Hello SWAN Board/Personnel Committee:
The Friday 11/13 Personnel Committee agenda and packet are now available for you:
https://support.swanlibraries.net/sites/default/files/meeting/2015-11-13/pa…
The packet is 78 pages long (74 of which are our Employee Handbook, which has a few redlined revisions up for review). This year's meeting will primarily be one of update and info rather than changes. We've made the handbook revisions to bring us in line with Management Association's legal recommendations, and I will present an employment law update and healthcare update for attendees.
See some of you this Friday, and some of you next Friday!

SWAN Board,
I will hand out printed copies of this proposal at the meeting this morning, but here is the first proposal I have received.
Unfortunately I have not received the other two proposals yet. It was coming together quickly last week so I will need to encourage them to have something sent to me by early next week.

SWAN Board Members:
The Friday 10/16 meeting packet is now available for you:
https://support.swanlibraries.net/sites/default/files/meeting/2015-10-16/pa…
The meeting packet is 37 pages long. This month is our exciting Strategic Plan-themed meeting! We have a Strategic Plan update document included, summarizing the progress made on our 3 year plan that is ending. We can also then begin to discuss our new plan. We also have a few policies for review. Please note that the Circ Policy included is provided as is from the Circ Mentor group edits; I will reformat it and bring it in line with our other policies once the content has been analyzed and finalized. The other 2 policies have now been reviewed by KTJ.
See you on Friday!

SWAN Board,
As noted at the last SWAN Board meeting, Rodger is going to retire at the end of the year and will leave the SWAN Board after the December meeting. Attached is his formal resignation letter.
Rodger will not be at the Friday, October 16 SWAN Board meeting this week.

SWAN Board:
There are two press releases today that I think are worth sharing with you all.
Bibliotheca is purchasing the 3M Library System:
http://www.bibliotheca.com/3/index.php/en-us/enews-media/global-press-relea…
The other big news is Proquest just acquired Ex Libris. In case you are not familiar with Ex Libris, they are in the academic library market, having a new web-based ILS called Alma and the older Voyager (which they got when they acquired the company Endeavor).
http://www.proquest.com/blog/pqblog/2015/ProQuest-to-Acquire-Ex-Libris.html
Back on August 27 the CEO of Innovative Interfaces, Kim Massana abruptly resigned. The rumor I heard was that Innovative Interfaces was negotiating with Proquest for this deal, and ultimately failed. The JMI Equity owners demanded he then step down due to this failure.

SWAN Board,
We have a rare occurrence in SWAN where we need to transfer money from the MaxSafe account with Hinsdale Bank to the Illinois Funds US Bank checking account. Normally we move funds the other way: from the checking to MaxSafe savings.
The big payment to SirsiDynix of $327,535 cleared August 24th and the balance in our checking account is lower than I would like it to be for SWAN operations. Sharon and I think an amount transferred around $240,000 should take care of things.
In order to initiate the wire transfer, *we need two officers present at Hinsdale Bank, 25 E 1st St, Hinsdale, IL 60521.* Please let me know if two officers are available on Friday to assist me with the transfer. I know David has to leave the meeting right at 12:30pm. I suggest two officers come with me to the bank after the meeting concludes on Friday. Maybe we can grab lunch right after we transfer the money?
Note: even a cashier's check requires two officers to be at the bank in person.

The Friday 9/18 meeting packet is now available for you:
https://support.swanlibraries.net/sites/default/files/meeting/2015-09-18/pa…
The meeting packet is 39 pages long. We'll be covering quite a bit this month, including Quarterly feedback/Enterprise plan, Facilities Committee documentation and a charge draft, and a policy review/update. We do hope to wrap up before lunch, but in case we go over I can always order us a delivery.
See you on Friday!

SWAN Board,
I find this to be incredibly interesting! Have any of you heard about a SWAN library getting a letter like the one Judy Hutchinson, PrairieCat Manager, describes below?

I learned today that two PrairieCat members (Wilmington PL and Three Rivers PL) received letters yesterday from a Chicago law firm informing that they are representing a client who feels she needs additional accommodations from her library because of a disability. The letter specifically requests extended due dates and no fines because the patron reads so slowly, but those were all the details provided about the disability as far as I know. It is not clear yet which is the patron's home library because the patron record in PrairieCat has both Wilmington and Channahon information (not geographically adjacent) and a not-in-service phone number. The Wilmington library staff has requested more information from the attorney. I haven't asked for a copy of the letter yet, but can.
PrairieCat does have specific policies on extended due dates for other libraries' materials (a library can extend due dates as much as they want for their patrons / their items, but is not supposed to extend beyond six weeks for other libraries' materials), which is why I was brought into this today. Plus, the staff member I spoke to at Wilmington is concerned that this may become a PrairieCat-wide issue. And, obviously we want to make sure our policies/procedures are correct in regards to compliance with ADA, etc.
So, I wanted to check to see if any of you are aware of other libraries receiving letters, or is this an isolated incident? I've been hearing a lot about the FOIA barrage again, so wanted to make sure this wasn't a widespread issue also. It feels like we might want to get an attorney to weigh in on PrairieCat's side about what is the correct response, so I would be happy to send this to Kathie Henn for her input, or I didn't know if RAILS would want to do a more RAILS-wide approach by contacting the RAILS attorney, particularly if this isn't an isolated incident? I included Rose on this email, too, not knowing if this patron might be eligible for Talking Books, although it doesn't sound like it with what we know so far. We are also wondering if it is a reading/comprehension problem, not a vision or physical limitations issue, if we are able to request some professional's sign off on eligibility, rather than just taking the patron or attorney's word that there is a disability. Another idea the library had was limiting the number of items the patrons has out simultaneously if a very extended due date is going to be provided and/or restricting extended due dates for new, popular materials with hold queues - but again, we don't want to do anything to be non-compliant with ADA.
Any thoughts you have about how to proceed would be appreciated!
Thanks,
Judy
