. We wish her the very best of luck and happiness in her upcoming retirement!
We will arrange a retirement celebration with our membership, so you can anticipate a date we will arrange soon with the announcement.

Our by-laws regarding the nomination process are written as follows:
"A nominating committee appointed by the Board President and consisting of at least one Board member and up to three administrators from the membership shall nominate at least one administrator for each open slot from the membership. Candidates for Board member may also self-nominate with a Statement of Interest."
There is no clause for what to do if we do not have enough applicants to run, since we are to nominate at least one person for each seat.

Hello SWAN Board,
As promised we have compiled a small supplemental packet of information to accompany our agenda Item 10. Administration Department Restructuring, attached.
This document begins with an overview of our review and vision for the restructuring of this department. There then follows four position descriptions, three of which we would be proposing at this time and one (Assistant Director) that is a potential idea we'd like to get your feedback on for possible future use. Also a point of note, the Operations Manager role would replace the current Office Manager position, so though it is a new position it wouldn't be a +1 to the staffing count. This is to reflect the current responsibilities of this role, combined with expanded facilities manager duties.
We hope that this overview will provide a good baseline for an open dialogue on our ideas and some thorough feedback on Friday. Please let us know if you have any questions in the meantime!

The meeting packet is 80 pages long. A majority of that (40+ pages) is our revised Employee Handbook, which the Personnel Committee reviewed in November and which Management Association has been reviewing and updating for legal compliance for us since then. I've included a "clean" version with a few comments, as the redlined version is very hard to read. I am happy to email the redline separately if you'd like it.
We will be either emailing or handing out documentation for the Admin Restructuring item. This will include redlines for current positions, and newly proposed positions for our Administration/Management team at SWAN. We are still working to incorporate some feedback that we solicited at our management team meeting yesterday.

SWAN Staff,
I have some exciting but also bittersweet news to share with you all. After many years of planning, Karen Bar and her husband have made the decision to follow their dreams of relocating to the Florida Keys. They only recently completed this decision so it will be a few more months in coming, but Karen was kind enough to share her decision with me early. She wanted to ensure that we can begin work on finding the perfect candidate to take on our Bib Services Manager role. We are hopeful to find someone soon enough that perhaps Karen can shadow and help to train the new hire for a little while, as Tony did with her when he retired.
Karen has become such a huge part of our team and we will miss her and her calm, cheerful, and knowledgeable presence very much. But at the same time, we are so excited for her! We will be posting her position on Monday, and she will be an active part in helping us to recruit and interview her replacement. If you have any referrals for the Bib Services Manager, please be sure to share with them the link that Brande will send out once she posts it next week.

Hello Facilities Committee,
As outlined in yesterday's meeting, our "message to staff/board/membership" can be summarized as follows (let us know if you see anything to add to this list, please)-
Plan for communicating to SWAN membership verbal update:
* Use the March 3 Quarterly meeting to have Anne and Kristina provide an update on activities
* Share the WFH two week experiment
* Budget scenarios are being crafted, but not ready
* Committee is meeting 3/8
* The next update to membership would be Quarterly 6/3 (or sooner, via SWANcom/special meeting if we need to move forward more quickly?)
SWAN staff meeting update:
* Aaron is working on budget scenario that will include a new facility with a hybrid WFH; there will be membership fees that are a low and a high to reflect full existing RAILS support and what it looks like with no RAILS support
* Clarify with staff their preference for Burr Ridge vs. new space
* We will outline our concerns about the existing Burr Ridge facility; it will not be a list of items that require RAILS answers, but serve as a reminder of what those issues are for our Board and membership
* Committee is meeting 3/8, which after reviewing the budget will decide upon a recommendation to the SWAN Board
* SWAN Board meeting is 3/18
