This packet is 66 pages long, and it has a recommendation on the SWAN Internet Access membership, the FY20 budget, and an update to the SWAN Circulation Policy. I have a draft of the March 7th Quarterly meeting agenda.
One thing I neglected to include my written report was the reason for increasing the credit card limit. I believe I mentioned this at a prior meeting, but we are reaching the $10,000 limit each month more frequently. The Microsoft Azure monthly charges for "renting" server space is paid on the credit card, which has contributed to us reaching this limit.

This is a fairly light agenda which I hope means you will have a short meeting on Friday. I have included the version of the strategic plan that was in the December Quarterly meeting packet, as the full SWAN Board has not had an opportunity to discuss the revision.
I will be meeting with the SWAN Management Team tomorrow to continue work on the tactical plan of the strategic plan. If before Friday I have anything to share, it will be sent separately from the packet.

Hello SWAN Board,
I met with the Strategic Planning Committee on Friday last week and there was a suggestion to move the SWAN Board meeting out to Friday, January 25th due to some unavailability. I would like a quick check in with you all if this is possible.
This poll has the original January 18th date, plus the suggest January 25th rescheduled date.

January would be the meeting where the final strategic plan is approved, along with the FY20 budget version that would go to the membership for the February 5th COW. It would be great if we can ensure all 7 board members can make it!

SWAN Board,
I have a draft document ready for your review and input at Friday's meeting. I am providing it to you in Word format so you can take advantage of the collaboration and comment features. I have turned track changes on for this version. Feel free to share your own edits or comments and send them back to me. Unfortunately, reply-all is not an option per OMA.
For some background:
* I took the CWR presentation Curtis provided us and modified it for the purpose of this document. The structure is the same: Objective, Rationale, Markers, and Guiding Principles
* Under each Objective, I have included a section for the Tactical Plan. This is divided into 2019 and "Long Range."
* The SWAN Management Team (Dawne, Joseph, Scott, Tara, and Steven) have reviewed the 6 objectives, but they have requested we spend more time on the tactical plan. I have set a meeting on 11/28 with them to work on this draft.
Curtis Chang reviewed a version of this document with me yesterday. Here is the feedback he provided during that phone conversation (summarized):
* The structure of the document is solid. This version however is one for Board and SWAN staff, and perhaps should be slimmed down for a membership version.
* It is key for the SWAN ED is to work with the SWAN Management Team to get buy-in on the strategic plan. They will be the ones to execute it.
* Share a draft of the plan with the SWAN Board on Nov 16 and focus on the Objectives, Rationale, Markers, and Guiding Principles. This will allow SWAN staff to work on the Tactical Plan knowing that "everything above is set."
* The SWAN Board should not expect the tactical plan to be 100% complete by Dec 6th. The timeline is a bit tight to accomplish that goal.
* Use the December 6th Quarterly meeting to share the 6 objectives and rationale, perhaps some examples of the tactical plan.

The written draft strategic plan and tactical plan will be sent out separately from the packet. I wanted everyone to get a head start as this board meeting agenda is full of a lot of fun and (hopefully) interesting information! I have provided a written overview of Find More Illinois along with the other resource sharing initiatives SWAN participates in.
The FY20 budget draft is also included.
I have a phone call with Curtis Chang tomorrow afternoon to discuss the strategic plan and tactical plan. If all goes well, I should have the draft ready for you by Wednesday.
